Use this subtask to set up project/account/organization combinations using wildcard features. This provides a quick way to link account/organization combinations with a newly-created project. Once created, these linkages represent the valid combinations that can be charged on this project. You can also use this subtask to create combinations individually by selecting highlighted items. Use wildcards to delete links in this screen as well. You must complete this subtask only if you have selected the Which Orgs Can Charge Specific Accts or Accounts to P/O/A checkboxes in the Basic Info tab.
When you create project/account/organization combinations in this screen, they are automatically saved. You can next go to the Mass Link Projects/Accounts/Organizations screen (Projects\Maintain\Project) to review them and complete additional linkages. If needed, you can also select or deselect individual combinations. Additionally, the Project/Account/Organization Links screen can provide another alternative to create project/account/organization combinations, though this screen does not have the capability to create in mass.
You can use three subtask links in this screen to create or delete project/account/organization combinations; Acct/Org Links, Proj/Acct/Orgs, and Mass Link Proj/Acct/Org. This will give you the flexibility to ensure that only the correct combinations are valid for your projects. Any of these methods will create records in the PROJ_ORG_ACCT table. This table is used for transaction validation in the data entry screens if you have selected the Which Orgs Can Charge Specific Accts or Accounts to P/O/A checkboxes in the Basic Info tab. If you have not selected either of these options, you do not need to use this subtask.
You should assign the account/organizations immediately after you enter the project if you have selected the Which Orgs Can Charge Specific Accts or Accounts to P/O/A checkboxes in the Basic Info tab. If additional account/organizations are required after initial setup, use this screen or the Mass Link Projects/Accounts/Organizations \(Projects\Maintain\Project) or the Project/Account/Organization Links (Projects\Maintain\Project) screens, depending on your preference. Since this process creates the PROJ_ORG_ACCT table, you must set up the project/account/organization links in one of the screens outlined above before you can charge any transactions to the project.
Note: You do not need to use this subtask at all if you have not selected the Which Orgs Can Charge Specific Accts or Accounts to P/O/A checkboxes in the Basic Info tab. |
Limiting charges to combinations in the project/account/org table is the most restrictive method of transaction validation. You should use this method if you want only very specific combinations to be allowed to charge the project. There are two types of validations that are available when using the PROJ_ORG_ACCT table: summary and detail.
You can only select the detail method if you have selected the Validate Project Charging by Organization checkbox the Project Settings screen (Administration\Configure\Projects). This is a system-wide selection. Once you have selected the Validate Project Charging by Organization checkbox, the Which Orgs can Charge Specific Accts checkbox will display in the Basic Info tab for every project. If you select the Which Orgs Can Charge Specific Accts checkbox, then you have selected the detail method. This is the most restrictive of the two methods. You will only be able to charge the project if the project, account, and org combination exist in the PROJ_ORG_ACCT table.
If you have not selected the Validate Project Charging by Organization checkbox in the Project Settings screen, the Accounts to P/O/A checkbox will automatically display in the Basic Info tab. This checkbox will allow you to use the summary method of project transaction validation. The summary method requires that only the project and account exist in the PROJ_ORG_ACCT table. Any organization will be valid as long as the project and account combination are present in the table.
Use the fields in this group box to enter the account and organizations that you want to link to the project.
Enter, or use Lookup to select, a valid account number. When entering account numbers, you must enter the delimiters (dashes) between segments. If you use Lookup, only those accounts that have already been included in the project's account group will display.
You can enter wildcards in the Account field. The available wildcards are "%" and "_". Examples of their use are shown in the Options group box.
Enter, or use Lookup to select, a valid organization. When entering the organization, you must enter the delimiters (periods) between segments. If you use Lookup, all organizations will be displayed.
You can enter wildcards in the Organization field. The available wildcards are "%" and "_". Examples of their use are shown in the Options group box.
The options box on the screen shows the following examples of using the "%" and "_" wildcards:
% = All
%123 = Ends with 123
123% = Begins with 123
%123% = Contains 123
1_3 = Begins with 1 and ends with 3 and is 3 characters long
Note: The "%" wildcard denotes "any character, any length," while the "_" wildcard denotes "any single character." |
Select this pushbutton to link the project with the account/organizations you have highlighted. When the linkage process is complete, a message will display to indicate the number of rows or combinations that have been created. The account/organization combinations must already exist before they can be linked to a project. You can now go to the Mass Link Projects/Accounts/Organizations (Projects\Maintain\Project) or Project/Account/Organization Links (Projects\Maintain\Project) screens to review and fine-tune your selections, if necessary.
Select this pushbutton to delete the project/account/organizations that you have highlighted. When the deletion process is complete, a message will display to indicate the number of rows or combinations that have been deleted. If you go to the Mass Link Projects/Accounts/Organizations (Projects\Maintain\Project) or Project/Account/Organization Links (Projects\Maintain\Project) screens, you will find your selections have been deleted.
Changes to this screen update the PROJ_ORG_ACCT (Project Organization Account) table.
