Create Contract From Dialog Box

Use the Create Contract From dialog box to create a new contract record from an existing contract record, a contract template, an opportunity record, or a combination of an opportunity and a contract template.

Location

To display the dialog box, complete the following steps:

  1. From the GovWin Capture Management Navigation menu, click Info Center > Contracts.
  2. On the Contract Info Center toolbar, click New > Copy Current Contract or New > Create Contract from.

Field Description
Copy From Use this drop-down list to select the type of record that you want to copy. The selection that you make determines which fields display.
  • Copy From Existing Contract displays the Contract field.
  • Copy From Contract Template displays the Template Contract field.
  • Copy From Opportunity displays the Opportunity field.
  • Copy from Opportunity and Contract Template displays the Opportunity field and the Template Contract field.

Click Search in the Contract, Template Contract, or Opportunity field to open a lookup and select the existing record on which the new contract will be based.

Copy Billing Terms Select this option to copy the billing terms for all phases and tasks from the existing contract record to the new contract record. This option is enabled only when you create a new contract record from an existing contract record.
Create Kona Space Select this option to have GovWin Capture Management create a Kona space, with you as space owner, and link it to the new contract. The Kona space name displays in the Kona Space field on the General tab of the Contracts form, and the space displays below that field. Employees listed on the Team tab are automatically invited to join the space.

If you are creating the contract from an opportunity, the opportunity is already linked to a Kona space, and you want to link the contract to that space rather than to a new space, leave this check box unselected.

This option is only available if GovWin Capture Management is configured for integration with Kona Business on the Miscellaneous tab of the General System Settings form, and if you are logged on to Kona on the Misc tab on the User Options dialog box of the Kona Business account.

New Contract Enter a unique contract number for the new contract.
Short Name This field displays the contract's short name, based on the record that you selected to copy.
  • Contract — When you select an existing contract record, GovWin Capture Management enters the existing contract's short name in the Short Name field.
  • Contract Template — When you select a contract template, GovWin Capture Management enters the contract template's name in the Short Name field.
  • Opportunity — When you select an opportunity record, GovWin Capture Management enters the opportunity's name in the Short Name field.
  • Opportunity and Contract Template — When you select an opportunity and a contract template, GovWin Capture Management enters the contract template's name in the Short Name field.

You can edit the contract's short name. The short name is useful if the contract's full name is too long to display fully on contract reports.

Long Name This field displays the contract's long name, based on the record that you selected to copy.
  • Contract — When you select an existing contract record, GovWin Capture Management enters the existing contract's short name in the Long Name field.
  • Contract Template — When you select a contract template, GovWin Capture Management enters the contract template's name in the Long Name field.
  • Opportunity — When you select an opportunity record, GovWin Capture Management enters the opportunity's name in the Long Name field.

You can edit the contract's long name.

New Contract Type Use this drop-down list to select the contract's charge type.
  • Regular — Regular contracts are revenue producing. Costs charged to regular contracts include direct labor, direct expense, and reimbursable expense.
  • Overhead — Overhead contracts are not revenue producing. Cost charged to overhead contracts include indirect labor and indirect expense. The total cost of these contracts is distributed to regular contracts during overhead allocation. Typical overhead contracts include, General Overhead, Vacation, Sick Leave, Holiday, and Civic Duty. Overhead contracts zero out when you initialize for a new fiscal year.
  • Promotional — Promotional contracts are identical to overhead contracts. GovWin Capture Management does not zero out job-to-date costs when you initialize for a new fiscal year. Use the promotional charge type to track the costs associated with acquiring a new job. If you are awarded the job, you can create a new, regular contract and transfer the detail so it can be tracked or billed as part of the contract cost.

This field does not display when you use a contract template to create a new contract record.
