Project/Account/Organization Links

What can I do in this screen?

Use this screen to maintain all valid account/organization combinations for a given project. You can enter project/account/organization combinations into the table through this screen and set them to "Inactive." This means you can retrieve the exact project/account/organization combinations you would like to see from the table. Any project/account/org combinations entered here are valid as long as the accounts entered against a given project belong to the project account group assigned to that project in the Basic Info screen in the Project User Flow (Projects\Maintain\Project).

You normally use the Account/Org Links subtask of the Basic Info screen in the Project User Flow to initially create information in the project/account/organization table. You will generally add new project/account/organization combinations in this screen when you have selected the Organizations checkbox in the Limit group box of the Basic Info screen.  This is the "Detail" method of transaction validation.

When should I use this screen?

You should use this screen after you initially assign the project account group to projects in the Basic Info screen in the Project User Flow (Projects\Maintain\Project). Use this screen only to make changes to the project/account/org combinations or to set them to inactive. You can set up additional project/account/org combinations in this screen, in the Mass Link Projects/Accounts/Organizations screen, or in the Account/Org Links subtask of the Basic Info screen.

Field Descriptions

Proj/Acct/Orgs

Use the table window in this block to enter the project/account/organization combinations that you want to charge to the project.

Project

Enter, or use Lookup to select, the project that you want to link.

You must first link the account and organization in the Account/Organization Links screen (Accounting\Maintain\Organizations). The Account must also be included in this project's account group.

Account *

Enter, or use Lookup to select, the account number that you want to link to the project. You can enter only account numbers that belong to the project account group specified in the Basic Info screen in the Project User Flow (Projects\Maintain\Project).

Organization *

Enter, or use Lookup to select, the organization that you want to link to the project.  

Ref 1

Enter, or use Lookup to select, a Reference 1 for this project.  The reference 1 entered here will be attached to the transaction when it is posted.  

This field must contain a reference number that has been set up to be used in data processing.

Ref 2

Enter, or use Lookup to select, a reference 2 for this project.  The reference 2 entered here will be attached to the transaction when it is posted.  

This field must contain a reference number that has been set up to be used in data processing.

Active

This checkbox is initially selected by default for all new project/account/organization combinations, but can  be deselected (the combination changed to inactive).

If a project is set to "inactive" in the Basic Info screen in the Project User Flow (Projects\Maintain\Project) (i.e., the Active checkbox is not selected), its project/account/organization combinations in the PROJ_ACCT_ORG table will automatically be set to "Inactive." If this is the case, the project cannot accept any additional charges.

Project Name

This non-editable field displays the name of the project entered in the Project field.

Account Name

This non-editable field displays the account name.

Organization Name

This non-editable field displays the organization name.

Table Information

Changes to this screen update the PROJ_ACCT_ORG (Project Account Organization) table.
