Search for Resources

Use the Find Resources panel on the left side of the Deltek Resource Planning workspace to select the resources that you want to review or edit in the Resource Planning grid.

When you create a search, you have the option to save it so you can use it in the future without having to specify the search parameters again. For example, you could create and save searches that return your underutilized resources, resources with a particular skill, or resources assigned to the projects that you manage.

A saved search is only available to the person who saves it. Other users cannot select it.

To select a set of resources to review or edit, complete the following steps:
  1. In the Resource Management workspace, click to go to the Resource View.
  2. If the Find Resources panel is not visible on the left side of the workspace, click in the upper-left corner of the workspace to display it.
  3. Do one of the following:
    • To use a saved search provided by Deltek or to use one of your saved searched without making changes to it, click SAVED SEARCHES and select the search on the drop-down list. Continue with step 7.
    • To modify a previously saved search, click SAVED SEARCHES and select the search on the drop-down list. Continue with step 4.
    • To create a new search, continue with step 4.
  4. To search for resources by name, click in SELECT RESOURCES to select a resource from the full list, enter one character to display and select from a list of resources with names that start with that character, or enter two or more characters to select from a list of resources with names that contain those characters.

When you select individual resources, you must select them one at a time, but you can select as many as you want.

If you type one search character in the field, you also have the option to select the STARTS WITH option at the top of the drop-down list to include in your search results all resources with names that start with that search character. If you type two or more search characters in the field, you can select the CONTAINS option at the top of the drop-down list to include in your search results all resources with names that contain those search characters.

  5. To search for resources by type, do one of the following in RESOURCE TYPE:
    • Leave the field blank to include both named resources and generic resources in the search.
    • Click Employees Only to include only employees in the search.
    • Click Generic Resources Only to include only generic resources in the search.
  6. Use the other fields on the Find Resources panel to enter filter values to further restrict the list of resources that the search returns.

If you enter search parameters and then decide you want to clear all of them and start over, click x Clear All at the bottom of the panel.

If Set details displays below a field, you can click that link to specify related attributes (one or more skill levels when searching for a skill, for example) to further refine the search results.

In some of the fields, you can do any of the following:
    • Click to select from the full list of values.
    • Enter one character to select from a list of values that start with that character. You can also select the STARTS WITH option at the top of the drop-down list to search for resources based on all values that start with that search character.
    • Enter two or more characters to select from a list of values that contain those characters. You can also select the CONTAINS option at the top of the drop-down list to search for resources based on all values that contain those search characters.

Deltek Resource Planning provides a default set of fields on the search panel. However, if you need to search based on values in other fields, you can click + Add Field at the bottom of the panel to add a field to the panel. In some cases, you can also delete fields from the search panel that you never expect to use. However, you cannot delete any of the default fields. To delete a field, hover over the field and click to the right of the field name.

  7. To perform the search without saving it, click Search.
To save the search so you can use it again in the future and then perform the search, click Save and do one of the following:
    • If you did not select a saved search in SAVED SEARCHES, the Save As dialog box displays. Enter a name for the search and click Save.
    • If you selected a saved search in SAVED SEARCHES, both a Save and a Save As option display. If you want to update the selected search with your changes, click Save. If you instead want to create a new saved search, click Save As, enter a search name in the Saves As dialog box, and click Save.

Result: The resources returned by the search display in the grid.

  8. If you need to do additional searches to assemble the group of resources you want, complete the following steps:
    1. In the Resource Planning grid, select the check box next to each resource in the search results for which you want to review or enter planning information.
    2. Click Pin Selected on the bottom toolbar.

Deltek Resource Planning saves the group of pinned resources so you can retrieve them later.

    3. Repeat steps 3 - 8 to perform another search and pin additional resources.
    4. When you have pinned all resources you want, click Pinned on the bottom toolbar, and click Show in Grid in the Pinned dialog box to display the full group of pinned resources in the Resource Planning grid.
