Use this screen to establish leave period control parameters.
A leave period designates the timeframe in which leave is computed. For example, January 1 through January 15 might constitute a leave period. During this period, you might accumulate five hours of vacation leave.
In some cases, leave is calculated based on the actual number of hours worked, as opposed to the number of hours in the leave period.
In order to compute leave, only one leave period can be open at any given time.
Although you can open and close leave periods in this screen, it is recommended that you use the Close Leave Period screen (People\Process\Close) for this function. By using the Close Leave Period program to open and close the leave period, the system can perform validations to ensure that leave has been computed for the previous period. It also can determine if there are unposted leave records in the Edit Employee Leave Accruals screen (People\Transactions\Leave).
You must establish leave periods before you can assign them to employees in the Employee User Flow screen (People\Maintain\Employee); in addition, you must create records in this application in order to compute leave.
If you want to establish a default leave cycle in the Leave Settings screen (Administration\Configure\People), you first must establish at least one record in this application. You must also establish leave periods in this screen before establishing records in the Leave Codes application (People\Configure\Leave).
Enter up to four alphanumeric characters to identify the leave cycle code. For example, WKHR might identify the leave cycle code for Weekly Hourly employees.
Each active employee must be assigned one of these leave cycles in the Employee User Flow screen (People\Maintain\Employee).
You can establish an unlimited number of leave cycle codes.
Enter up to 30 alphanumeric characters to identify the leave cycle description. For example, Weekly Hourly employees might be the description for the "WKHR" leave cycle code.
Use the drop-down box to make a selection. Your choices include "Bi-Weekly," "Monthly," "Semi-Monthly," and "Weekly."
Bi-Weekly - This frequency designation indicates that there are two weeks in the leave period (14 days).
Monthly - This frequency designation indicates that the leave period ends at the end of the month.
Semi-Monthly - This frequency designation indicates that the leave period ends on the 15th and the end of the month.
Weekly - This frequency designation indicates that there is one week in the leave period (seven days).
Enter the maximum number of leave hours.
This value, therefore, designates the number of hours in the leave period; it indicates the ceiling for this leave period.
For example, typically, you would set this field to "40" for a weekly leave cycle code and "80" for a bi-weekly leave cycle code.
Use the fields in this group box to provide the data that the system uses to automatically populate the table window.
Use this field to designate the Leave Year you want to add to the table window.
The year you enter in this field works in conjunction with the data you enter in the Number of LeavePeriods, First End Date, and Last End Date fields.
Enter the number of leave periods to display in the table window.
The value you enter in this field works in conjunction with the data you enter in the First End Date field.
For example, after you have entered data in the Leave Year to be Added,Number of Leave Periods, and First End Date fields, you can select the Add pushbutton to populate the table window, based on these entries.
Selecting the Add pushbutton calculates the leave period start and end dates and automatically populates the table window.
You should refrain from adding more periods than there are in your leave year (defined in the Leave Year to be Added field), or you may have the wrong leave year assigned to some of the leave periods.
Enter, or use Calendar Lookup, to select the date to be the starting point for the records in the table window.
Costpoint evaluates the data in the Frequency and Number of Leave Periods fields to calculate the dates and hours in each period. This information is added to the table window.
If entries already exist in the table, Costpoint adds the additional entries immediately following the most recent leave period end date.
This non-editable field displays the last period end date that Costpoint places in the table window after you select the Add pushbutton to populate these fields.
The system derives this value from data in the Number of Leave Periods, First End Date, and Frequency fields.
Select this pushbutton to populate the Last End Date field.
This information is determined based on data in the Leave Year to be Added, Number of Leave Periods, and First End Date fields.
Select this pushbutton to populate the table window based on settings you established in the Add Leave Periods group box.
This table window displays the start dates, the end dates, an Open flag, and the leave period year for each leave period.
Costpoint calculates this from the End Date field and from the Frequency.
You may enter, or use Calendar Lookup, to add a start date for a new line on the table.

This field displays the end date of the leave period.
You may enter, or use Calendar Lookup, to add an end date. You can add an entry manually or you can use the automatic feature to add to it. In either case, you can change the entry.
This field identifies which leave period (row of the table) is open or active. Only one leave period can be open at a time.
This field displays the leave year in which the specific End Date falls. The leave year can be different from the calendar year in the period end date.
The data in this field is significant because when you execute the Close Leave Year program (People\Transactions\Calendar Year End), Costpoint computes the amount of leave hours in order to determine the valid "carryover" amount. Some companies, for instance, have a leave year ceiling which prevents you from "carrying over" leave hours beyond the ceiling.
