Historical Data Load (Project Analytics)

Purpose

Your entry in Number of Periods Back under Historical Data Load controls the number of historical fiscal periods for which actual performance data is loaded into Costpoint Analytics – Project when you run the load process.

This setting applies to all detailed project analytics.

Employee Analytics

You select a separate range of periods for employee analytics in Costpoint Analytics – Employee Configuration. The two ranges need not be the same.

AR and DSO Analytics

As it does for other project data, this option controls how much historical AR-related data is loaded. Note these differences, however:

Preparation

In Actuals Up Through, select the latest fiscal period for which you want to load actual performance data. See Current Period Option (Project Analytics) for more information.

Initial Configuration

When you set up Costpoint Analytics, you load all of the historical actual performance data that you want to be available when you begin using the project analytics. To do that, use the Number of Periods Back field under Historical Data Load to select the number of historical fiscal periods for which you want to load actual performance data.

For example, select 24 if you want to load actual performance data for the fiscal period selected in Actuals Up Through and for the 23 previous fiscal periods.

The maximum number of historical periods you can load is 60.

Before you load the initial data, make sure data has been generated in the PSR_FINAL_DATA table in Costpoint for all projects for the earliest fiscal period that you are loading. If PSR_FINAL_DATA does not contain data for a project for the earliest period, the backlog calculation for the project will not be correct.

Ongoing Administration

After each fiscal period ends and complete actual performance data is available for it in Costpoint, do the following to transfer that data to Costpoint Analytics – Project:

  1. In Actuals Up Through, select the fiscal period for which you want to load data.

  2. Make sure that Number of Periods Back is set to 1.

  3. Continue with the remainder of the data load process so that the actual performance data for that period is available in Costpoint Analytics.

In rare cases, you may find it necessary to load more than one period of actual performance data. To do that, select the appropriate number of periods in Number of Periods Back. For example, if your firm made significant changes in revenue recognition or accounting procedures in mid-year and applied  the changes retroactively as of the beginning of the fiscal year, you could load data into Costpoint Analytics for all prior periods in the current year.
