Only requisition lines with no previously assigned buyer and with a "Pending," "In-Approval," or "Approved" approval status are available in this screen.
This screen displays the Approval Process subtask. This subtask allows you to view the requisition approval process status information.
Use this screen to assign requisition lines to buyers.
It is a good practice to allow the Purchasing Managers and other Purchasing personnel to have access to this application. Designating specific personnel to assign requisitions prevents individual buyers from being overloaded with a disproportionate number of requisitions.
Enter, or use Calendar Lookup to select, the buyer assignment date for the requisition lines. You must enter the date in the MM/DD/YYYY format.
The data in this field represents the date you assign a requisition lines to a buyer.
The system date defaults into this field but can be modified, as needed.
Enter, or use Calendar Lookup to select, the target place date. You must enter the date in the MM/DD/YYYY format.
The data in this field represents the date by which the buyer should generate a purchase order in order to receive the requisitioned line items by the requested date.
Select this checkbox to display a list of requisitions that have already been assigned to a buyer along with those that have not been assigned.
If you do not select this checkbox, only those requisitions that have not been assigned to a buyer will display in this screen.
This non-editable field displays the requisition ID.
The requisition ID is a unique alphanumeric combination used to identify the requisition.
This alphanumeric combination is used throughout Costpoint to reference the requisition.
This non-editable field tracks the number of times the requisition status shifts from "R" (Rejected) to "P" (Pending).
When a requisition or requisition line has been rejected, the requisitioner can edit and save the requisition, thereby resetting the requisition status to "P" (Pending) and incrementing the revision number by one.
This non-editable field displays the date you created the requisition.
Enter, or use Lookup to select, up to 12 alphanumeric characters to identify the buyer responsible for processing this requisition.
The data in the Lookup originates from the Buyers screen (Materials\Configure\Purchasing).
If you selected the Include Assigned Requisitions checkbox, this field displays the ID of the buyer who has been assigned the requisition.
Enter, or use Lookup to select, up to two alphanumeric characters to identify the procurement type code that classifies this requisition.
The data in the Lookup originates from the Procurement Types screen (Materials\Configure\Purchasing).
A procurement type code represents the reason your company has selected a specific vendor from which to purchase a product, good, or service.
"CB" (Competitive Bid) and "SS" (Sole Source), for example, might represent procurement type codes.
You can use procurement types to categorize requisition lines and to instruct buyers on how many quotes should be obtained before the requisition line is generated into a purchase order.
Enter, or use Calendar Lookup to select, the assignment date. You must enter this date in the MM/DD/YYYY format.
If the requisition has already been assigned to a buyer, this field displays the date of that assignment.
If the requisition has not been assigned to a buyer, this field will display data seeded from the Default Assignment Date field.
The field is populated after you tab out of the Buyer field.

This non-editable field displays the name of the requisitioner.
This non-editable field displays the requisition line number.
This non-editable field displays the requisition line type.
Line types include "P" (Part), "G" (Good), "S" (Service), or "M" (Miscellaneous).
This non-editable field displays the item code.
The item code serves as an identifier which is specific to this item.
This non-editable field displays the item revision, if applicable, from the requisition line.
The revision number represents engineering or design modifications for the part selected.
This non-editable field displays the item description.
This non-editable field displays the commodity code.
A commodity is a product or service deemed useful and purchasable. Generally, commodity codes are used to group similar parts, goods, and/or services.
This non-editable field displays the planner.
The planner schedules manufacturing orders and determines the availability of materials in order to meet production and sales order demands.
The planner also works with buyers to coordinate and expedite the ordering of materials.
This non-editable field displays the miscellaneous line charge type code from the requisition line, if applicable.
This non-editable field displays the requisition line status.
The line status options include "Pending," "In-Approval," "Void," "Approved," "Rejected," "PO Generated," and "Closed."
P - Pending. This status indicates the requisition is being modified by the requisitioner. This status will exists until the requisitioner submits the requisition for approval or freezes it from further changes, if no approvals are required.
I - In-Approval. This status indicates the requisition has been submitted for approval and is in the process of being reviewed. You cannot modify requisitions with a status of "In-Approval" in this screen.
V - Void. This status indicates the requisition has been voided and no further processing will occur.
A - Approved. This status indicates the requisition has been approved and can be processed into a purchase order in the Requisition Processing screen. You cannot modify requisitions with this status in this screen.
