If the other analytic tabs in Costpoint Analytics do not provide exactly the data you need, you can use the Ad Hoc Data Discovery tab to quickly create a table based on dimensions and metrics that you select.

Use the Dimensions list to select the dimensions by which you want to break down metric values in the Ad Hoc Data Discovery table. When you select a dimension, Costpoint Analytics adds a column for it before the first metric column.
Note: Be aware that not all combinations of dimensions and metrics result in meaningful data. For example, backlog data is only available by owning organization. Selecting a performing organization dimension along with a backlog metric would not yield useful information.
For most other analytics, you can display data either by owning organization or by performing organization, using the Org View user option to switch from one to the other. For Ad Hoc Data Discovery, sets of dimensions are available for both types of organizations, so you can display data by both owning organization and performing organization side by side.
If Costpoint Analytics is configured to include project user-defined fields (UDEFs), up to five ID or Text UDEFs are available as dimensions for data discovery. Other types of UDEFs are not available for use as dimensions.
For each UDEF, the Dimensions list displays two dimensions, one for the top project level and the second for the revenue level. For example, for a SUBCONTRACTOR1 UDEF, the list would include SUBCONTRACTOR1_TOP and SUBCONTRACTOR1_REV.
Which dimensions display in the Ad Hoc Data Discovery table is controlled by the same security settings that control your access to data on the other analytic tabs. For example, the organization access that your system administrator sets up for your Costpoint Analytics user role determines the organizations for which you can view metric values in the table.
Use the Metrics list to select the metrics for which you want to display values in the Ad Hoc Data Discovery table.
When you select a metric, Costpoint Analytics adds a column for it to the right of the dimension columns. Each row in a metric column contains the value of that metric for the combination of dimensions in that row.
Amount and Currency user-defined fields are not currently supported as metrics in the Ad Hoc Data Discovery table in Costpoint Analytics – Project.
Which metric values display in the Ad Hoc Data Discovery table is controlled by the tab security settings that control your access to the other analytic tabs. If you select a metric associated with a tab to which you do not have access, the table does not display data for that metric.
For example, if you select one of the backlog metrics but you do not have access to the Backlog tab, the table does not display data for that backlog metric.
The data displayed in the Ad Hoc Data Discovery table is affected by filter values selected on other analytic tabs in Costpoint Analytics – Project. For example, if you select one project manager on the Revenue tab, the Ad Hoc Data Discovery tab only displays data for that project manager if you select the Project Manager dimension.
To start your ad hoc data discovery with no filters, click on the toolbar and then select your dimensions and metrics.
To filter the contents of the table while working on the Ad Hoc Data Discovery tab, click in a table cell containing the value you want to filter by.
Use the fiscal year, quarter, and period controls across the top of the tab to change the analysis period reflected in the analytics.
Use the Period and YTD options to indicate whether you want to display totals for the analysis period or year-to-date totals for the latest selected year.
Note: The default analysis period may result in no values for certain metrics. If that occurs, select the specific analysis period you want to analyze.
For more information on specifying the analysis period, see Specify an Analysis Period.
While much of the data presented in Costpoint Analytics comes from Costpoint, the budget data is entered into a Microsoft Excel spreadsheet and loaded into Costpoint Analytics from that spreadsheet file.
Your system administrator can set up and load two types of budgets: a baseline budget and a forecast (or revised budget). If both of those budgets have been loaded, you can use the Baseline Budget and Forecast options in the upper-left corner of the tab to select the one you want to use for your analysis.
Revenue amounts used in Costpoint Analytics can be calculated using either actual or target rates. During the configuration process for Costpoint Analytics, your system administrator selects the option your firm will use. That selection applies to all revenue metrics and to metrics for which revenue is included in the calculation (profit metrics, for example).
If your firm uses the Interim/Final Rates feature in Costpoint and includes prior year revenue adjustments in the Project Status Report (PSR) reporting tables, revenue amounts may include those prior year adjustments. A Costpoint Analytics configuration option controls whether the adjustments are included and, if they are, which fiscal periods are affected. To display prior year revenue adjustment amounts, select the Revenue Adjustment metric for one of the table columns. For more information, see Adjustment Period.
Several options affect the profit metrics:
User options: Profit/Gross Profit options — Use the Profit and Gross Profit options on the Ad Hoc Data Discovery tab to indicate if you want to use gross profit (project income less project expenses) or profit (project income less all direct and indirect expenses) for the profit-related metrics.
Configuration option: COM in gross profit — During the configuration process for Costpoint Analytics, your system administrator specifies whether or not cost of money is included in the calculation of gross profit.
Configuration option: Cost pools in gross profit — During the configuration process for Costpoint Analytics, your system administrator specifies the cost pools that are included in the calculation of gross profit.
Configuration option: Adjustment Period — If your firm uses the Interim/Final Rates feature in Costpoint and includes prior year cost or revenue adjustments in the Project Status Report (PSR) reporting tables, profit calculations may include those prior year adjustments, depending on how this configuration option is set. If prior year cost or revenue adjustments are included, all profit amounts reflect any applicable prior year adjustments.
On the Backlog tab, you can analyze either contract backlog or funded backlog, using a set of options to switch between the two. On the Ad Hoc Data Discovery tab, separate sets of metrics are available for each of these backlog types so you can display both in the table at one time.
How Costpoint Analytics calculates DSO values depends on two decisions your firm makes during the configuration process:
Calculate DSO using revenue amounts or using billing amounts?
Include unbilled in the calculation?
Depending on those decisions, your DSO formula will be one of the following:
AR / (Billing for prior 3 periods / 90)
AR / (Revenue for prior 3 periods / 90)
(AR + Unbilled) / (Billing for prior 3 periods / 90)
(AR + Unbilled) / (Revenue for prior 3 periods / 90)
If you include unbilled in DSO, Costpoint Analytics calculates unbilled using inception-to-date (ITD) revenue and billing:
Unbilled = ITD revenue – ITD billing
The user options you select, either on the User Options tab or on the Ad Hoc Data Discovery tab itself, affect the Ad Hoc Data Discovery table in the following ways:
User Option |
Effect on the Analytics |
Budget Type |
If you select Baseline Budget, the budget and variance metrics use baseline budget data. If you select Forecast, those metrics use forecast data. The metric column labels change to reflect the type of budget data (for example, Revenue Baseline Budget or Revenue Forecast). |
Org or Reorg |
This user option does not affect Ad Hoc Data Discovery. Reorganizations are not available for selection as dimensions. |
Org View |
This user option does not affect Ad Hoc Data Discovery. For other most other analytics, you can display data either by owning organization or by performing organization, using the Org View user option to switch from one to the other. For Ad Hoc Data Discovery, sets of dimensions are available for both types of organizations, so you can display data by both owning organization and performing organization side by side. |
Profit Type |
If you select Gross Profit, the profit metrics use gross profit amounts (project income less project expenses). If you select Profit, those metrics use profit amounts (project income less all direct and indirect expenses). The metric column labels change to reflect the type of budget data (for example, Projected Profit Amount or Projected Gross Profit Amount). |
