Post Documents to a New Teams Conversation

Share project documents from PIM into a new Microsoft Teams conversation to encourage collaboration and discussion. This feature creates a new conversation within the selected Team channel, making it simple for team members to engage and provide feedback. For single documents, the conversation title defaults to the document's title, which you can modify if needed. For multiple documents, you must provide a conversation title. Note that you can only post documents to teams and channels that you have access to.

Note: To post documents to Teams, you must have the Teams.ShareDocument entity function role. If you have this role, a green tick appears on the Teams icon in the top navigation bar, indicating your connection to Teams . If the green tick is not visible, contact your administrator to request access.

To post documents to a new Teams conversation:

  1. Navigate to the Information Zone or the Documents tab on an entity record, such as a project or organization.
  2. Find the document(s) that you want to post to Teams.
    For information, see Search for Documents.
  3. Do either of the following:
    • To share a single document, click > Share To Teams.
    • To share multiple documents, select the checkbox of each document and click Share To Teams on the toolbar.
  4. If the Share Document to a Teams Conversation displays a list of existing conversations, click Create a new Conversation.
    This step applies only if one or more of the selected documents have already been shared to a Teams conversation.
  5. On the Create a new Teams Conversation dialog, complete the following:
    1. From the Select a Team list, select the team where you want the new conversation to be created.
    2. From the Select a Channel list, select the relevant channel.
    3. In the Enter a Conversation Subject field, enter a subject for the conversation.
      If you are posting a single document, the subject defaults to the document's title. Modify the subject if needed.
  6. In the Post Content field, enter a personalized message to provide context or a conversation starter for the shared document, such as why you are sharing it, what actions are needed, and so on.
  7. Click Create to post the selected documents to a new conversation in the selected channel.
  8. To view and add a comments, click the conversation to open it directly in Microsoft Teams.
