Use this screen to establish allocation groups for cost pools. Allocation group 1 is set aside for computing indirect rates and allocating indirect costs to jobs. You can use group numbers higher than Group 1 to calculate rates for various "what-if" scenarios and to forecast the effect of a change on the number and composition of your pools. No allocation group with a allocation group number higher than "1" will allocate indirect costs to projects.
Use this screen during the initialization phase. You must set up allocation groups before you can initialize cost pools. You can also use this screen to determine whether you need to rebuild the rate application table before processing cost pools for the period.
Use the fields in this block to define the allocation group. You must assign an allocation group number and description.
Enter a number of up to three-digits to identify a grouping of cost pools for tracking purposes.
Group 1 is the primary allocation group, because only Group 1 pools will allocate indirect costs to jobs.
Pools belonging to any other group will be included in the rate computation process and will produce a Statement of Indirect Expenses. However, the rates calculated for those pools will not be applied to jobs and are for informational purposes only.
Enter the description of the allocation group.
If you are retrieving an allocation group using Query, this field displays the description of the allocation group.
Rebuild of Rate Application Table Required
Use this checkbox to evaluate the need for rebuilding the rate application table. You cannot check or uncheck this checkbox.
You must run the Build Rate Application Table process before you compute indirect rates if this checkbox is selected. If it is not selected then no action is necessary.
The system will automatically select this checkbox if any of the following has occurred:
A base account in an existing cost pool has been changed.
The Apply Rates to Projects checkbox in the Cost Pools screen (Projects\Maintain\Allocations\Cost Pools) has been changed.
The sequence number of a pool has been changed.
Once you have run the Build Rate Application Table process, the checkbox is automatically reset back to its unchecked state. You can then proceed with calculating indirect rates for the period.
Warning: You must review this screen before you begin the period closing procedures each period. If you do not run the Build Rate Application Tableprocess when it is required, all indirect rates and the indirect cost allocations will be incorrect. |
Use the table window in this block to assign a description to the system-defined pool numbers.
The available system-defined pool type numbers are one through six.
Enter a short description, up to 10 alphanumeric characters, for up to six different pool types.
Any changes made to the descriptions for one allocation group will automatically be applied across all allocation groups.
Changes to this screen update the ALLOC_GRP (Allocation Groups) table.
