Key Convert Vendor/Partner Format Form

Use the Key Convert Vendor/Partner Format form to change the format of vendor/partner numbers.

Display the Key Convert Vendor/Partners Format Form

You display the form in Utilities.

To display the form:

From the GovWin Capture Management Navigation menu, click Utilities > Key Formats > Vendor/Partners.

Contents of the Key Convert Vendor/Partners Format Form

Specify whether or not to use leading zeros, set the vendor/partner number length, and specify the delimiter symbol and position.

Field Description
Display Leading Zeros Select this option if you want GovWin Capture Management to add leading zeros to the number when you enter an incomplete vendor/partner number in any Vendor/Partner field in the database. For example, if you enter 1.00 and your vendor/partner number length is seven characters (includes the delimiter), GovWin Capture Management adds leading zeros to the vendor/partner number (for example, 00001.00).

This option controls the display of the vendor/partner numbers on forms and reports, as well as whether or not the vendor/partner number must be a fixed length.

Do not select this option if you want GovWin Capture Management to leave the vendor/partner number as entered. In this case, you can enter up to 12 alphanumeric characters for the vendor/partner number when entering new vendor/partner numbers in Vendor/Partner Info Center.

If you do not show leading zeros after you have already established a vendor/partner number length with delimiters in specific position(s), the length and delimiter format will be removed. For example, the vendor/partner number 0001.00 would become 1.00.

Delimiters are stored directly in the tables in the databases ( with the value). When leading zeros are no longer used, the vendor/partner number length is no longer a fixed value and the delimiter position is no longer valid.

Vendor/Partner Length Enter the desired vendor/partner number length, between 1 and 20 numbers. The current length of the vendor/partner number appears for reference.

If you decide to decrease the length of the number, first ensure that duplicate vendor/partner numbers will not be created during the conversion (conversion will test for this).

Add/Remove from Left/Right If you want to add or remove characters from a vendor/partner number, you can use this feature to determine whether the characters are added to or removed from the left or right side of the number.

For example, if you increase the vendor/partner number length from 5 to 7, you can then use this feature to add those two numbers to the left of the number: 12345 becomes 0012345.

Conversely, if you decrease the vendor/partner number length from 7 to 5, you can then use this feature to remove those two numbers to the right of the number: 1234567 becomes 12345.

Remember that the delimiter is counted as part of the vendor/partner number length.

Vendor/Partner Delimiter Enter the desired delimiter for your vendor/partner numbers. The current delimiter for your vendor/partner number appears for reference.

A delimiter must be a special character, such as a period (.) or a comma (,); not 0 to 9, A to Z, or |.

Delimiters are counted as part of the vendor/partner number length. For example, if the vendor/partner length is 6, the vendor/partner delimiter is a period (.), and the vendor/partner delimiter position is 4, the vendor/partner number appears as 456.78.

Vendor/Partner Delimiter Position This value is required if you entered a delimiter in the Vendor/Partner Delimiter field. Enter the desired delimiter position for your vendor/partner numbers. The position must be one less than the length of the field.
