| Tax ID | Enter the tax ID for this vendor. Deltek recommends that you enter the vendor's tax ID before issuing payment to the vendor. Currently, you can withhold a portion of the amount owed if you do not have a valid tax ID.
This field displays the tax ID depending on the suppression settings on the Manage Users screen.
This table describes how the suppression settings are applied to this field:
| Suppress SSN | Suppress AP Tax ID | Result |
|---|
| Cleared | Cleared | The Tax ID displays and is editable whether you select non-employee vendors or vendors that are company employees. | | Cleared | Selected | The Tax ID displays and is editable only when you select vendors that are company employees. | | Selected | Cleared | The Tax ID displays and is editable only when you select non-employee vendors. | | Selected | Selected | When creating new records, the Tax ID field is editable when the screen loads, but the field value is cleared and a warning message displays when you click Save. If you query existing vendors, whether they are non-employees or company employees, the Tax ID is hidden. |
|
| 1099 Name | Enter a value in this field if the vendor’s tax ID name is different from the vendor Long Name (sole proprietor) on the main screen. If you do not enter a name in this field, Costpoint uses the vendor Long Name to create 1099s.
This field applies only to 1099s. When you print vendor checks, Costpoint uses the vendor Long Name from the main screen. |
| 1099 State | Enter, or click to select, the default state where a 1099 vendor is required to file state taxes.
The Lookup displays only state codes that have been made available in Costpoint. If you enter a value that does not match an existing code, an error displays. Refer to the States and Codes special topic to view valid states that you can enter or select in this field. |
| Recipient TIN Type | Select the type of tax identification number of the recipient. It has the following options:
- EIN: A nine‑digit taxpayer identification number issued by the IRS to identify business entities, estates, trusts, and other non‑individual taxpayers for federal tax reporting purposes.
- QI-EIN: An Employer Identification Number assigned to a foreign entity or certain U.S. branches that have entered into a Qualified Intermediary (QI) agreement with the IRS and assume primary withholding and reporting responsibilities for certain U.S.‑source income.
- SSN: A nine‑digit taxpayer identification number issued by the Social Security Administration to U.S. citizens and eligible residents, used to identify individuals for employment and federal tax reporting purposes.
- ITIN: A nine digit taxpayer identification number issued by the IRS to individuals who are required to file U.S. tax returns but are not eligible for a Social Security Number. An ITIN is used for federal tax reporting purposes only.
- ATIN: A temporary taxpayer identification number issued by the IRS for a child in a pending domestic adoption when the adopting parents are unable to obtain the child’s Social Security Number before filing a federal tax return.
- UND: An indicator used in information return reporting when a recipient’s taxpayer identification number has not been provided or cannot be determined at the time of filing, despite required solicitations. The IRS does not consider this a valid TIN and may assess penalties for missing TINs.
The Recipient TIN Type is required only for generating 1099 CSV files. Other types of 1099 outputs do not require recipient details.
