Use this screen to control the process of computing revenue for projects. All computations performed by this process are controlled by the revenue formula you assigned to the project in the Revenue Info screen of the Project User Flow (Projects\Maintain\Project\Project User Flow). You can choose the accounting period, the projects, and the revenue formulas for which you want to compute revenue. There are also options to validate the revenue setup.
Warning: To improve the processing performance of the Compute Revenue and Calculate Bills applications, four new tables have been added to Costpoint 6. You must run the Synchronize Project Performance Tables utility when you upgrade to Costpoint 6 to add existing project data to the four new tables. If you already run version 6, you must run this utility when you receive the Service Pack that adds the new performance tables. If you upload data using scripts, you also need to run this utility. If you frequently use scripts to upload data, you may need to run this utility at month end, before calculating revenue or standard bills, to ensure that the performance tables are in synch. You can start this process only after completing the Compute Burden Cost program (Projects\Process\Project) and before printing a Project Status Report containing revenue or profit information. Also run it before initiating either of the Redistribute Revenue programs (Projects\Process\Revenue).
Are there any special revenue computations that I should run at the end of a fiscal year?
No special revenue computations are required to close the fiscal year.
There are several procedures to review before you process revenue for the first period of the new year. Please see the FAQ question, "What procedures should I execute at the beginning of a fiscal year before I compute revenue?" for more information on this topic.
The Compute Revenue process (Projects\Process\Revenue) computes revenue at target and at actual each time the process is executed. If you have been posting revenue at target during the fiscal year, you can elect to post revenue at actual at the end of the fiscal year to produce the final revenue amount.
What procedures should I execute at the beginning of a fiscal year before I compute revenue?
You should review all the following steps before computing revenue for a new fiscal year:
Review all projects that have "Fixed Amount Year to Date" revenue formulas before running the Compute Revenue screen (Projects\Process\Revenue\Compute Revenue) for the first period of a new fiscal year.
Execute the Update Prior Year History screen (Projects\Utilities\Project Toolkits). The Update Prior Year History screen combines the current year project tables (PROJ_SUM and PROJ_BURD_SUM) with the prior year project tables (PSR_PY_SUM and PSR_PY_BURD_SUM). The prior year project tables are the source for prior year cost and revenue amounts in the Compute Revenue screen (Projects\Process\Revenue). If you do not update the prior year tables, revenue calculations for the new year may be incorrect. The program will recognize the amount in the YTD Revenue field of the Revenue Information screen (Projects\Maintain\Revenue), and this may result in overstated revenue.
Note: You should execute the Update Prior Year History screen (Projects\Utilities\Project Toolkits) only for fiscal years that have been calculated in Costpoint. If you have updated the prior year tables manually from the Prior Year Cost and Revenue screen or with scripts for a given fiscal year, do not run the Update Prior Year History screen (Projects\Utilities\Project Toolkits) for that same year. Doing so could cause your prior year project tables to be overwritten with zeroes. Normally, this situation will occur only in your first fiscal year in Costpoint. |
Should I compute revenue for a closed fiscal year?
Exercise caution when computing revenue for closed fiscal years. Although the Compute Revenue process (Projects\Process\Revenue) will not prevent you from computing revenue, you should be aware that computing revenue could change the underlying data in the tables for a closed fiscal year. The data in these table has been used for end-of-year reporting.
Generally, corrections to closed fiscal years are made in the first available period in which the error is discovered.
Use the fields in this block to create a new parameter ID or to retrieve a previously saved parameter ID. A parameter ID represents a set of screen selection parameters. Once you have saved a parameter ID and its related parameters, you can retrieve them using Query.
You can use the retrieved parameters to produce reports and run processes more efficiently and with greater consistency. Many users save a unique set of parameters for each different way they run a report or process. If you select a previously saved parameter ID or parameter description, the associated saved screen selection parameters will automatically display as selection defaults. You can change any of the associated selection defaults as necessary.
Enter, or use Query to select, a parameter ID of up to 15 alphanumeric characters. You should choose characters for your parameter ID that help identify the type of selections you made in the screen, such as “PERIOD” or “QUARTERLY.”
When you save your record, all the selections made in the screen are stored with the parameter ID. Later, you can retrieve the parameter using Query.
You can use the parameter to produce reports and run processes more efficiently because you can select the parameter ID with its previously defined screen selections. Once the default selections display in the screen, you can override the defaults as necessary.
Enter, or use Query to select, a parameter description of up to 30 alphanumeric characters.
Use the fields in this block to select the accounting periods, the projects, and the revenue formulas that you want to include in the revenue calculation process.
