Contact List Columns Tab

Use the Columns tab to select or clear columns, change column sequence, provide new column labels, set column widths, or select number and date formats.

Most available columns show data from the Contact Info Center. In addition, you can use this tab to include columns that contain associated data. These are called "grid columns."

The list of columns in this topic includes all available grid columns. However, the grid columns that actually display on the Columns tab vary based on your selection in Grid Type on the General tab of the Options dialog box. The grid column labels begin with the grid type. For example, the each of the contact grid column labels begins with Employees - (Employees - Name, Employees - Description, and so on).

Field Description
Full Name This column displays the contact's full name: Prefix, First Name, Middle Name, Last Name, Suffix.
Title This column displays the contact's title (for example, Director, Capture Manager, or CEO).
Type This column displays the contact type: Customer or Vendor/Partner.
Status This column displays the contact's current status: Active or Inactive.
Source This column displays the source of the contact (for example, specific conferences, trade shows, or the names of referring customers).
Other Phone This column displays the contact's business telephone number.
Other Fax This column displays the contact's business fax number.
Prefix This column displays the contact's salutation (for example, Mr., Mrs., or Dr.).
First Name This column displays the contact's first name.
Middle Name This column displays the contact's middle name or initial.
Last Name This column displays the contact's last name.
Suffix This column displays the suffix from the contact's name (for example, Jr., Sr., Esq.).
Preferred Name This column displays the name by which the contact prefers to be addressed.
Customer Name If the contact is a customer, this column displays the customer name.
Customer Status If the contact is a customer, this column displays the current status of your relationship with the customer: Active, Dormant, or Inactive.
Customer Relationship If the contact is a customer, this column displays your relationship with the customer (for example, Consultant, Prospective, or Existing).
Customer Type If the contact is a customer, this column displays the type of customer (for example, Commercial, Government, or Non-Profit).
Vendor/Partner Name If the contact is a vendor/partner, this column displays the vendor/partner name.
Email This column displays the contact's email address.
Is Mailing Address This column indicates if the address is the contact's mailing address.

If the column contains Y (Yes), the address is the contact's other address or home address.

If the column contains N (No), the address is one of the following:

  • If the contact is not associated with a customer or vendor/partner, the address is the contact's other address or home address.
  • If the contact is a customer contact, the address is the customer's address.
  • If the contact is a vendor/partner contact, the address is the vendor/partner address.
Mail Address 1 - 4 This column displays the contact's address (street name and number, suite number, P.O. Box number).
Mail City This column displays the city from the contact's address.
Mail State This column displays the state from the contact's address.
Mail ZIP This column displays the zip code from the contact's address.
Mail Country This column displays the country from the contact's address.
Concatenated Address This column displays the contact's other or home street address, city, state, and zip code. The report shows this information in a single column.
Other Address 1 - 4 This column displays the contacts' other or home address (street name and number, suite number, P.O. box number, and so on).
Other City This column displays the city from the contact's other address or home address.
Other State This column displays the two-character abbreviation for the state from the contact's other address or home address.
Other Zip This column displays the zip code from the contact's other address or home address.
Other Country This column displays the country from the contact's other address or home address.
Pager This column displays the contact's pager number.
Cell Phone This column displays the contact's cellular phone number.
Home Phone This column displays the contact's home telephone number.
CustomerAddress Desc If the contact is a customer, this column displays the description of the customer's address (for example, Company Headquarters, Main Office, or Northeast Office).
Concatenated Customer Address If the contact is a customer, this column displays the customer's street address, city, state, and zip code. The report shows this information in a single column.
Customer Address 1 - 4 If the contact is a customer, this column displays the customer's address information.

Customer Address 1 displays the customer's name.

Customer Address 2 - 4 display the customer's address information (street name and number, suite number, postal box number, and so on).

