Use this screen to update the Project Status Report Final Data (PSR_FINAL_DATA) table from the Project Summary table. The PSR_FINAL_DATA table stores the data used to print the Project Status Report (PSR). Commitment information in PSR Final Data is copied from the Purchase Order Commitment Summary table.
You must run this utility before you can print PSR Reports. The application updates rows in this table according to your criteria. For example, assume the Project summary table contains amounts from January 1, 1999, through May 31, 2002. If you update the PSR table with information from FY 2002, subperiod 1 through 4 of period 5 (May 1-31, 2002), the utility will update only rows for this timeframe but will contain period-to-date, year-to-date, and inception-to-date information up to and including each selected subperiod. To run a PSR including June 2002 data, you must first run this utility to update the table with the June information.
Use the fields in this block to create a new parameter ID or to retrieve a previously saved parameter ID. A parameter ID represents a set of screen selection parameters. Once you have saved a parameter ID and its related parameters, you can retrieve them using Query.
You can use the retrieved parameters to produce reports and run processes more efficiently and with greater consistency. Many users save a unique set of parameters for each different way they run a report or process. If you select a previously saved parameter ID or parameter description, the associated saved screen selection parameters will automatically display as selection defaults. You can change any of the associated selection defaults as necessary.
Enter, or use Query to select, a parameter ID of up to 15 alphanumeric characters. You should choose characters for your parameter ID that help identify the type of selections you made in the screen, such as “PERIOD” or “QUARTERLY.”
When you save your record, all the selections made in the screen are stored with the parameter ID. Later, you can retrieve the parameter using Query.
You can use the parameter to produce reports and run processes more efficiently because you can select the parameter ID with its previously defined screen selections. Once the default selections display in the screen, you can override the defaults as necessary.
Enter, or use Query to select, a parameter description of up to 30 alphanumeric characters.
Use the fields in this block to select the accounting period and projects that you want to update.
Accounting Period
This non-editable field displays the "One" option. This is because you can only update the PSR tables for one accounting period at a time.
Enter, or use Lookup to select, the fiscal year for which you want to update the Project Status Report data in the PSR table.
Enter, or use Lookup to select, the period for which you want to update the Project Status Report data in the PSR table.
Enter, or use Lookup to select, the subperiod for which you want to update the Project Status Report data in the PSR table.
This non-editable field displays the subperiod ending date of the subperiod entered in the Subpd field.
Projects *
Use this drop-down box to select the range of projects that you want to include in the process. The following options are available:
All - Select this option to include all available projects. The Start and End fields are disabled for this option.
One - Select this option to include only one project. You must enter that value in the Start field. The End field is disabled for this option.
Range - Select this option to include a contiguous range of projects. You must enter the beginning value for the range in the Start field and the ending value of the range in the End field.
From Beginning - Select this option to include all the projects from the beginning of the available projects to a specific project in the range. You must enter the last value for the range in the End field. The Start field is disabled for this option.
To End - Select this option to include all the projects from a specific project to the end of all the available projects. You must enter the value from which the range should begin in the Start field. The End field is disabled for this option.
Enter, or use Lookup to select, a starting project number for the range that you want to include in the process.
If you select "One," "Range," or "To End," in the Projects Option field, you must enter a project number in this field.
If you select "All" or "From Beginning" in the Projects Option field, this field will be inactive.
Enter, or use Lookup to select, an ending project number for the range that you want to include in the process.
If you select "All," "Range," or "From Beginning" in the Projects Option field, you must enter a project number in this field.
If you select "One" or "To End" in the Projects Option field, this field will be inactive.
Use the fields in this block to select options for travel commitments, budget types, and open receivables ending dates.
Use the fields in this group box to select travel commitment options. This group box is available only if you have selected the Trip Scheduling/Commitment Tracking checkbox in the Travel Settings screen.
Select this radio button to compute travel commitments through the current system date. This radio button is selected by default.
Select this radio button to compute travel commitments through the subperiod ending date.
Use the fields in this group box to select the type of budget that you would like to include on your reports. These radio buttons are only available if you are using Advanced Budgeting in Costpoint client/server version.
Select this radio button to update PSR tables with baseline budget data.
Select this radio button to update PSR tables with workplan budget data.
Only the Workplan budgets set as "Active" in the Info subtask of the Maintain Project Budgets and ETC screen will update the project status report tables.
Use the fields in this group box to establish the "as of" date for the Open Receivables column in the header of this Project Status Report.
Select this radio button to compute open receivable amounts as of the current system date.
Select this radio button to compute open receivable amounts as of the subperiod ending date.
Select this checkbox to delete rows from the report table that contain amounts for periods after the period selected. Selecting this checkbox will delete data in future periods that may no longer be accurate because of changes in prior periods.
Select this checkbox to apply burden to your commitments.
You must compute and print commitments before executing this process. The burden type, actual or target, shown for your commitments on the PSR will depend on the type selected for the report. If you do not select this checkbox, you can still see your commitments on the PSRs, but they will not be burdened. Burden will be computed on purchase order and travel commitments, where applicable.
