Special Topic: Cash Advances

Overview

Deltek Expense supports the ability to both enter outstanding cash advances and claim cash advances on expense reports. An administrator of the system can be given the ability to add employee cash advance information, such as the amount of the cash advance, the date the cash advance was given to the employee, the currency in which the cash advance was given, and the cash advance reference number. Employees can then apply the cash advance(s) to expense reports, and once they complete the expense report, the expense report number will be entered as a reference on the Advance Utility screen in the Utilities menu. The system will also keep track of the number of outstanding cash advances and the total amount of outstanding cash advances to allow or deny users from requesting additional cash advances on expense authorizations.  See the documentation for the Advance Utility screen for details.

Applying Cash Advances

Employees can apply one or more cash advances when they enter expense reports. When they fill out the header, or the top portion of the expense report, the Cash Advance Details dialog will display, showing any cash advances that are outstanding and they can apply any or all of them to the expense report. The cash advance amount is shown in the employee's pay currency.

Any amount that is applied will be deducted from the reimbursable amount. The employee is not required to make a selection from this list.

If the employee does not have any outstanding cash advances, the Cash Advance Details dialog will not be displayed.

Once the employee has applied a cash advance, that cash advance is no longer "Outstanding" and will not be used in calculating the number of outstanding advances or the total amount of outstanding advances.
