Prepayment Edit Report

What can I do in this screen?

Use this screen to generate a report that details which vouchers will print and the amounts of the resulting checks.

You can run the report for any range of cash account/organizations and print it by either pay vendor ID or pay vendor name. The report includes only those vouchers that will be paid by check. Vouchers paid by EFT are not included in this report.

To review vouchers that will be paid by EFT, print the EFT Pre-Transfer Edit Report.

The Prepayment Edit Report screen consists of two blocks that you can use as follows:

I am trying to partially pay a voucher. How can I ensure that the voucher will only be partially paid?

To partially pay a voucher, find the voucher in the Edit Voucher Payment Status screen (Accounting\Process\Pay). Change the status of the voucher to "PAY" and enter the partial payment amount in the Amount To Pay field.

When you print the Prepayment Edit Report, you will be able to verify the amount that will be paid for this voucher.

Field Descriptions

Identification

Use the fields in this block to create a new parameter ID or to retrieve a previously-saved parameter ID. A parameter ID represents a set of screen selection parameters. Once you have saved a parameter ID and its related parameters, you can retrieve them using Query.

You can use the retrieved parameters to produce reports and run processes more efficiently and with greater consistency. Many users save a unique set of parameters for each different way they run a report or process. If you select a previously-saved parameter ID or parameter description, the associated saved screen selection parameters will automatically display as selection defaults. You can change any of the associated selection defaults as necessary.

Parameter ID *

Enter, or use Query to select, a parameter ID of up to 15 alphanumeric characters. You should choose characters for your parameter ID that help identify the type of selections you made in the screen.

When you save your record, all the selections you made in the screen are stored with the parameter ID. Later, you can retrieve the parameter using Query.

You can use the parameter to produce reports and run processes more efficiently because you can select the parameter ID with its previously-defined screen selections. Once the default selections display in the screen, you can override the defaults as necessary.

Description *

Enter, or use Query to select, a parameter description of up to 30 alphanumeric characters.

Selection Ranges

Use the fields in this block to specify the selection ranges for the following: cash account, cash organization, and pay currencies.

Cash Account *

Specify the cash account for which to print the report. Only those vouchers that are assigned to the selected cash account/cash account description specified in these fields will be included in the report.

If a voucher that you are expecting to see on the report is not included, check the cash account description to which the voucher has been assigned. You can change the cash account description in the Edit Voucher Payment Status screen (Accounting\Process\Pay).

Option

Use this drop-down box to select the range of cash accounts to be included.  Valid options are "All," "One," "Range," "From Beginning," and "To End."

The default for this field is "All."

Start

Enter, or use Lookup to select, the starting cash account for the range you want to include.  If you select "All" or "From Beginning" in the Option field, this field will be inactive.

End

Enter, or use Lookup to select, the ending cash account for the range you want to include. If you select "All," "One," or "To End" in the Option field, this field will be inactive.

Cash Organization *

Specify the cash organization for which to print the report. Only those vouchers that are assigned to the selected cash organization/cash account description will be included in the report.

If a voucher that you are expecting to see on the report is not included, check the cash account description to which the voucher has been assigned.

You can change the cash account description in the Edit Voucher Payment Status screen (Accounting\Process\Pay).

Use this drop-down box to select the range of cash organizations to be included. Valid options are "All," "One," "Range," "From Beginning," and "To End."

The default for this field is "All."

Start

Enter, or use Lookup to select, the starting cash organization for the range you want to include.  If you select "All" or "From Beginning" in the Option field, this field will be inactive.

End

Enter, or use Lookup to select, the ending cash organization for the range you want to include. If you select "All," "One," or "To End" in the Option field, this field will be inactive.

Pay Currencies *

Option

Use this drop-down box to select the range that determines which pay currencies are included in the report. Only those currencies you saved in the Currencies screen (Administration\Maintain\Multicurrency) will be available in Lookup.

You can see the pay currency linked to each voucher in the Exchange Rates subtask of the Edit Voucher Payment Status screen (Accounting\Process\Pay). You can change the pay currency, but it must exist in the rate group selected for the voucher. If you change the pay currency, you must select the Find Rates pushbutton to populate the Functional Currency to Pay Currency Exchange Rate Info field. Then, you must select the Apply Rates pushbutton to correct the Pay Currency fields in the Voucher Totals subtask.

Options are "All," "One," "Range," "From Beginning," and "To End."  The default for this field is "All."

Start

Enter, or use Lookup to select, the currency code as the beginning of the range you want to include in the report. If you select "All" or "From Beginning" in the Option field, this field will be inactive.

Only those currencies saved in the Currencies screen (Administration\Maintain\Multicurrency) will be available in Lookup.

End

Enter, or use Lookup to select, the currency code as the end of the range you want to include in the report.

If you select "All" or "From Beginning" in the Option field, this field will be inactive. Only those currencies saved in the Currencies screen (Administration\Maintain\Multicurrency) will be available in Lookup.

Sort By

2nd Sort *

Use this drop-down box to decide how you want to sort your vouchers.

Choosing Pay Vendor ID sorts the vouchers by pay vendor ID within the cash account/organization selected.

Choosing Pay Vendor Name sorts the vouchers by pay vendor name within the cash account/organization selected.
