Find Resource Panel

Use the Find Resources panel on the left side of Resource View to select the resources that you want to review or edit in the Resource View grid.

When you create a search, you have the option to save it so you can use it in the future without having to specify the search parameters again. For example, you could create and save searches that return your under-utilized resources, resources with a particular skill, or resources assigned to the projects that you manage.

A saved search is only available to the person who saves it. Other users cannot select it.

Location

To display the Find Resources panel, complete the following steps:

  1. In the Resource Management workspace, click to go to Resource View.
  2. If the Find Resources panel is not visible on the left side of the workspace, click in the upper-left corner of the workspace to display it.

The fields described below display by default on the Find Resources panel. Note, however, that if your firm does not set up any valid values for a field that requires a drop-down selection list, that field does not display on the panel by default. If valid values are set up for it later, Deltek Resource Planning then automatically displays it on the panel.

Field Description
SAVED SEARCHES

Click in this field to select and start a predefined resource search provided by Deltek or one of your previously saved resource searches.

You can also type one character in this field and pause to display a list of saved searches that start with that character or type two or more characters and pause to display a list of saved searches that contain those characters .

Deltek provides the following saved searches:
  • All Resources: This search returns all active employees and generic resources.
  • All Employees: This search returns all active employees.
  • Employees I Supervise: This search returns all active employees for whom you are the supervisor.
  • Generic Resources: This search returns all active generic resources.
  • Resources in my Organization This search returns all active employees and generic resources that are assigned to the same organization as you are. The search looks for matches of your full organization ID. If you are not using organizations in Deltek Resource Planning, this search is not available.

To rename a saved search, select that search in SAVED SEARCHES and click this icon to the right of the field. In the Rename Search dialog box, enter the new name and click Save.

This icon only displays if you select a saved search.

To delete a saved search, select that search in SAVED SEARCHES and click this icon to the right of the field, and click Delete when you are asked to confirm the deletion.

This icon only displays if you select a saved search.

SELECT RESOURCES To select one or more resources by name, do any of the following:
  • Click to select a resource from the full list.
  • Type one character in this field and pause to display and select from a list of resources with names that start with that character. You can also select the STARTS WITH option at the top of the drop-down list to search for any resources with names that start with that character.
  • Type two or more characters and pause to display and select from a list of resources with names that contain those characters. You can also select the CONTAINS option at the top of the drop-down list to search for any resources with names that contain those characters.

When you select individual resources, you must select them one at a time, but you can select as many as you want.

The resources available in the drop-down list for this field are filtered based on your selection in RESOURCE TYPE. In addition, if you enter values in ORGANIZATION NAME or LABOR CATEGORY, only resources that also satisfy those filter values are available for selection in this field. (Because you are not required to assign generic resources to an organization, the generic resources in the list include both those that satisfy the organization filter and those that are not assigned to an organization.)

RESOURCE TYPE If this field is blank, the search includes both employees and generic resources. To restrict the search to only generic resources or only employees, click in this field and select the option you want.
STATUS To restrict the search to resources with a specific status (only those with the Active status, for example), click in this field and select the status.
UTILIZATION If your search includes named resources (RESOURCE TYPE is either blank or contains Employees Only), use this field to search for employees that are either under-utilized or over-utilized:
  • If this field is blank, the search does not consider utilization.
  • Select Over-utilized only to return named resources with planned hours that exceed their target utilization range.
  • Select Under-utilized only to return named resources with planned hours that are less than their target utilization range.

This search option does not apply to generic resources. They are either included or excluded based on your other search criteria.

SUPERVISOR

To search for employees based on their supervisors, select one or more supervisors in this field. If you select Generic Resources Only in RESOURCE TYPE, you cannot search based on supervisor.

Do one or more of the following:
  • Click to select supervisors from the full list.
  • Type one character in this field to display and select from a list of supervisors with first names, preferred names, last names, or email addresses that start with that character. You can also select the STARTS WITH option at the top of the drop-down list to search for any resources with supervisors whose names or email addresses start with that character.
  • Type two or more characters and pause to display and select from a list of supervisors with first names, preferred names, last names, or email addresses that contain those characters. You can also select the CONTAINS option at the top of the drop-down list to search for any resources with supervisors whose names or email addresses contain those characters.
ORGANIZATION NAME

To search for resources based on their organization, select one or more organizations in this field. For example, you could search for resources that are assigned to any of three organizations that you select in this field. If you select one or more organizations in this field, the drop-down list for the SELECT RESOURCES field only contains those resources that are assigned to the selected organizations.

