Use this screen to process the redistribution of revenue for all projects at one time. This is the batch version of the Redistribute Revenue by Project screen (Projects\Process\Revenue). The two versions of Redistribute Revenue calculate the distribution of revenue differently:
Basis for Redistribution - This screen uses cost base as a basis for the redistribution of revenue while the Redistribute Revenue by Project process uses allowable costs.
Percentage of Distribution - The Redistribute Revenue process redistributes revenue in its entirety. The Redistribute Revenue by Project process allows a percentage of revenue to be redistributed.
Period Basis - The Redistribute Revenue process uses year-to-date amounts as a basis for redistribution. The Redistribute Revenue by Project uses subperiod amounts as a basis for redistribution.
If you do not use the redistribute process, the revenue shown on the Project Status Report for some project nodes may seem incorrect. This happens because amounts that cannot be specifically linked to a particular node of the project (e.g., fixed revenue formulas, revenue adjustments, and over ceiling amounts) are stored in the PROJ_SUM table at the revenue level of the project. Using this process, you can redistribute these amounts to the entire project.
The Redistribute Revenue process sums the YTD non-cost based adjustments at the level of the revenue formula as of the subperiod you specify. This is the amount to redistribute. The process sums YTD cost-based revenue at the level of the revenue formula as of the subperiod you specify. This is the total basis. Each project, cost account, and organization is evaluated separately. The process sums YTD cost-based revenue for each project/cost account/organization as of the subperiod specified and divides this amount by the total basis to determine a ratio. This ratio, multiplied by the amount to redistribute, is the amount of non-cost based revenue this project/cost account/organization should have YTD.
The program then subtracts the YTD allocation amount for this project/cost account/organization from the YTD amount that it should have. The difference is the current subperiod reallocation amount.
The PROJ_SUM table, specifically the REALLOC_ACT_AMT and REALLOC_TGT_AMT columns, is updated with the additions/subtractions from the redistribution process.
Note: You cannot run this process unless you have run the Compute Revenue process (Projects\Process\Revenue) for the subperiod selected. |
Initiate this process after you complete the Compute Revenue process (Projects\Process\Revenue) and before you execute the Post Revenue process (Projects\Process\Post).
Use the fields in this block to create a new parameter ID or to retrieve a previously saved parameter ID. A parameter ID represents a set of screen selection parameters. Once you have saved a parameter ID and its related parameters, you can retrieve them using Query.
You can use the retrieved parameters to produce reports and run processes more efficiently and with greater consistency. Many users save a unique set of parameters for each different way they run a report or process. If you select a previously saved parameter ID or parameter description, the associated saved screen selection parameters will automatically display as selection defaults. You can change any of the associated selection defaults as necessary.
Enter, or use Query to select, a parameter ID of up to 15 alphanumeric characters. You should choose characters for your parameter ID that help identify the type of selections you made in the screen, such as “PERIOD” or “QUARTERLY.”
When you save your record, all the selections made in the screen are stored with the parameter ID. Later, you can retrieve the parameter using Query.
You can use the parameter to produce reports and run processes more efficiently because you can select the parameter ID with its previously defined screen selections. Once the default selections display in the screen, you can override the defaults as necessary.
Enter, or use Query to select, a parameter description of up to 30 alphanumeric characters.
Use the fields in this block to limit the projects that will be included in the redistribution and the period through which the redistribution will occur.
Project *
Use this drop-down box to select the range of projects that you want to include on the report. The following options are available:
All - Select this option to include all available projects. The Start and End fields are disabled for this option.
One - Select this option to include only one project. You must enter that value in the Start field. The End field is disabled for this option.
Range - Select this option to include a contiguous range of projects. You must enter the beginning value for the range in the Start field and the ending value of the range in the End field.
From Beginning - Select this option to include all the projects from the beginning of the available projects to a specific project in the range. You must enter the last value for the range in the End field. The Start field is disabled for this option.
To End - Select this option to include all the projects from a specific project to the end of all the available projects. You must enter the value from which the range should begin in the Start field. The End field is disabled for this option.
Enter, or use Lookup to select, a starting project number for the range that you want to include on the report.
If you select "One," "Range," or "To End," in the Projects Option field, you must enter a project number in this field.
If you select "All" or "From Beginning" in the Projects Option field, this field will be inactive.
Enter, or use Lookup to select, an ending project number for the range that you want to include on the report.
If you select "All," "Range," or "From Beginning" in the Projects Option field, you must enter a project number in this field.
If you select "One" or "To End" in the Projects Option field, this field will be inactive.
Period
This field displays "One" because you can process only one period at a time.
Enter, or use Lookup to select, an open fiscal year for which you want to redistribute revenue.
Enter, or use Lookup to select, an open accounting period for which you want to redistribute revenue.
Enter, or use Lookup to select, an accounting subperiod for which you want to redistribute revenue.
You can select any open subperiod as long as you have completed the Compute Revenue process.
This non-editable field displays the ending date for the subperiod entered in the Subpd field.
Use the fields in this block to select rate options.
Use the fields in this group box to select the rates to be used for indirect costs in the redistribution process.
Select this checkbox to redistribute revenue that was calculated using actual rates. You can redistribute both actual and target revenue.
Select this checkbox to redistribute revenue that was calculated using target rates. You can redistribute both actual and target revenue.

Changes to the tables as a result of this process update the PROJ_SUM (Project Summary) table.
