Distribute a Report Using an Email Template

An alternative to distributing a report as an attachment to a standard email message is to send it using an email template. The main difference is that the subject and body of email templates can contain database fields. When you send the email message, GovWin Capture Management replaces the fields with actual data, such as an employee name from the Employee Info Center.

To send a report using an email template, complete the following steps:

  1. Download the report to a file.
  2. In the Employees, Contacts or Leads Info Center, depending on the recipients you want, click Email on the toolbar, and click Email Template on the menu.
  3. On the Email Templates dialog box, select an existing template or create a new one.
  4. In Records, select the employees, contacts, or leads to whom you want to send the report.
  5. Enter the subject text and message text.
  6. Click Attachments, click Insert, locate and select the report file, and then click Open.
  7. To send the email message with the attached report file, click Send.
