EFT Edit Report

What can I do in this screen?

Use this screen to print a report that contains any ACH file created using the Create EFT File screen (Accounting\Process\Pay).

The report includes the vendor's ID, name, bank, and bank account; the total credit amount to the vendor's bank account; the vendor's ACH code; a debit record, if one exists; and a total of all credits to all vendors.

Information for both live and prenote EFT vendors prints in this report.

The EFT Edit Report screen consists of three blocks that can be used as follows:

When should I use this screen?

Print this report after creating an ACH file in the Create EFT File screen (Accounting\Process\Pay) but before transmitting the file to your bank.

If you need to make changes to vendor bank information, do so in the Vendor User Flow screen (Accounting\Maintain\Vendors) and then recreate the file. The system automatically overwrites the old file with the new file, provided you use the same file name and path.

Posted vouchers are not updated with changes to the vendor ID; if you change the pay vendor ID in the Vendor User Flow screen (Accounting\Maintain\Vendors), the system will not be able to find vouchers for the new pay vendor ID when recreating the ACH file, and the vendor will not be paid the correct amount. Do not change the vendor ID before paying posted vouchers.

FAQs

When I run the Create EFT File process, there is a checkbox you can select to "Include Addenda Records." What does this do, and where do the addenda records come from?

The addenda records are the details of the invoices being paid on the EFT. When you print a check, the voucher number, invoice number, amount, etc. appear on the check stub. When creating the EFT file, if you select the Include Addenda Records checkbox, some voucher details from the individual vouchers that make up the payment included in the EFT file will appear, although it won't provide as much detail as that which appears on a check stub or payment advice.

If you don't include the addenda records, then the EFT file will contain only the payment information for the total payment, and will not include any individual voucher details.

The addenda record information actually comes from the OPEN_AP table, from the vouchers selected to be paid on the EFT. Some banks will permit addenda records and can handle them, while some banks don't accept them.

In summary, whether or not you include addenda records in your EFT file depends first on what your bank can accept, and, within those limits, the information that you and your vendors wish to see.

  

Field Descriptions

Identification

Use the fields in this block to create a new parameter ID or to retrieve a previously-saved parameter ID. A parameter ID represents a set of screen selection parameters. Once you have saved a parameter ID and its related parameters, you can retrieve them using Query.

You can use the retrieved parameters to produce reports and run processes more efficiently and with greater consistency. Many users save a unique set of parameters for each different way they run a report or process. If you select a previously-saved parameter ID or parameter description, the associated saved screen selection parameters will automatically display as selection defaults. You can change any of the associated selection defaults as necessary.

Parameter ID *

Enter, or use Query to select, a parameter ID of up to 15 alphanumeric characters. You should choose characters for your parameter ID that help identify the type of selections you made in the screen.

When you save your record, all the selections you made in the screen are stored with the parameter ID. Later, you can retrieve the parameter using Query.

You can use the parameter to produce reports and run processes more efficiently because you can select the parameter ID with its previously-defined screen selections. Once the default selections display in the screen, you can override the defaults as necessary.

Enter, or use Query to select, a parameter description of up to 30 alphanumeric characters.

Options

Use the fields in this block to enter an EFT file name and specify report options.

EFT File Name

Select File Name *

Enter, or use Lookup to choose, the file name of the ACH file for which you want to print the report. This will be the file name that was used in the Create EFT File screen.

Alt File Location

Enter, or use Lookup to select, an alternate file location.

The alternate file location is defined in the Alternate File Location screen (Administration\Maintain\Files) where a URL Folder is attached. This is where the created file will be stored.

Report Options

Show Addenda Records

Select this checkbox to include addenda records on the edit report.

The addenda records are the details for the invoices you are paying. The addenda records include invoice numbers, invoice dates, invoice amounts, and the discount taken.

Sort By

Use the options in this block to specify how the report will be organized.

1st Sort *

Use the drop-down box to make a selection.

Pay Vendor Name

Make this selection to sort the report by vendor name.

Pay Vendor

Make this selection to sort the report by pay vendor.

Pay Vendor Bank ID

Make this selection to sort the report by pay vendor bank ID.

Table Information

Changes in this screen update the Z_APREFTED_AUDIT (Z EFT Edit Report Audit) and the Z_APREFTED_WORK (Z EFT Edit Report Work) tables. These are temporary tables.
