MyTasks

Use this section to view the current Workflow tasks that you need to perform.

The total number of tasks is displayed in parentheses on the MyTasks heading.  Below the MyTasks heading are groupings of the types of tasks. Each grouping displays the number of tasks along with a "+" or "-" to expand or collapse the group. Select "+" to expand the list so the task details are displayed. Only groupings that have tasks are displayed.

Choose the task you want to perform by selecting the appropriate checkbox in the left column and then selecting Launch to bring it up. For example, there may be 10 timesheets pending approval. You can select all the timesheets by either using the Select All function in the heading or selecting each checkbox individually, and then selecting Launch. To navigate among the 10 timesheets, use the navigation arrows on the upper right part of the timesheet screen.

The possible groupings are as follows:

Within each type, the items are sorted by the origination date.

Select All

Choose Select All to select all the tasks for the expanded grouping. In order to unselect the tasks, you must remove the checkmarks individually, collapse grouping, or expand another grouping.

Launch

Select Launch to display the selected timesheets, expense reports, or work schedules in the appropriate screen.

The Launch function is disabled until you choose a desktop item by selecting the checkbox to the left of the item or by selecting the Select All function.

Delete

Select Delete to delete the selected tasks. The system will display the following message:

"Are you sure you want to delete this record(s)?"

If you select Yes, the selected records will be deleted and the desktop will be refreshed. If you select No, the tasks will remain with a selected status.

The Delete function is disabled until you choose a desktop item by selecting the checkbox to the left of the item or by selecting the Select All function.

Checkbox

Select the checkbox to the left of a task description to select that task.

Description

The description of the task will display to the right of the checkbox.  It may be cut off if it is too long; however, the full text will display when you hover your cursor over the description.

The color of the items will be different depending on how you set up their priority in the Events or Expense Report Types screens. If an item is low priority, it will display with black lettering on white background. If an item is medium priority, it will display with black lettering on yellow background.  If an item is high priority, it will display with white lettering on red background.  

MyTask Details

Select a description to bring up the Details informational dialog.

Origination Date/Time

This non-editable field displays the date and time the task originated. For example, if you set up an event that sends a task to a supervisor when an employee signs a timesheet, this field will display the date and time the employee signed it.

Warning Date/Time

This non-editable field displays the date and time the task changed to medium priority. A task changes to medium priority in accordance with the setting in the Upgrade to Medium After group box in the Events or Expense Report Types screens.

Critical Date/Time

This non-editable field displays the date and time the task changed to high priority. A task changes to high priority in accordance with the setting in the Upgrade to High After group box in the Events or Expense Report Types screens.

Originator

This non-editable field displays the name of the person that originated the task.

Recipients Function

This non-editable field displays the functional role name of the person who will receive the task. For example, if you set up an event that sends a task to a supervisor when an employee signs a timesheet, this field will display the functional role name of the supervisor.

Notes

This non-editable field displays notes that were created through the workflow process. Not all tasks have notes.

Launch

Select the Launch pushbutton to close the dialog and open the appropriate screen with the selected record.

Close

Select the Close pushbutton to close the dialog and return to the MyDesktop screen.
