Schedule Integration Tab of the Projects Form

Use this tab to link schedule projects to PM Compass projects. After you select your scheduling tool and how the fields in the schedule link to a work package, your activities will be linked to the work packages throughout PM Compass. You can see this link between the activities and work packages in many of the views, such as:

You must configure this link with the schedule if you want to enter progress on the activities through PM Compass.

Toolbar

All tabs of the Projects Form in Form View share a common toolbar.

Scheduling Tool

Use this field to select a scheduling tool for the project. By default, this field displays None.

If at least one unapproved Progress entry exists in the system for the PM Compass project, you cannot change the current value of the Scheduling Tool field. All of the existing unapproved Progress entries must be approved or deleted before the scheduling tool can be changed. If you attempt to modify the setting while the unapproved Progress entries still exist, a validation error displays.

Bar Set

Use this field to select the bar set that you want to use on the project barchart (Gantt) that displays in the Schedule Analysis dashboard and Change Details view. It is also the default bar set for the Schedule Analysis view until you select a different bar set in the Schedule Analysis view.

After a new installation or an upgrade, the Default bar set is selected for all projects.

You can edit and create additional bar sets in Administration » Bar Sets (if you have the appropriate permissions).

Link to the Cost System Fields

Use these fields to select a field in the schedule that the system uses to link the project’s cost to its schedule. For new projects, all of these fields are disabled. Enter a field name or click the Search icon to display the Search List Dialog Box and search for a field.

The field labels reflect the values in the Labels for Cost System Fields field on the Projects Fields tab.

For a PM Compass-only master project, you need to label the cost system fields using the Fields tab before you can link the fields. The cost system fields are read-only until they are labeled.

If a field that you expect to see is not in the search list, confirm that you added it as a source field in User Defined Data and that it has been unrotated. For more information, see Source Fields Tab when Area = Schedule.

Tip: After configuring the linking fields, navigate to the Cost Analysis view (List View » Cost Analysis) and click on the Activities tab. If you have properly configured the link, you will see the activities related to the control accounts and work packages.

Control Account Fields 1 through 3

These fields may have been relabeled to, for example, WBS.

Enter or select codes or user character fields from the Source Fields tab (Area = Schedule) in User-Defined Data. An entry in the Control Account field is required if the cost system is Cobra and the corresponding field on the Projects Fields tab has a value. If the corresponding field on the Fields tab is blank, then an entry here is not required.

Work Package

This field is required if the cost system is Cobra and the corresponding Work Package field on the Projects Fields tab has a value. Enter or select a field from the Source Fields tab (Area = Schedule) in User-Defined Data. If you select Activity ID in this field, the Milestone field is cleared and disabled.

Milestone

Use this field to specify the Open Plan field that contains the Cobra milestone. This is useful if you need the BCR Analysis report to include the milestone level so that you can see activities linked to a milestone.

Enter or select a field from the Source Fields tab (Area = Schedule) in User-Defined Data. If you don't see your user-defined field in the list, make sure that you selected Also Create Field for Baseline on the New User Defined Field dialog box in Open Plan when you created the field.

When you make a selection in this field, PM Compass disables the Limit the Work Package to One Activity field.

This field is only enabled when the scheduling tool is Open Plan. In addition, when the Work Package field = Activity ID, this field is cleared and disabled.

Milestone Weight

Use this field to specify the Open Plan field that contains the Cobra milestone weight. This is useful if you want to include the milestone weight on the BCR Analysis report.

Enter or select a decimal field from the Source Fields tab (Area = Schedule) in User-Defined Data. If you don't see your user-defined field in the list, make sure that you selected Also Create Field for Baseline on the New User Defined Field dialog box in Open Plan when you created the field.

This field is enabled when you select something in the Milestone field.

Limit the Work Package to One Activity

Select this check box to set a 1:1 relationship between a work package and an activity.

If you select this check box, a work package (WP) can only have one activity assigned to it. You will not be able to add more activities under a work package when this check box is selected.

If this is deselected, you will be able to add more than one activity to a work package.

This field is disabled when you make a selection in the Milestone field.

Schedule Projects Grid

This grid is only visible when the scheduling tool is Open Plan, Microsoft Project Professional (MSP), Microsoft Project Professional (MSP), or Primavera P6.

