A graphical representation of the drill-down will display at the top of the screen as you drill down through the levels. Each level above the current level will display as a hyperlink in the graphical display. Select any of these links to display the information at that level.
The charges that display in the Results tab table depend on the criteria you selected in the Criteria tab and how the drill-down levels are selected. The charges are listed in date order by the timesheet period ending date column.
Depending on the Approval Status value you selected in the Criteria tab, the buttons to the left of the table will display either the Approved, Rejected, or Pending Approval icon. Selecting these icon buttons will display additional read-only informational dialogs. Please see later paragraphs in this section for more details regarding these dialogs.
If you did not select "Employee" as one of the Drill-Down Options in the Criteria tab, the first column in the table will display the employee names for the selected charge. If the system is configured to show employee IDs, the ID will display in parentheses after the employee name.
If you did not select "Employee" as one of the Drill-Down Options in the Criteria tab, the Timesheet Date column will display as the second column in the table. If you selected "Employee" as one of the Drill-Down Options, the Timesheet Period Ending Date column will display as the first column in the table because the Result tab information will be for the drilled-down employee.
If you select the period ending dates in this column, an Hours Details dialog will display with the timesheet cell information for the selected timesheet line. Please see later paragraphs in this section for more details on the Hours Details dialog.
This non-editable column displays the timesheet line numbers.
If you select a Column 1 from the Additional Detail Columns group box of the Criteria tab, this non-editable column will display the selected UDT information for the employee and charge.
If you select a Column 2 from the Additional Detail Columns group box of the Criteria tab, this non-editable column will display the selected UDT information for the employee and charge.
If the Approval Status is "Approved," this non-editable column will display the sum of approved regular hours, overtime hours, and cost-only hours for the employee and charge.
When the Approval Status is "Pending Approval" or "Rejected," this non-editable column will display the sum of the entered regular hours, overtime hours, and cost-only minus any approved regular hours, overtime hours, and cost-only hours for the selected employee and charge.
Highlight a charge row in the table by selecting the button to the left of the icon. Then select the Approve Charges function to approve the charges. If the timesheet is available, the timesheet line, timesheet cell, and timesheet header tables will be updated with the approval information.
If the timesheet(s) is not available, the system will display the following error message:
"There are employee timesheet(s) that are unavailable. Please select the Details pushbutton for a list of employee information."
If you select the Details pushbutton, each unavailable timesheet will be listed with employee name, employee ID (if your system is configured to show employee IDs), the timesheet schedule, and timesheet period ending date.
The table will be refreshed when the approval is complete. For example, if you select the "Pending Approval" status and approve one of the rows, the approved row will no longer appear in the table after the table refreshes. If all records in the table have been approved, the following message will display:
"There are no more records to display."
Highlight a charge row in the table by selecting the button to the left of the icon. Then select the Reject Charges function to reject the charge. A Reject Charges dialog will display where you can enter the Reason for Rejection. Please see the later paragraph in this section for more details on the dialog.
The table will be refreshed when the rejection is complete. For example, if you select the "Approved" status and reject one of the rows, the rejected row will no longer appear in the table after the table refreshes. If all records in the table have been rejected, the following message will display: "There are no more records to display."
This non-editable field displays the total regular hours for the charges in the table, excluding cost-only hours.
This non-editable field displays the total overtime hours for the charges in the table, excluding cost-only hours.
Select the Close pushbutton to close this screen and return to your splash screen.
Use the Select All pushbutton to select all displayed charges. Once you have made a selection, the pushbutton will become Deselect All. To select a row, highlight the row using a left mouse click.
This dialog will display if you select the Reject Charges function from any of the Results tabs.
Enter up to 254 characters for the rejection reason. This field is scrollable.
Select the OK pushbutton to complete the rejection process for the row(s). If the timesheet is available, the timesheet line, timesheet cell, and timesheet header tables will be updated with the rejection information.
If the timesheet(s) are not available, the system will display the following error message: "There are employee timesheet(s) that are unavailable. Please select the Details pushbutton for a list of employee information."
If you select the Details pushbutton, each unavailable timesheet will be listed with employee name, employee ID (if your system is configured to show employee IDs), the timesheet schedule, and timesheet period ending date.
The dialog will close and the Results tab table will be refreshed. If an event is set to be triggered when a timesheet line is rejected, the workflow process will begin.
Select the Cancel pushbutton to close the dialog without rejecting the row(s).
This dialog will display when you select one of the hyperlinks in the timesheet date column of the detail results tab. The timesheet period ending date and line number display in the heading of the dialog.
The Hours Details dialog will display the timesheet cell information for the selected timesheet period and line number in a scrollable table.
This non-editable column displays the cell dates for the selected timesheet line.
This non-editable column displays the cell hours for the selected timesheet line. If the Approval Status is "Approved," the column will display the sum of approved regular hours, overtime hours, and cost-only hours.
If the Approval Status is "Pending Approval" or "Rejected," the column will display the sum of the entered regular hours, overtime hours, and cost-only minus any approved regular hours, overtime hours, and cost-only hours.
A Cell Comment indicator appears to the left of the row for those lines that have cell comments. Click on the Cell Comment indicator to read those comments.
Select the Close pushbutton to close the dialog.
This dialog will display if you select the Approved icon on the Detail Results tab.
This non-editable field displays "Approved" because you selected the Approved icon.
This non-editable field displays the date and time of the line approval.
This non-editable field displays the name of the employee that approved the line. If the system is configured to show employee IDs, the ID will display in parentheses after the employee name.
Select the Close pushbutton to close the dialog.
This dialog will display if you select the Rejected icon on the Detail Results tab.
This non-editable field displays "Rejected" because you selected the Rejected icon .
This non-editable field displays the date and time of the line rejection.
This non-editable field displays the name of the employee that rejected the line. If the system is configured to show employee IDs, the ID will display in parentheses after the employee name.
This non-editable field displays the reason the line was rejected.
Select the Close pushbutton to close the dialog.
This dialog will display if you select the Pending Approval icon in the Detail Results tab.
This non-editable field displays "Pending Approval" because the Pending Approval icon was selected in the Detail Results tab.
This Charge Supervisors table displays the employees that have rights to approve the selected line.
This non-editable column displays the functional role of the employee.
This non-editable column displays the employee name. If the system is configured to show employee IDs, the ID will display in parentheses after the employee name.
Select the Close pushbutton to close the dialog.
