Use this screen to view posted timesheets. The fields in this application are non-editable.
This screen is updated after you execute the Post Labor process (People\Process\Post).
This screen is similar to the physical layout of the Enter Timesheets program (People\Transactions\Timesheets); the blocks, group boxes, and fields are arranged in a comparable manner.
In many cases, the timesheet information you view in this screen also can be accessed or retrieved using the Enter Timesheets program; however, when you close an accounting period, timesheets processed using the Post Labor and Post Payroll applications are removed from the Enter Timesheets screen and are, therefore, no longer available in this application. This information, however, may still be retrieved using the Timesheet History Inquiry screen.
You must click the Query icon and perform a search in order to access record information in this screen.
Use this screen to view timesheet data after you have executed the Post Labor program.
This block displays the Identification, Hours, Accounting Period, Miscellaneous, Status, Posting Information, and Entry Information group boxes. The fields in these group boxes are useful because they display significant detail associated with employee timesheets.
This block displays the Date, Employee, Type, and Sequence Number fields.
This field displays the timesheet date in the MM/DD/YYYY format.
This field displays the ID that uniquely identifies the employee. The employee name displays in the adjacent field.
The length of the ID is limited to the length specified in the Employee ID Length field in the Corporate Labor Settings subtask of the Labor Settings screen.
If you selected the Use Social Security No for Employee ID checkbox in the Corporate Labor Settings subtask, the Employee field will have the mask display of "___-__-____." Actual SSNs will not be visible; in addition, the dashes are stored as part of the employee ID.
This field displays the timesheet type that was assigned in the Enter Timesheets screen.
There are seven timesheet types: "R" (Regular), "L" (Labor Only), "C" (Correcting), "B" (Bonus), "D" (Correcting), "N" (Reversing), and "LV" (Leave Payout).
The default is "R."
This field displays a unique identification number for each employee ID/timesheet date/timesheet type combination.
This group box displays timesheet hours.
This field displays the total number of regular or non-overtime hours, up to two places to the right of the decimal, for this timesheet.
This field displays the total number of overtime hours, up to two places to the right of the decimal, for this timesheet.
This field displays the sum of the Regular and Other hours entered.
This group box displays the fiscal year, period, and subperiod specifications.
This field displays the fiscal year to which this timesheet was assigned.
This field displays the period to which this timesheet was assigned.
This field displays the subperiod to which this timesheet was assigned.
This group box displays the reference date, batch, and overtime state associated with this timesheet.
This field displays the date, in MM/DD/YYYY format, of the correction timesheet with which to associate the original timesheet.
This date was not validated against any other timesheet date and, therefore, may have been entered at any time.
This field displays the reference sequence number, based on the history of this timesheet.
This field displays the batch information, if applicable, as defined in the Timesheet Entry Batch screen (People\Transactions\Timesheets).
This field displays the overtime state for this timesheet.
This group box displays status information. If the timesheet has been processed using the Post Labor or Post Leave screens (People\Process\Post), the respective checkboxes will be selected.
This checkbox indicates the timesheet has been posted to the general ledger using the Post Labor program.
This checkbox indicates the timesheet has been posted to the general ledger using the Post Leave program.
This checkbox indicates that the timesheet was processed using the Create Reversing Timesheets program (People\Transactions\Timesheets).
This group box displays the Sequence No, Date, and Time fields associated with the posted timesheet.
This field displays the sequence number to which the timesheet was posted.
This field displays the date the timesheet was posted.
This field displays the time the timesheet was posted.
This group box displays the User and Date fields.
This field displays the user ID of the employee who entered the timesheet.
This field displays the system date the timesheet was entered.
This block displays timesheet line details. Up to 999 timesheet lines may be displayed on any one timesheet. If more were required, additional sequence numbers may have been used for the same employee ID/timesheet type/timesheet date combination.
This field displays the sequential number of each timesheet line.
If an employee has numerous timesheet charges, you can use the scrollbar to view additional entries.
Timesheet lines remain in the order in which they were entered, and lines with the same account number are not combined.
This field displays the timesheet line type.
This field displays the project number associated with this timesheet line.
This field displays the project abbreviation that corresponds with the project number.
This field displays the account associated with this timesheet line.
This field displays the account name associated with the account number entered on this timesheet line.
This field displays the project account abbreviation.
This field displays the organization number charged on this timesheet line.
This field displays the organization name associated with the organization number entered on this timesheet line.
This field displays the organization abbreviation that corresponds with the organization number.
This field displays the general labor category associated with this timesheet line.
This field displays the project labor category to be used for billing purposes.
This field displays the subperiod end date you specified in the Enter Timesheets program.
When a PLC is entered on a timesheet line, the subperiod end date will default into this field.
This field displays the pay type code for this timesheet line.
This field displays the employee work hours, as entered in the Enter Timesheets screen.
This field displays the amount (labor cost) for each timesheet line, which is automatically computed by the system.
This field displays the location where the work was performed or the Local, if this is a Union employee.
This field displays the workers' compensation code for this timesheet line.
This field displays the manufacturing/sales order number for this timesheet, if applicable.
This field displays the employee's withholding state for this timesheet.
This field displays the employee's withholding locality for this timesheet.
This field displays the hours entered on the timesheet line.
If a "Cost Only" pay type was charged, the Hrs field in the Enter Timesheets screen is zeroed out.
This field displays the reference number for the reference 1 table.
This field displays the reference number for the reference 2 table.
This field displays any notes, up to 254 characters, that may have been entered for each timesheet line.
This field displays the project name associated with the project number entered on this timesheet line.
Note: Since the Labor Settings screen is not available in this web version, you must make settings changes in the client/server version. After you complete your settings modifications, you must return to the web version and access the Reload Global Settings screen (Administration\Utilities\System Administration).