To select the organizations you want to use to select resources, do any or all of the following:
  • Type one character in this field to display and select from a list of organizations with names that start with that character. You can also select the STARTS WITH option at the top of the drop-down list to search for any resources assigned to organizations with names that start with that character.
  • Type two or more characters to display and select from a list of organizations with names that contain those characters. You can also select the CONTAINS option at the top of the drop-down list to search for any resources assigned to organizations with names that contain those characters.
  • Click to display the Select Organizations dialog box and select one or more organizations by navigating through the organization structure. You can also perform the same searches in that dialog box that you can in this field.

Be aware that generic resources are not required to have an organization. If you search for generic resources based on organization, the search returns all generic resources assigned to the organizations you specify, and it also returns all generic resources that have no organization.

LABOR CATEGORY

To search for resources based on their labor category, select one or more labor categories in this field. For example, you could search for resources that are assigned to any of three labor categories that you select in this field. If you select one or more labor categories in this field, the drop-down list for the SELECT RESOURCES field only contains those resources that are assigned to the selected labor categories.

You must select the labor categories one at a time, but you can select as many as you want.

Do one or both of the following:
  • Click to select labor categories from the full list.
  • Type one or more characters to display and select from a list of labor categories that contain those characters.
SKILLS

To search for named resources based on their skills, select one or more skills in this field. If you select Generic Resources Only in RESOURCE TYPE, you cannot search based on skills.

You must select the skills one at a time, but you can select as many as you want.

Do one or both of the following:
  • Click to select skills from the full list.
  • Type one or more characters to display and select from a list of skills that contain those characters.

If in addition to specifying skills, you want to specify the desired or required skill level (years of experience or level of proficiency using a skill, for example), click Set details below the SKILLS field on the panel to display the Set Skill Levels dialog box. There, you can select one or more skill levels and skill usage descriptions (how frequently a resource uses the skill or how long he or she has used the skill) so that the search only returns resources with skills that match those level and usage requirements. You can also use the dialog box to add other skills to the search criteria. (Note: displayed next to Set details indicates that some skill levels have been set for the search.)

TITLE

To search for named resources based on their job titles, select one or more titles in this field. If you select Generic Resources Only in RESOURCE TYPE, you cannot search based on job titles.

You must select the job titles one at a time, but you can select as many as you want.

Do one or both of the following:
  • Click to select job titles from the full list.
  • Type one or more characters to display and select from a list of job titles that contain those characters.
CREDENTIALS

To search for named resources based on their certification and licenses, select one or more credentials in this field. If you select Generic resources only in RESOURCE TYPE, you cannot search based on credentials.

You must select the credentials one at a time, but you can select as many as you want.

Do one or both of the following:
  • Click to select credentials from the full list.
  • Type one or more characters to display and select from a list of credentials that contain those characters.

If in addition to specifying a credential, you want to specify the state or province in which the credential is valid or you want to specify that the credentials cannot expire before a particular date, click Set details below the CREDENTIALS field on the panel to display the Set Credentials Details dialog box. You can also use the dialog box to add other credentials to the search criteria. (Note: displayed next to Set details indicates that some credential details have been set for the search.)

+ Add Field

Deltek Resource Planning provides a default set of fields on the search panel. However, if you need to filter the resource search based on values in other fields, you can add them to the dialog box. To add a field, click + Add Field at the bottom of the search panel, click SELECT FIELD, and click the field in the drop-down list of available fields.

In some cases, you can also delete fields from the search panel that you never expect to use. However, you cannot delete any of the default fields. To delete a field, hover over the field and click to the right of the field name.

When you add or remove fields and click Save or Search, that new set of fields becomes the default set for any new searches you create. The changes do not affect the fields that are available when you edit an existing saved search that used a different set of fields.

Adding or removing fields on the search panel only affects the fields displayed for your custom searches. It does not affect other Deltek Resource Planning users.

x Clear All If you enter search parameters and then decide you want to clear all of them and start over, click x Clear All at the bottom of the search panel. Deltek Resource Planning removes entries from all fields. It also removes any fields that are not in the default set of fields.
Save and Search

To save the search so you can use it again in the future and then perform the search, click Save. If the results are not what you want, make the necessary changes to the search parameters and click Save again.

To perform the search without saving it, click Search. If the results are not what you want, make the necessary changes to the search parameters and click Search again.
