Use this screen to select eligible ready-for-use/acceptance sales order invoices. You can individually choose and mark invoices as accepted along with an associated accepted date.
Costpoint includes the invoices that you enter on this screen in the sales order journal posting for their corresponding fiscal year, period, and subperiod. When you post invoices, Costpoint creates a journal entry to debit unbilled accounts receivable (A/R) and credit sales. The invoices modified on this screen produce an additional journal entry to debit A/R and credit unbilled A/R.
If you use Multicurrency, the appropriate column headers contain the prefix "Trans Currency." Each line item amount is specified in that transaction currency. If the transaction and functional currencies are the same, or if you do not use Multicurrency, only the functional currency amounts display on the screen.
You can modify the invoices accepted on this screen (and assigned an acceptance date and a Ready for Use (RFU) fiscal year and period) until they are posted. Once the RFU-related journal entry is created and posted, the invoices marked on this screen are no longer available for modification. The posting process updates the Posting Info tab of the Manage Invoices screen with the RFU posting sequence and date.
To limit the display of eligible invoices to one sales order, enter, or click to select, the sales order ID and then click the Execute button. If you leave the Sales Order field blank before clicking Execute, all sales order invoices in Costpoint that match the other selected sort criteria display.
To limit the display of eligible invoices to one pricing catalog, enter, or click to select, the catalog and then click the Execute button. If you leave the Catalog field blank before clicking Execute, all sales order invoices in Costpoint that match the other selected sort criteria display.
To limit the display of eligible invoices to one invoice number, enter, or click to select, the invoice number and then click the Execute button. If you leave the Invoice field blank before clicking Execute, all sales order invoices in Costpoint that match the other selected sort criteria display.
To limit the display of eligible invoices to one pricing project, enter, or click to select, the project and then click the Execute button. If you leave the Project field blank before clicking Execute, all sales order invoices in Costpoint that match the other selected sort criteria display.
To limit the display of eligible invoices to one customer ID, enter, or click to select, the customer code and then click the Execute button. If you leave the Customer field blank before clicking Execute, all sales order invoices in Costpoint that match the other selected sort criteria display.
Use the drop-down list to select a primary/secondary sort option:
Sales Order/Invoice
Customer/Sales Order
Catlg or Project/Sales Order
Select this option to display RFU sales order invoices that have not yet been accepted. This option is the default.
Select this option to display previously accepted RFU sales order invoices. You can modify the accepted date, RFU fiscal year, period, and subperiod for RFU invoices until they are posted.
Enter the cutoff invoice date for RFU invoice selection. Costpoint processes all specified selection criteria along with the cutoff invoice date entered to display eligible RFU invoices. Invoices with invoice dates later than the chosen date do not display.
This check box displays as blank for eligible invoices. Select this check box to mark an invoice with an accepted date. This indicates that the RFU invoice is accepted and is eligible for journal posting.
This field displays the system date as a default for the accepted date. If necessary you can enter, or click to select, another accepted date.
Enter, or click to select, the ready-for-use fiscal year in which the RFU invoice should be posted.
Enter, or click to select, the ready-for-use period in which the RFU invoice should be posted.
Enter, or click to select, the ready-for-use subperiod in which the RFU invoice should be posted.
This field displays the sales order invoice ID.
This field displays the sales order number.