Select a schedule project that you want to associate with the project in PM Compass. If you do not associate at least one Open Plan, MSP, MSP Server, or Primavera P6 schedule project with the PM Compass project, an error message displays.

This grid is disabled if the project is a master project because you cannot link a schedule to a master project.

  • Print: Select this option to display the Print Preview window with the grid's content.

  • Export to Excel: Select this option to display the content of the grid in Microsoft Excel.

Associate

Open Plan as the Scheduling Tool

Click this button to display the Schedule Projects Search dialog box, which lists all Open Plan Schedule projects that have baseline. You can see the list of projects to which you have access and that have at least one baseline created.

The schedule project must have a baseline before you can associate the schedule with the project.

You can select more than one Open Plan schedule project to associate with your PM Compass project. You cannot select a schedule project that is already associated with another PM Compass project.

Microsoft Project Professional as the Scheduling Tool

Click this button to display the Open Microsoft Project dialog box and select a project that you want to associate with the PM Compass project. You can only select one project and you cannot select a project that is already associated with another PM Compass project.

You must select a file from a shared location (not your local desktop/machine) because PM Compass needs access to the folder or location of the file at all times. You need access rights to the folder in which the project resides. The default folder location that displays is the MSPFiles folder created during the PM Compass installation. See the Integrating with Microsoft Project appendix in the PM Compass Technical Installation Guide for more information about the MSPFiles folder.

After you select a file, the Associate button is disabled until you remove the MSP file.

Note for Open Plan / MSP mixed implementations: After an MSP project has been added to the Schedule Projects grid and the form is saved, a new Open Plan project is created if it doesn't already exist. The owner of the new project is OPENPLAN.

Microsoft Project Server as the Scheduling Tool

Click this button to display the Schedule Projects Search dialog box which allows you to search all published Project Server projects available in the Project Server database. You can search using the project name or project description. Select a project that you want to associate with the PM Compass project. You can only select one project and you cannot select a project that is already associated with another PM Compass project.

After you select a file, the Associate button is disabled until you remove the file.

Open Plan / MSP mixed implementations: After a Project Server project has been added to the Schedule Projects grid and the form is saved, a new Open Plan project is created if it doesn't already exist. The owner of the new project is OPENPLAN.

Primavera P6 as the Scheduling Tool

Click this button to display the Open Primavera P6 dialog box and select a project that you want to associate with the PM Compass project. You can only select one project and you cannot select a project that is already associated with another PM Compass project.

After you select a file, the Associate button is disabled until you remove the Primavera P6 file.

Remove

Click this button to remove the association between the schedule project and the PM Compass project, and delete the progress items data.

Whilst the association with the PM Compass project has been removed, the schedule project still exists in the database and you can associate it with a different PM Compass project if need be.

Grid Columns when Open Plan is the Scheduling Tool

Name

This column displays the name of the Open Plan schedule project that you select from the Schedule Projects dialog box when you click Associate.

Description

This column displays the description of the Open Plan schedule project that you select from the Schedule Projects dialog box when you click Associate.

Budget Baseline

Select a budget baseline in the schedule that represents the approved project budget, or the Performance Measurement Baseline (PMB). When creating a change request, the requested amount is calculated by finding the difference between what is stored in this baseline compared to what is in the change request. When the change request is approved, the requested amount is merged into this budget baseline.

Click to display the Budget Baseline Search Dialog Box and select the budget baseline.

Forecast Baseline

Select a forecast baseline in the schedule that represents the approved project forecast. When creating a change request, the requested amount is calculated by finding the difference between what is stored in this forecast baseline compared to what is in the change request. When the change request is approved, the requested amount is merged into this forecast baseline.

Click to display the Forecast Baseline Search Dialog Box and select the forecast baseline.

Grid Columns when Microsoft Project Professional is the Scheduling Tool

The project baseline will always be named PMB and is not displayed in this grid.

Field

Description

Name

This column displays the Open Plan project name. It is blank by default and not editable. The project name is added when the MSP project is created during import.

