Use this screen to enter a set of employees who are designated to charge the project. This "set," or work force, can be used for validations during timesheet entry, so that only those employees entered on the project work force can charge the project. It can also be used to designate specific PLCs for anyone who does work on the project. Using the Project Work Force to default PLCs onto the timesheet can greatly expedite the timesheet entry process. Generally, a project work force is necessary when a customer places a limitation on who can charge the project or when the project has specific labor category billing rates that must be used.
If you selected the Project Work Force Required checkbox in the Basic Info screen in the Project User Flow (Projects\Maintain\Project), you must enter a project work force; it will be used for validations during timesheet entry. If you did not select the Project Work Force Required checkbox, entry of a project work force is optional. In this case, no validation of the workforce will occur during timesheet entry. You can still assign special PLCs to the project work force for tracking or billing purposes, even if no timesheet validation is required.
If you selected the Top Level Work Force checkbox in the Basic Info screen, you can set up the project work force in this screen at the top level and it will be effective for the entire project tree. If you did not select the Top Level Work Force checkbox, you must set up the project work force at the charging level of the project.
Note to Deltek Time & Expense users: In previous versions of Costpoint, if you deleted a record in this screen, you had to perform a full download from Costpoint to move the changes into Time & Expense. Starting with Costpoint version 6, you can move the changes into Time & Expense by executing the Export Data to Deltek Time & Expense 5.X+ application with the Changes Since Last Download checkbox selected. The changes are included in the export file as "D" record types. You do not need to perform a full download. |
The Project Employee Work Force screen consists of two table windows and a subtask. They can be used in the following manner.
The Employees table window displays the employee ID and name of all employees that have been entered in the Basic Employee Information screen. These employees are available for selection for the project employee work force.
The Selected Employees table window displays the employees that have been selected for the project work force.
The Assign PLC to Employee Work Force subtask contains a table window where you can assign PLCs to each employee in the work force. You can also establish a default PLC for each employee.
Use this screen to initialize a project whenever the Project Work Force Required checkbox on the Basic Info screen in the Project User Flow (Projects\Maintain\Project) is selected or when you would like to use the project workforce to default PLCs. After initialization, maintenance of the data on this screen is required only for changes/additions to the work force.
Enter, or use Lookup to select, the project for which you would like to set up employees.
Use the field in this group box to authorize overtime for employees in this workforce.
Overtime Authorized for Employees
Select this checkbox to authorize the charging of overtime pay types for employees on the Work Force.
If the project is the top level and the Top Level Work Force checkbox has been selected in the PBasic Info screen in the Project User Flow (Projects\Maintain\Project), the top level and all lower levels of the project will be included. If the Top Level Work Force checkbox has not been selected, the restriction will be in effect only for the project levels set up in this screen.
If this checkbox is blank, the system will display a warning message in the Enter Timesheets screen any time an overtime pay type is entered for the project. It is a soft edit on the Enter Timesheets screen.
Use the fields in this block to select the employees that you want in the workforce.
Employee *
This non-editable field displays each employee who is available to be added to the project work force.
If the project is the top level and the Use Top Level Work Force checkbox has been selected in the Project Basic Information screen, your selections will be applicable for the top level and all lower levels of the project. If the Use Top Level Work Force checkbox has not been selected, you must select employees for each project at the transaction level.
Highlight the employees you want to include in the project work force, then click on the Select pushbutton.
This non-editable field displays the name of each employee in the Employee field.
This non-editable field displays the home organization of each employee in the Employee field. You may want to use Home Organization with the Query feature to limit the employees available for selection.
Once you have highlighted employees in the Employees block, use this pushbutton to move them to the Selected Employees table window.
Use this block to review the employees that have been selected for this workforce.

This non-editable field displays each employee who is authorized to charge this project.
If the project is the top level and the Use Top Level Work Force checkbox has been selected in the Basic Info screen in the Project User Flow (Projects\Maintain\Project), your selections will be applicable for the top level and all lower levels of the project. If the Use Top Level Work Force checkbox has not been selected, you must select employees for the project at the transaction level.
