Access to this screen may normally be restricted to a system administrator for the purpose of assigning archive rights to a report (or report group), a user (or user group), or for reviewing and editing existing rights.
This screen consists of three blocks, all of which display on the screen at once, and function as follows:
Use the Identification block to specify the user/user group and report/report group for which to establish report archive security rights.
Use the Rights block to designate the applicable companies, archive files, and archive file rights.
Use the Report Group Reports table window block to view the details of the reports or report categories linked to the user or user group.
Set up this screen during initialization to establish, edit, or review report archive security rights.
You must have first established users in the Users screen (Administration\Maintain\Users) or user groups in the User Groups screen (Administration\Maintain\Users), as applicable.
You must also have first established report groups in the Report Groups screen (Administration\Maintain\Reports).
Use the fields in this block to specify the user/user group and report/report group for which to establish report archive security rights.
Enter, or use Lookup to select, the user or user group, as applicable, for which to add, edit, or review report archive security rights.
Depending on your selection in the User/User Group field, the appropriate type ("User" or "User Group") displays in this non-editable field.
The name of the user or user group, as applicable, displays in the non-editable field to the right of this field.
Enter, or use Lookup to select, the report or report group, as applicable, for which to add, edit, or review report archive security rights.
Type *
Depending on your selection in the Report/Report Group field, the appropriate type ("Report" or "Report Group") displays in this drop-down box.
For a new record, you can select the appropriate type ("Report" or "Report Group") from this drop-down box.
The name of the report or report group, as applicable, displays in the non-editable field to the right of this field.
Use the fields in this block to designate the applicable companies, archive files, and archive file rights.
Use the fields in this group box to apply report archive security rights to all companies or to designate a specific company for which to establish report archive security rights.
Select this checkbox to apply the designated report archive security rights to all companies. If you select this checkbox, "ALL" automatically displays in the Company field to the right, which cannot be edited.
This checkbox is selected by default.
If you have selected the Apply Rights to All Companies checkbox in this group box, this field automatically displays "ALL" and cannot be edited. In this circumstance, the designated report archive security rights will be applied to all companies.
If you have deselected the Apply Rights to All Companies checkbox in this group box, enter, or use Lookup to select, the specific company to which you will apply the designated report archive security rights.
The Apply Rights to All Companies checkbox in this group box is selected by default and therefore this field displays "All" by default.
Use the fields in this group box to apply report archive security rights to all associated archive files or to designate a specific archive file name for which to establish report archive security rights.
Apply Rights to All Associated Archive Files
Select this checkbox to apply the designated report archive security rights to all associated archive files. If you select this checkbox, "ALL" automatically displays in the Archive File Name field to the right, which cannot be edited.
This checkbox is selected by default.
If you have selected the Apply Rights to All Associated Archive Files checkbox in this group box, this field automatically displays "ALL" and cannot be edited. In this circumstance, the designated report archive security rights will be applied to all associated archive files.
If you have deselected the Apply Rights to All Associated Archive Files checkbox in this group box, enter, or use Lookup to select, the specific archive file name to which the designated report archive security rights will be applied.
The Apply Rights to All Associated Archive Files checkbox in this group box is selected by default and therefore this field displays "All" by default.
Use the fields in this group box to designate viewing, modification/deletion, and organization security features within the established report archive security rights.
Select this checkbox to allow viewing rights of the archive file(s) for the designated user/user group and report/report group.
This checkbox is selected by default.
Allow Modification/Deletion of Archive File
Select this checkbox to allow modification/deletion rights of the archive file(s) for the designated user/user group and report/report group.
This checkbox is deselected by default.
Select this checkbox to ignore established organization security of the archive file(s) for the designated user/user group and report/report group.
This checkbox is deselected by default.
Use the fields in this table window block to view the details of the reports or report categories linked to the user or user group.
If you have selected to establish report archive security rights in this screen by report group, this non-editable field lists the report technical names that have been assigned to the selected report group.
If you have selected to establish report archive security rights in this screen by report, no data displays in this field.
If you have selected to establish report archive security rights in this screen by report group, this non-editable field lists the report names that have been assigned to the selected report group.
You can click on the Notes icon at the end of field to view information about the report that may have optionally been added.
