Archived Reports

What can I do in this screen?

Use this table window screen primarily to view an archived report.  

You can also, however, edit the archive file description and the archive file expiration data.  In addition, depending on your report archive rights, you can also perform cleanup on archived reports.

When should I use this screen?

Use this screen whenever you need to view archived reports and, depending on your permissions, if you choose to perform limited edits and cleanup functions.

You can optionally first link archive categories and report categories, using one of the following:

For certain screen fields and functions, your user ID/user group must already have been granted sufficient report archive security rights for one or more specific reports/archive categories for this company.  Set up optional archive security rights in the Report Archive Security Rights screen (Administration\Maintain\Reports).

Field Descriptions

Archive File Name

This field can be populated two ways:

  1. The system-assigned archive file name normally displays in this non-editable field if you have not otherwise specified an archive file name elsewhere (see below).  In this circumstance, the system automatically uses a naming convention that includes the application name and then the sequentially numbered instance of that application. For example, for the Print Standard Bills report, the system would assign "BLRMBIL" as the archive file name for the first instance of the report, "BLRMBIL_1" for the second instance of the report, "BLRMBIL_2" for the third instance of the report, etc.

In this circumstance, you can provide your own name/description in the Archive File Description field to add clarity to this data, as desired.

  1. Alternately, you may have specified the desired archive file name (and description) directly from the Print Options screen (accessed via the menu bar) if you have selected Archive as a delivery option. Enter this data in the Archive ID field using the Print/Archive tab in the Print Options screen.  In this circumstance, your data will display in this field instead of the system-assigned default archive file name.

Archive File Description *

This field can be populated two ways:

The system-assigned archive file description automatically displays as a default in this field if you have not otherwise specified an archive file description elsewhere (see below).  In this circumstance, the system automatically uses a naming convention that includes the application name and then the sequentially numbered instance of that application.  For example, for the Print Standard Bills report, the system would assign "BLRMBIL" as the archive file description for the first instance of the report, "BLRMBIL_1" for the second instance of the report, "BLRMBIL_2" for the third instance of the report, etc.

You can edit the system-assigned archive file description, as desired.

  1. Alternately, you may have specified the desired archive file description (and name) directly from the Print Options screen (accessed via the menu bar) if you have selected Archive as a delivery option. Enter this data in the Description field using the Print/Archive tab in the Print Options screen.  In this circumstance, your data will display in this field instead of the system-assigned default archive file description.

To change the default system-assigned archive file description in this field, enter up to 60 alphanumeric characters, as desired.

You can click on the Notes icon at the end of this field to add up to 254 characters of additional information relative to the archive file description.

File Expires

Enter, or use Calendar Lookup to select, the date that this archive file is eligible to be purged.

You cannot access this field unless your user ID/user group has been given sufficient report archive security rights for this report/archive category for this company. You have the option of setting up archive security rights using the Report Archive Security Rights screen (Administration\Maintain\Reports).

The system normally leaves this field blank as a default.  If you leave this field blank, this archive file will never expire.

You may have specified expiration criteria for this report directly from the Print Options screen (accessed via the menu bar) if you selected Archive as a delivery option and you had sufficient security rights to do this. (This data is entered using the Print/Archive tab in the Print Options screen, using the Never Delete checkbox, Delete When Older Than fields, or the Delete After field.)  In this circumstance, the appropriate data from the Print Options screen will display in this field, although you can overwrite this data if you have sufficient security rights.

Application

The Costpoint technical application designation displays in this non-editable field. For example, "BLMRBIL" will display in this field if Print Standard Bills is the archived report.

Application Name

The Costpoint technical application name displays in this non-editable field. For example, "Print Standard Bills" will display in this field for the Print Standard Bills application (BLRMBIL).

You can click on the Notes icon at the end of this field to view any additional information entered relative to the application name.

Report

The Costpoint technical report application designation displays in this non-editable field.  

In some instances, this data may be identical to the technical application designation data in the Application field.  For example:

Report Name

The Costpoint technical report application name displays in this non-editable field.  

In some instances, this data in this field may be identical to the technical application designation in the Application Name field.

You can click on the Notes icon at the end of this field to view any additional information entered relative to the report name.

Report Category

The system-assigned report category that was linked with this report displays in this non-editable field.  

Report categories are assigned to individual reports by the system and can be viewed in the Report Categories screen (Administration\Maintain\Reports).

Report Category Name

The system-assigned report category name for the system-assigned report category that was linked with this report displays in this non-editable field.

You can click on the Notes icon at the end of this field to view any additional information entered relative to the report category name.

Archive Category

The report archive category that you linked to the system-assigned report category for this report displays in this non-editable field.  

You can assign a report category to a report archive category in the Report Archive Categories screen (Administration\Maintain\Reports) or you can assign a report archive category to a report category in the Report Categories screen (Administration\Maintain\Reports).

Archive Source

The source of the archive displays in this non-editable field.  The system displays "System Archive" or "User Archive."

If the display is "System Archive," the archive was created as a result of a system setting.  If the display is "User Archive, the archive was created because the user selected "Archive" from the Print Options screen.

Created By

The user ID that created the archived report displays in this non-editable field.

Created Date/Time

The date and time that the archived report was created displays in this non-editable field.  

Modified By

If applicable, the last user ID that modified any data field data in the row displays in this non-editable field.

Modified Date/Time

If applicable, the last date and time that any data field in the row was modified displays in this non-editable field.  

The date and time that the archived report was created displays in this non-editable field.

Table Information

Changes to this screen update the W_RPT_ARCHIVE_table.
