Alternate File Locations

What can I do in this screen?

Use this screen to set up alternate file location information for specific users and/or user groups. The data from this screen is used by the system to identify the actual disc location/folders (local or network drives/folders) available to Costpoint web users for accepting input files or writing output files.

This screen contains two table windows, both of which display on the screen at once, and function as follows:

You can designate an alternate file location in many of the Costpoint web screens.  Alternate file location fields are optional, however, with only one exception: if you have selected Print to File as a delivery option in the Print Options screen, you must specify an alternate file location, unless you prefer to use the Download option.

When should I use this screen?

Set up new data in this screen after you have established users and user groups in the Users and User Groups screens (Administration\Maintain\Users).

Set up data in this screen before you assign an alternate file location in a Costpoint web screen.

FAQs

How can I change or delete alternate file location data in this screen?

In many Costpoint setup screens, established setup data is viewed as "dependent" data. In this circumstance, once the data is used in other setup and data entry screens, it cannot be deleted from the screen of original entry.  

Although the system validates alternate file location data at the point of entry, the "dependent data" rule is not followed in the case of deleting alternate file locations from this screen.  You are permitted to delete alternate file locations in this screen, even if that location resides as data in another Costpoint web screen.

Field Descriptions

Alternate File Locations

Use the fields in the primary table window to set up alternate file location IDs, names, and URL/folders.

Alternate File Location ID *

Enter up to 30 alphanumeric characters to assign an identifier for the alternate file location ID.

Name *

Enter up to 30 alphanumeric characters to provide an alternate file location ID name or description.

For an existing alternate file location, you can edit this data in this field as desired.

URL/Folder *

Enter up to 254 alphanumeric characters to specify the URL/folder data for the alternate file location ID.

For an existing alternate file location, you can edit the data in this field as desired.

You can click on the Notes icon at the end of the row to add up to 254 characters/lines of additional information relative to the URL/folder data.

Note:  The URL (Uniform Resource Locator) specifies the global address of documents and other resources on the World Wide Web.  The first portion of the address indicates which protocol to use, and the second portion specifies the IP address or the domain name where the resource is located.

For example, a URL (such as http://dltkas99:1234) could be used inside a workflow e-mail message, and you could click on it and be launched directly to that web location.

Assigned Users/User Groups

Use the fields in the secondary table window to assign users/user groups to the alternate file locations, as desired. Users and user groups can access only the alternate file locations within Costpoint web applications to which they have been linked in this screen.

User/User Group *

Enter, or use Lookup to select, users and/or user groups to assign to the alternate file location.

The selected user/user group, as applicable, will be validated against those previously established in the Administration\Maintain\Users\Users and/or Administration\Maintain\Users\User Groups screens.

Name

The system automatically displays the name associated with the user/user group name, as applicable, in this non-editable field.

The user/user group name, as applicable, should have been previously established in the Users or User Groups screen (Administration\Maintain\Users\.

You can click on the Notes icon at the end of the row to view additional information relative to the user/user group.

Changes to this screen update the W_LOCATION_LIST and W_LOC_USER_LINKS tables.