Customer City If the contact is a customer, this column displays the city from the customer's address.
Customer State If the contact is a customer, this column displays the two-character abbreviation for the state from the customer's address.
Customer Zip If the contact is a customer, this column displays the zip code from the customer's address.
Customer Country If the contact is a customer, this column displays the country from the customer's address.
Customer Phone If the contact is a customer, this column displays the customer's telephone number.
Customer Fax If the contact is a customer, this column displays the customer's fax number.
Customer Website If the contact is a customer, this column displays the customer's Web site address (for example, www.deltek.com).
Vendor/Partner Address Desc If the contact is a vendor/partner, this column displays the description of the vendor/partner's address (for example, Company Headquarters, Main Office, or Northeast Office).
Concatenated Vendor/Partner Address If the contact is a vendor/partner, this column displays the vendor/partner's street address, city, state, and zip code. The report shows this information in a single column.
Vendor/Partner Address 1 - 4 If the contact is a vendor/partner, these columns display the vendor/partner's address information (street name and number, suite number, postal box number, and so on).
Vendor/Partner City If the contact is a vendor/partner, this column displays the city from the vendor/partner's address.
Vendor/Partner State If the contact is a vendor/partner, this column displays the two-character abbreviation for the state from the vendor/partner's address.
Vendor/Partner Zip If the contact is a vendor/partner, this column displays the zip code from the vendor/partner's address.
Vendor/Partner Country If the contact is a vendor/partner, this column displays the country from the vendor/partner's address.
Vendor/Partner Phone If the contact is a vendor/partner, this column displays the vendor/partner's telephone number.
Vendor/Partner Fax If the contact is a vendor/partner, this column displays the vendor/partner's fax number.
Vendor/Partner Website If the contact is a vendor/partner, this column displays the vendor/partner's Web site address (for example, www.deltek.com).
Create User This column displays the user ID of the person who created the contact record in the Contact Info Center.
Create Date This column displays the date on which the contact record was created.
Modify User This column displays the user ID of the person who most recently modified the contact record.
Modify Date This column displays the date on which the contact record was most recently modified.
Contact Notes This column displays the text entered in the Notes field on the General tab of the Contact Info Center.
Customer Memo If the contact is a customer, this column displays the text entered in the Notes field on the General tab of the Customer Info Center for the customer.
Vendor/PartnerSpecialty Type If the contact is a vendor/partner, this column displays the vendor/partner's business specialty (for example, Printing, Interior Design, or Security Systems).
Vendor/Partner Specialty Desc If the contact is a vendor/partner, this column displays the description of the vendor/partners business specialty, or any other information related to the vendor/partner, as specified in the Vendor/Partner Info Center.
Vendor/Partner Memo If the contact is a vendor/partner, this column displays text entered in the Memo field on the Accounting tab of the Vendor/Partner Info Center.
Custom Currency Code If a currency code was specified in the Info Center, this column displays that code.
Activities - Completed The activity can be Pending or Completed.
Activities - Type This column displays the activity type (for example, Phone Call, Meeting, or Email).
Activities - Subject This column displays a brief description of the activity (for example, Initial Consultation, Planning Meeting, Customer Lunch, or Follow-up Visit).
Activities - Start Date This column displays the date and time that the activity is scheduled to begin.
Activities - Priority This column displays the priority ranking that indicates the relative importance of individual activities: High, Medium, or Low.
Activities - Owner This column displays the name of the employee who is responsible for the activity.
Activities - Vendor/Partner This column displays the name of the vendor/partner associated with the activity.
Activities - Vendor/Partner Contact This column displays the name of the vendor/partner contact associated with the activity.
Activities - Vendor/Partner Contact Phone This column displays the vendor/partner contact's work telephone number.
Activities - Opportunity This column displays the name of the opportunity associated with the activity.
Activities - Contract This column displays the name of the contract associated with the activity.
Activities - Marketing Campaign This column displays the marketing campaign associated with the activity.
Activities - Lead This column displays the lead associated with the activity.
Activities - Location This column displays the location where the activity occurred or will occur.
Activities - Notes This column displays additional text that describes the activity.
Associations - Name This column displays the name of a contact who is associated with the current contact.
Associations - Relationship This column displays a description of the relationship of the current contact to the associated contact (for example, Partner, Friend, or Associate).
Associations - Relationship Description This column displays additional text describing the relationship of the current contact to the associated contact.
Customer Assoc Name This column displays the name of a customer that is associated with the current contact.
Customer Assoc Relationship This column displays a description of the relationship of the current contact to the associated customer.
Customer Assoc Relationship Description This column displays additional text describing the relationship of the current contact to the associated customer.
Customer Employee Assoc - Employee This column displays the number of an employee who is associated with the customer.
Customer Employee Assoc - Name This column displays the name of an employee who is associated with the customer.
Customer Employee Assoc - Relationship This column displays a description of the relationship of the customer to the associated employee.
Customer Employee Assoc - Relationship Description This column displays additional text describing the relationship of the customer to the associated employee.
Categories - Category This column displays an activity category (for example, Corporate Mailing, Holiday Card, Promotional Brochure, or Newsletter).
Categories - Info This column displays additional text that describes the activity category.
Employees - Number This column displays the employee's number.
Employees - Name This column displays the employee's full name.
Employees - Description This column displays a description of the employee's relationship with the contact.
Employees - Relationship Description This column displays additional text describing the relationship between the contact and the employee.
Links - Description
Links - File Path This column contains one of the following:
  • The address (URL) for a Web site, intranet site, file transfer (FTP) site, and so on. If you preview the report, you can click the link to go to that address.
Links - Graphic
Marketing Campaigns - Name This column displays the name of the marketing campaign.
Marketing Campaigns - Number This column displays the marketing campaign identifier.
Opportunities - Name This column displays the name of the opportunity associated with the contact.
Opportunities - Number This column displays the opportunity identifier.
Opportunities - Stage This column displays the current stage of the opportunity (for example, Pending, Awarded, or Lost).
Opportunities - Role This column displays the role of the contact in the opportunity (for example, Architect, Developer, or Owner).
Opportunities - Description This column displays additional text describing the contact's role in the opportunity.
Contracts - Name This column displays the name of the contract.
Contracts - Number This column displays the contract identifier.
Contracts - Role This column displays the role of the contact in the contract (for example, Architect, Developer, or Owner).
Contracts - Description This column displays additional text describing the customer's role in the contract.
Row Count This column displays the total number of detail lines for each group, based on the sorting and grouping selections on the Sorting/Grouping tab. If the report groups data at more than one level, this column displays row counts for all grouping levels.
