PRINT INVENTORY REORDER REPORT

Use this screen to print a reorder report and create requisitions. This application reviews the inventory levels of all selected inventory parts with a Planning Type of Reorder on the Manage Parts screen in Costpoint Product Definition and determines which parts are below or at their reorder point quantity specified in the Part Project (PART_PROJ) table. You can also select to display only those reorder policy parts that are at or below their part/project safety stock. The application can also generate purchase requisitions automatically for those buy parts that meet the selection criteria on this screen.

During requisition generation, the preferred vendor must not be flagged as a payroll vendor, and its Approval Code must not be Not Approved or Pending. The vendor's Vendor Status for PO must not be On Hold.

Identification

Use the fields in this block to create a new parameter ID or to retrieve a previously saved parameter ID. A parameter ID represents a set of screen selection parameters. After you have saved a parameter ID and its related parameters, you can retrieve them using Query.

You can use the retrieved parameters to produce reports and run processes more efficiently and with greater consistency. The saved parameters are also useful and necessary when you want to run the process as part of a batch job. Many users save a unique set of parameters for each different way they run a report or process. When you select a previously saved parameter ID or parameter description, the associated saved screen selection parameters automatically display as selection defaults. The page setup and print options are also included in the saved parameter ID if there are any. You can change any of the associated selection defaults as necessary.

Parameter ID

Enter, or click to select, a parameter ID of up to 15 alphanumeric characters. Choose characters for your parameter ID that help identify the type of selections you made in the screen, such as PERIOD or QUARTERLY.

When you save your record, all the selections made in the screen are stored with the parameter ID. Later, you can retrieve the parameter using Query.

You can use the parameter to run the process more efficiently because you can select the parameter ID with its previously defined screen selections. After the default selections display in the screen, you can override the defaults.

Description

Enter, or click to select, a parameter description of up to 30 alphanumeric characters.

Options

Select Make/Buy

Buy

Select this check box to include parts your company buys. If you clear this check box, buy parts are not included in the report.

Make

Select this check box to include parts your company makes. If you clear this check box, make parts are not included in the report.

Calculation Options

Include On-Order and On-Req Quantities in Inventory

Select this check box to include on-order and on-requisition quantities as available inventory for reorder calculations.

Include Reserved and Owed Quantities in Inventory

Select this check box to include reserved quantities as consumed materials and owed quantities as available supplies when calculating reorder point.

Show Only Parts That Have Reached Safety Stock Levels

Select this check box to report on and requisition only those parts at or below their safety stock level.

Cutoff Date

Enter, or click to select, the latest reservation need date used when calculating available inventory. Reservations after this date are excluded from the calculation.

Generate

Use this group box to enter information on the requisitions to be generated by the reorder process.

You can establish a link between an approval process and a system workflow in Costpoint Workflow (in Administration) so that, when you initiate the workflow case, for example, Costpoint sends a message to the next approver's user ID when the requisition Status is changed to I (In Approval) on the Manage Purchase Requisitions screen. Be sure to check with your Costpoint administrator or consultant regarding establishing additional workflow settings in Costpoint Workflow.

Use this group box whenever requisitions are generated by the reorder process.

Starting Req Number

Enter a starting requisition ID or leave this field blank if auto-assign is on.

Planner

Enter, or click to select, the planner ID of the requisitioner assigned to the requisition. This planner ID displays on all generated requisition lines. If the Planner field is not populated, the Planner ID from the part, inventory project, or the commodity code that is assigned to the purchase order line or requisition line loads in this modifiable field, based on the settings in the Planner Assignment group box on the Configure Production Control Settings screen.

For example, if a Planner is assigned to the part on the Manage Parts screen (in Costpoint Product Definition), and the Part option is selected on the Configure Production Control Settings screen, the part's planner ID loads in this modifiable field.

Requested Date

Enter, or click to select, the date to appear on the requisition lines.

Requisitioner

Enter, or click to select, the employee ID of the requisitioner assigned to the requisition.

Status

Select the status to assign to the requisition initially from the drop-down list. The available options are:

Processing

The following logic is used in the Inventory Reorder report for a requisition quantity:

If you selected the Include On-Order and On-Req Quantities in Inventory check box:

Available Qty

=

On Hand Qty +

In Inspection Qty +

MRB Qty +

Shipping Qty +

On Order Qty +

On Requisition Qty

If you clear the Include On-Order and On-Req Quantities in Inventory check box:

Available Qty

=

On Hand Qty +

In Inspection Qty +

MRB Qty +

Shipping Qty

Costpoint uses the INVT table in this calculation. The quantities in the preceding list are summed from all INVT rows tied to that part/project combination.

If you select both the Include On-Order and On-Req Quantities in Inventory and the Include Reserved and Owed Quantities in Inventory check boxes:

Available Qty

=

On Hand Qty +

In Inspection Qty +

MRB Qty +

Shipping Qty +

On Order Qty +

On Requisition Qty

On Requisition Qty +

Owed Qty -

Reserved Qty +

If you entered a Cutoff Date, only those reservations with a need date earlier than, or the same as, the Cutoff Date are included in the reserved and owed quantities.

  1. The program determines if a requisition needs to be generated.

If you selected the Show Only Parts that have Reached Safety Stock Levels check box, the program generates a requisition if available quantity is less than or equal to safety stock quantity (PART_PROJ table). If you cleared the Show Only Parts that have Reached Safety Stock Levels check box, the program generates a requisition if available quantity is less than or equal to reorder point quantity (PART_PROJ table).

  1. The program finds a quantity for the requisition generation.

If order Policy Type is Order To Point on the Manage Parts screen (PART table) in Costpoint Product Definition, the requisition quantity equals the order to quantity minus the available quantity.

If order Policy Type is Reorder Point on the Manage Parts screen (PART table) in Costpoint Product Definition, the requisition quantity equals the minimum lot size quantity (PART table).

Order to Quantity is in the PART_PROJ table.

This application functions with regard to Costpoint Procurement Planning, and it populates transaction amount columns associated with requisitions into the following tables: Requisition Header (RQ_HDR), Requisition Line (RQ_LN), Requisition Line Account (RQ_LN_ACCT), and Requisition PO Line (RQ_LN_PO). Data is stored in both Transaction and Functional currencies, and all currency related columns for the requisition are populated with default values. That is, the Exchange Rate is 1. If a Requisition PO Line is generated using an existing purchase order, the transaction currency and exchange rate information loads for that table from the purchase order.

You cannot select a different Transaction currency or exchange rate to associate with the generated requisitions.