When the import is run either through a scheduled process or when you click the Run Now button, PM Compass assigns the same name as the file name of the MSP file, truncated to 20 characters. The name must be unique across all projects so PM Compass checks to see whether there is an existing Open Plan project with the same name. If there is, the name is appended with an underscore followed by a two-digit sequential number at the end. For example, MyMSPFile_01.

The baseline is always named PMB and is not displayed.

Microsoft Project File

This column displays the path to the Microsoft Project file.

To select a different project, click in the cell click the ellipses button to display the Open Microsoft Project dialog box and select a different file location and project. If you do select a different path, confirm that PM Compass has full read/write access to that location. After you have run integration with the project, you should use this feature with caution. It should only be used when you have saved the .mpp file to a new name or location. Do not use it to select a new .mpp project. If you re-associate the file because the project filename has changed, the entry in the Name column remains the same.

Grid Columns when Microsoft Project Server is the Scheduling Tool

The project baseline will always be named PMB and is not displayed in this grid.

Grid Columns when Primavera P6 is the Scheduling Tool

Primavera Project Name

This column displays the Primavera project name.

To select a different project, click in the cell and click the magnifying glass to display the Schedule Projects Search dialog box. After you have run integration with the project, you should use this feature with caution. It should only be used when the project has been saved with a new name. Do not use it to select a new project.

If you re-associate the file because the project name has changed, the entry in the Name column remains the same.

The baseline dates from the activity will be displayed. Make sure to select the correct baselines before performing the Primavera P6 integration.

Open Plan Master Schedule

Select the Open Plan master project that includes the subproject to which you want to add a relationship. This field displays when you select Open Plan as your scheduling tool.

All of the projects involved in the change request must belong to the same Open Plan master project and none of the subprojects can have external subprojects.

Integrate with Microsoft Project / Integrate with Primavera

This group box becomes enabled when one of the following occurs:

Schedule

Click to display the Schedule dialog box and automatically load your project into PM Compass using a scheduled process. For Microsoft Project, PM Compass schedules the process using a dedicated MSP Integration queue and for Primavera P6, PM Compass schedules the process using a dedicated P6 Integration queue.

This button displays if you have not created a schedule for this process. The process queue description for jobs that are initiated by clicking Schedule have the project name appended at the end. You can view the job progress by clicking Status Log in the Process Queue Detail dialog box.

If you select Send Process Status Email Alert to Submitter on the Main tab of the Schedule dialog box, PM Compass sends an email to the process submitter when the process completes. You can also set this option using the Process Queue Detail dialog box. If errors are encountered during a scheduled process, an email is sent to the submitter regardless of whether this option is set.

Unschedule

This button displays if you have already created a schedule for this process. Click to unschedule the process.

Run Now

Click this button to automatically send the process to the integration queue. For Microsoft Project, the process is sent to a dedicated MSP Integration queue and for Primavera P6, the schedule is sent to a dedicated P6 Integration queue.

You will get an email when the job finishes regardless of whether the process fails or completes successfully. The process queue description for jobs that are initiated by clicking Run Now have the project name appended at the end. You can view the job progress by clicking Status Log in the Process Queue Detail dialog box.

If you select Send Process Status Email Alert to Submitter in the Process Queue Detail dialog box, PM Compass sends an email to the process submitter when the process completes. If errors are encountered during a scheduled process, an email is sent to the submitter regardless of whether this option is set.

Publish Project After Integration

This option is available when you select Microsoft Project Server as the scheduling tool.

After the integration is complete, the project must be published if you want other users to have access to the changes. If this option is selected (the default setting), the project will automatically publish as soon as the integration is complete.

Clear this option if you do not want to publish the project. For example, you may not want to publish if you are running the integration as a test or "what-if" scenario and you don't want other users to see the results.

Scheduled

This checkbox is selected when you have created a schedule for the section; otherwise, it is cleared.

Recurring Schedule

This read-only field displays information on the recurring schedule that you set in the Schedule dialog box. This field is blank if you have not set a recurring schedule.

Last Run Status

This read-only field displays the status of, and the date when, the process last ran. The last assigned value remains in this field until replaced by the next run. This field is blank if the scheduled process has not yet run.

View Status

Click this button to display the Process Queue dialog box and view the status of the process.
