Use this screen to enter prior fiscal year hours and amounts for employees and vendors by labor category. History is entered against a project/account/organization combination. Organizations, projects, and accounts entered must exist in their respective tables but need not be currently open. The system uses the historical data in this table to print inception-to-date totals on the Labor Summary Report.
Use the this screen to enter labor transactions incurred before initialization. Once you have completed initialization, the system will maintain the data in this screen, and you should not make any changes. The posting processes automatically update this screen.
What should I do if the data in this screen is incorrect?
Use the original source journal to correct any errors in this screen.
Some of the fields in the table window are editable but changes made directly in this screen will cause an out of balance condition between this table and the general ledger.
You can also use the Adjust Open Billing Detail screen (Projects\Process\Billing)to correct errors in this screen.
Use the fields in this block to view the fiscal period and account information associated with the data in the table window.

Period *
Enter, or use Lookup to select, an accounting period for the transactions in the table window.
All project history for a given fiscal year must be applied to the same period number. You should specify either the last period of the fiscal year or the period in which all YTD costs were rolled. Once the system is operational, it will update this field with the actual period in which the transaction occurred.
Enter, or use Lookup to select, a subperiod for the transactions in the table window.
All project history for a given fiscal year and period must be applied to the same subperiod. Once the system is operational, the posting processes will update this field with the actual subperiod in which the transaction occurred.
Project *
Enter, or use Lookup to select, the project against which the history will be entered.
The field to the right displays the project description.
Enter, or use Lookup to select, the organization number at the level at which the history data will be entered. The field to the right displays the organization description.
Account *
Enter, or use Lookup to select, the account number against which the history will be entered. The field to the right displays the description of each account number.
Use the fields in this table window to enter or review labor transactions.
PLC *
Enter, or use Lookup to select, the Project Labor Category (PLC).
GLC *
Enter, or use Lookup to select, the General Labor Category (GLC).
Enter, or use Lookup to select, the employee number. You can select employees, vendor employees, or vendors on the row. Only one of these is allowed per row.
This non-editable field displays the name of each employee selected in the Employee field.
Enter, or use Lookup to select, the vendor number (subcontractor). You can select employees, vendor employees, or vendors on each row. Only one per row is allowed.
This non-editable field displays the name of each vendor selected in the Vendor field.
Enter, or use Lookup to select, the vendor employee for the selected vendor. Only those vendor employees that have been entered in the Vendor Employees screen (Accounting\Maintain\Vendors\Vendor User Flow) for the selected vendor will be available for entry in this field.
This field displays the vendor employee name selected in the Vendor Employee field.
Amount *
Enter the labor amount for each employee or vendor against each labor category.
Hours *
Enter the number of hours for each employee or vendor against each labor category.
This field displays the billing rate applicable to the employee (vendor)/labor category for the entered fiscal year/period/subperiod.
Once the system is operational, the Load Labor Rates process (Projects\Process\Billing) will update this field.
Enter the billing rate before discount. This is for informational purposes only. If you are not using billing discounts, this column is hidden. The Load Labor Rates process (Projects\Process\Billing) updates this field.
Use this drop-down box to select the rate type for this project's PLC.
Valid options are as follows:

The "A" (Actual) rate type divides actual amount paid by actual hours (actual amount/actual hours) to obtain the rate during the Load Labor Rates process (Projects\Process\Billing). The "A" selection allows the application of multipliers to the rate for revenue and billing calculations.
The "B" (Billing) rate type uses the T&M project rate that does not include multipliers.
The "C" (Ceiling Rate) rate type calculates the "A" rate, then compares it with the ceiling and uses the lesser of the two rates. The "C" selection allows the application of multipliers to the rate for revenue and billing calculations.
The "S" (Standard) rate type is equal to the salary or hourly rate per employee in the Employee Salary Information screen. This rate reflects the standard rate without any auto adjusting on the timesheet. Multipliers will be applied against the "S" (Standard) rate type.
Once the system is operational, the Rate Type field will be updated during the Load Labor Rates process (Projects\Process\Billing\Load Labor Rates).
Enter, or use Calendar Lookup to select, the effective bill date used for retrieving billing rates. Once the system is operational, this field will automatically update during the posting processes.
The effective date will be used by the Load Labor Rates process (Projects\Process\Billing) to select the correct labor rate from the PLC rate tables.
This field displays the allowable hours for this employee (vendor)/labor category for the entered fiscal year/period/subperiod. The allowable hours are the billable hours. Non-billable hours are not included here.
