In this subtask, you can use wildcard options to link organizations to the account. If you have not chosen to validate accounts for organizations (see the G/L Settings screen), it is not necessary to link the organizations because this is done automatically for all existing organizations when the account is saved.
Also consider using the Mass Link Accounts/Organizations screen (Accounting\Maintain\Organizations), which provides a streamlined way to select a group of accounts and organizations to be linked together at one time.
You can also use the Account/Organization Links screen (Accounting\Maintain\Organizations) to link accounts and organizations - one at a time.
In order to access this subtask, you must set up a new account or populate the Accounts screen with data using Query. The account must be saved before you can use the Link to Organization subtask. Use this subtask to create new links quickly by using wildcard options.
To delete links to organizations, use the Account/Organization Links screen (Accounting\Maintain\Organizations) or the Mass Link Accounts/Organizations screen to deselect account organization links.
Enter, or use Lookup to select, an organization ID.
You can also enter a "wildcard" in this field to link many organizations simultaneously to the same account. The wildcard search options are detailed in the Wildcard Options group box on this screen.
If you use the wildcard option, enter at least one alphanumeric character on which to search. If the system displays a "Zero rows created" message when you select the Create Links pushbutton, check the wild card option you entered for invalid characters (options not detailed in the Wildcard Option group box). If you try to create a link to an organization already linked to this account, the system will ignore this duplicate link.
All created account/organization links will be inserted into the ORG_ACCT (Organization Account) table. In addition, if the organization and/or account has a period of performance, the rows will be inserted with a period of performance (starting fiscal year and period and/or ending fiscal year and period) that is limited to the intersection of the period of performance for the account and organizations.
This process will only link active organizations to accounts.
The name of the organization displays in this non-editable field.
This group box displays information about the use of "wildcards" to link many organizations to the same account simultaneously. Enter the desired wildcard option in the Org ID field.
When you have selected the organization(s) to link, select this pushbutton to create the account/org links for the selected account.
You can view the account/org combinations you create in the Account/Organization Links screen (Accounting\Maintenance\Organizations). In that screen, you can edit the Active flags and the starting and ending fiscal year and accounting period for the account/organization combinations you create.
Changes in this screen update the ORG_ACCT (Organization_Account) table.