R- Rejected. This status indicates the requisition has been rejected during the approval process (or by a buyer in the Requisition Processing screen (Materials\Transactions\Purchase Requisitions)) and can be corrected and resubmitted for approval.
G - PO Generated. This status indicates a purchase order has been created from this requisition, and it cannot be modified.
C- Closed. This status indicates a requisition has been processed by specific applications in the Receiving and Accounting modules. These modules include a "closing" process which, when executed, systematically closes the requisition.
This non-editable field displays the approval process code associated with this requisition line.
The approval process code represents a category or grouping which allows specific employees to modify requisitions (minimally or at great length), based on the authority provided to them.
The approval title is a subset of the approval process code. Therefore, by linking a title code to a process code, certain employees inherit rights or restrictions, based on your setup of these process codes in the Purchase Requisition Approval Processes screen (Materials\Configure\Purchase Requisitions).
For example, employees associated with the "DPTMGR" approval process code might be authorized to approve requisitions with a purchase amount of up to $500,000. In addition, these employees might be authorized to modify project/account/organization information on the requisition.
Employees associated with the "DPTSUP" approval process code, on the other hand, might be able to approve requisitions with a purchase amount of up to $1,000. Members associated with this process code may have no authority to edit requisition data.
This non-editable field displays the requested quantity for the item associated with the requisition line.
This non-editable field displays the units of measure code for the requisitioned quantity that displays on this line.
This non-editable field displays the estimated unit cost.
This non-editable field displays the estimated cost type code.
The estimate cost type is primarily used as a default based on the priority selections in the cost type table in the procurement planning controls.
This non-editable field displays the estimated extended cost.
This non-editable field displays the estimated line charges.
This non-editable field displays the total estimated amount (including sales tax) from the requisition line.
This non-editable field displays the date the item was requested.
This non-editable field displays the inventory abbreviation code from the requisition line.
This non-editable field displays the preferred vendor code associated with the requisition line.
This non-editable field displays the preferred vendor quote ID associated with the requisition line.
This non-editable field displays the manufacturer part number.
This non-editable field displays the manufacturer part revision number.
This non-editable field displays the vendor part number for this item.
This non-editable field displays the vendor part revision number of the item being requisitioned.
This non-editable field displays the suggested blanket purchase order ID from the requisition line.
A blanket purchase order typically represents a standard purchase order that you issue to a vendor for products, goods, or services that are needed on a regular basis.
A dollar amount is generally associated with this purchase order type. Once the ceiling or purchase order limit is reached, you must create a new purchase order.
This non-editable field displays "Y" (Yes) or "N" (No), indicating whether or not sales tax will be charged for this requisition line.
This non-editable field displays the shipment identification information.
This non-editable field displays "Y" (Yes) or "N" (No), indicating whether or not this requisition line item will be drop-shipped.
This information is used primarily for sales order transactions. The drop-ship information will allow users to identify which orders were drop-shipped directly to a customer as opposed to being delivered to a company delivery address.
This non-editable field displays the shipping method/company by which the requisitioned item should be shipped.
This non-editable field displays the delivery shipment information.
This field displays the order identification information associated with the requisitioned item.
This non-editable field displays "Y" (Yes) or "N" (No), indicating whether or not you can overship the requisition line item.
This non-editable field displays the receipt tolerance percentage.
"0%" indicates there is no overshipment allowed; therefore, a zero percentage will restrict the overship amount or quantity.
Use the drop-down box to make a selection. Your choices are "Yes" and "No."
Your selection indicates whether or not a government source inspection is required.
A source inspection normally requires the vendor to obtain approval from a government inspector before shipping any material.
This non-editable field displays the QC inspection required information for the requisition line.
The data indicates whether or not a quality control inspection is required upon receipt of the requisitioned item.
This non-editable field displays the source inspection data associated with this requisition line.
The data in this field indicates whether or not a government source inspection is required.
A source inspection normally requires the vendor to obtain approval from a government inspector before shipping any material.
This non-editable field displays the Certificate of Conformance Required data.
The information in this field indicates whether or not a Certificate of Conformance is required.
This certificate is a legal document issued by the vendor, which certifies that the material conforms to certain specifications and requirements.
This non-editable field displays the transaction currency code that is specified for the requisition.
All amounts on this screen will be in terms of this currency.
This non-editable field displays the reapproval reason.
The data displayed in this field indicates the reason it was necessary to resubmit the requisition through the approval process.
