Deltek GovWin Capture Management - Create New Contact Dialog Box

Use the Deltek GovWin Capture Management - Create New Contact dialog box to enter a contact's name and address information, email address, important notes, and associated customer name, if applicable. This information is saved in the Contact Info Center.

Location

To display the dialog box, complete the following steps:

  1. In the notification area of your Windows taskbar, right-click the Deltek GovWin Capture Management Quick Launch icon (), or click Deltek GovWin Capture Management on the toolbar of the Add-Ins tab in Outlook.
  2. Select Create Contact.

Field Description
Prefix Use the drop-down list in this field to select a prefix to be used with the contact's name.

You define prefix options using the Prefix Code Table in Code Table Configuration. See your system administrator for information about adding values to this list.

First Enter the contact's first name.
Middle Enter the contact's middle name or initial.
Last Enter the contact's last name.
Suffix Use the drop-down list in this field to select a suffix to be used with the contact's name.

You define suffix options using the Suffix Code Table in Code Table Configuration. See your system administrator for information about adding values to this list.

Preferred Enter the contact's preferred name, if applicable. For example, Kathleen A. Jones may prefer to be addressed as Kathy Jones.
Title Enter the contact's title (Director, Capture Manager, CEO, for example). You can select a title from the drop-down list in this field. However, if the contact has a title not included in the list, you can enter the title directly in this field.

You define contact title options using the Contact Title Code Table in Code Table Configuration. See your system administrator for information about adding values to this list.

Source Use the drop-down list in this field to select the source of the contact. If the source of the contact does not appear in the drop-down list, enter the source directly in this field.

Sources may include specific conferences, trade shows, or the names of referring customers.

You define source options using the Contact Source code table in Code Table Configuration. See your system administrator for information about adding values to this list.

Customer Enter the name of the customer associated with the contact.

You can enter a customer name directly in this field, use the Quick Find feature to select a customer from your database, or click .

If the customer record you want to enter in this field does not yet exist in your database, you can click the New icon in this field to create a new customer.

Email Enter the employee's email address in this field.
Status

Use the drop-down list in this field to select a status, such as Active or Inactive, for the contact. The status that you select should reflect your current relationship with the contact.

Mailing Address When you enter a new contact record, the associated customer's primary address is automatically selected as the mailing address for the contact. You can designate a different mailing address, as needed.
  • To designate the contact's Other/Home Address as the contact's mailing address, display the customer's primary address and clear the Mailing Address option. GovWin Capture Management automatically selects the Mailing Address option for the contact's Other/Home Address.
  • To designate a different customer address as the contact's mailing address, display the customer's primary address and clear the Mailing Address option, if it is currently selected. Use the address drop-down list to select and display another customer address, and then select the Mailing Address option for that address.

You can designate only one address as the mailing address. The address you designate will display on reports and mailing labels.

Address 1, 2, 3, 4 Enter the new contact's address information (street name, number, suite number and P.O. box number, for example). This is the contact's primary address.
City Enter the new contact's city.
State/Province Use the drop-down list in this field to select the state or province in which the lead's address is located. GovWin Capture Management filters the State/Province drop-down list for the country that is currently selected.
Zip/Postcode Enter the new contact's zip or postal code.
Country Use the drop-down list in this field to select the country in which the contract's address is located. This field defaults to GovWin Capture Management's default country setting.
Bus. Phone Enter the contact's business phone number.

Your GovWin Capture Management Administrator defines the format for your phone number entry. To select a different format, see the Insert Phone Numbers topic.

Bus. Fax Enter the contact's business fax number.

Your GovWin Capture Management Administrator defines the format for your phone number entry. To select a different format, see the Insert Phone Numbers topic.

Mobile Enter the contact's mobile (cellular) phone number.

Your GovWin Capture Management Administrator defines the format for your phone number entry. To select a different format, see the Insert Phone Numbers topic.

Home Enter the contact's home phone number.

Your GovWin Capture Management Administrator defines the format for your phone number entry. To select a different format, see the Insert Phone Numbers topic.

Pager Enter the contact's pager number.

Your GovWin Capture Management Administrator defines the format for your phone number entry. To select a different format, see the Insert Phone Numbers topic.

Notes Enter any notes or information related to the contact.

If you enter text directly in the Notes field, you must:

  • Press SHIFT + ENTER to start a new line of text.
  • Press ENTER to start a new paragraph.