Accounting Period
This non-editable field displays the "One" option. You can compute revenue for only one accounting period at a time.
Enter, or use Lookup to select, the fiscal year for which you want to compute revenue.
Enter, or use Lookup to select, the period for which you want to compute revenue.
Enter, or use Lookup to select, the subperiod for which you want to compute revenue.
You can compute revenue only one subperiod at time. You can select any open subperiod; however, you must run the Compute Burden Cost process (Projects\Process\Project\Compute Burden Cost) for the subperiod selected.
This non-editable field displays the subperiod ending date of the subperiod entered in the Subpd (Start) field.

Use this drop-down box to select the range of projects for which you want to compute revenue. The following options are available:
All - Select this option to include all available projects. The Start and End fields are disabled for this option.
One - Select this option to include only one project. You must enter that value in the Start field. The End field is disabled for this option.
Range - Select this option to include a contiguous range of projects. You must enter the beginning value for the range in the Start field and the ending value of the range in the End field.
From Beginning - Select this option to include all the projects from the beginning of the available projects to a specific project in the range. You must enter the last value for the range in the End field. The Start field is disabled for this option.
To End - Select this option to include all the projects from a specific project to the end of all the available projects. You must enter the value from which the range should begin in the Start field. The End field is disabled for this option.
Enter, or use Lookup to select, a starting project number for the range that you want to include in the process.
If you select "One," "Range," or "To End," in the Projects Option field, you must enter a project number in this field.
If you select "All" or "From Beginning" in the Projects Option field, this field will be inactive.
Enter, or use Lookup to select, an ending project number for the range that you want to include in the process.
If you select "All," "Range," or "From Beginning" in the Projects Option field, you must enter a project number in this field.
If you select "One" or "To End" in the Projects Option field, this field will be inactive.
Revenue Formulas

Use this drop-down box to select the range of revenue formulas for which you want to compute revenue. The following options are available:
All - Select this option to include all available revenue formulas. The Start and End fields are disabled for this option.
One - Select this option to include only one revenue formula. You must enter that value in the Start field. The End field is disabled for this option.
Range - Select this option to include a contiguous range of revenue formulas. You must enter the beginning value for the range in the Start field and the ending value of the range in the End field.
From Beginning - Select this option to include all the revenue formulas from the beginning of the available revenue formulas to a specific revenue formula in the range. You must enter the last value for the range in the End field. The Start field is disabled for this option.
To End - Select this option to include all the revenue formulas from a specific revenue formula to the end of all the available revenue formulas. You must enter the value from which the range should begin in the Start field. The End field is disabled for this option.
Enter, or use Lookup to select, a starting revenue formula for the range that you want to include in the process.
If you select "One," "Range," or "To End," in the Revenue Formulas Option field, you must enter a revenue formula in this field.
If you select "All" or "From Beginning" in the Revenue Formulas Option field, this field will be inactive.
Enter, or use Lookup to select, an ending revenue formula for the range that you want to include in the process.
If you select "All," "Range," or "From Beginning" in the Revenue Formulas Option field, you must enter a revenue formula in this field.
If you select "One" or "To End" in the Revenue Formulas Option field, this field will be inactive.
Use the fields in this block to select processing options.
Select one of the following options from the drop-down box:
Compute Only - Select this option to compute revenue without setup validation. This selection is the default and is the fastest if there are no direct cost ceilings above the revenue level. Therefore, you should select the "Validate Only" option and run this process after completing the initial setup. Ceilings above the revenue level are ignored with the exception of zero ceilings, because zero ceilings work more like overrides. The Compute Revenue process (Projects\Process\Revenue) will ignore any other ceilings above the revenue level.
Validate Only - Select this option to validate the revenue setup. If you select this option, all project setups that have a direct cost ceiling above the revenue level will be printed on the error report. This is the only validation that is performed. To speed up the process, change the RBA code to "B" in the Cost Fee Overrides screen (Projects\Maintain\Ceilings and Overrides) for any ceilings above the revenue level.
Validate and Compute - Select this option to validate the revenue setup and compute revenue, if the revenue setup is correct. You should select this option if you are running the Compute Revenue process (Projects\Process\Revenue) on the process server. The process will not be stopped to print the error report.
Select this checkbox to allow the Compute Revenue process (Projects\Process\Revenue) to compute revenue for fiscal years that have been closed.
You cannot post revenue for a fiscal year that has been closed. If the computation of revenue results in a change to revenue, you will have to open the fiscal year and period in order to post the change.
