Team Subcodes

When you set up Team Reporting, you must set up separate subcodes for each level in your team structure. You can then combine the subcodes to create the codes that identify your teams.

Each of your subcodes can contain up to 14 letters or numbers. If your firm has a multi-level team structure, you then combine subcodes from different levels to create valid teams. Valid teams are multi-code combinations — individual subcode levels are separated from one another by colons.

You set up subcodes in Configuration > Team > Codes.

Example

The first level of your team structure represents your firm’s offices. You give each office a unique two-character subcode, such as:

CO Corporate

BO Boston

CH Chicago

LV Las Vegas

The second level of your team structure represents the business disciplines within each of your offices. You give each discipline a three-character subcode, such as:

GEN General

ARC Architecture

ENG Engineering

ENV Environmental

When you put the subcodes together, you can track two-level entities, such as:

CO:GEN Corporate/General

BO:ARC Boston/Architecture

CH:ENG Chicago/Engineering

LV: ENV Las Vegas/Environmental

Because you can have up to five team levels, you can have up to five subcode levels — for example, NA:CA:MO:09:04 uses five subcodes to identify one team (North American Division, Canadian Operations, Montreal Office, Department 9, Discipline 4).

Valid Subcode Combinations

As part of setting up Organization Reporting, you must tell GovWin Capture Management that a particular combination of subcodes represents a valid organization. You do this on the Individual Organization Setup form in Configuration > Organization > Individual.

For example, if you fill out a form for CH:AR:01, GovWin Capture Management knows that this combination of subcodes refers to an existing organization. You can then enter this subcode anywhere organizations are referenced in GovWin Capture Management.

If you have not filled out a form for a particular set of subcodes, GovWin Capture Management will not let you enter any transactions that reference that set of subcodes.
