Use this screen to post payments of vouchers to the general ledger. This process debits the A/P liability Account/Organization for each voucher that was paid. The offsetting credit entry is to the Cash Account/Organization for which the check was printed.
The Check History and Voucher History tables are updated when the check is printed.
This screen consists of two blocks that can be used as follows:
Use the Identification block to enter a parameter ID and description for the process.
Use the Selection Ranges block to specify the fiscal year and period to which you want to post and to specify the range of cash organizations, cash accounts, checks, payment users, and pay currencies to include in the posting.
Post the checks that are printed to the general ledger in any given accounting period before beginning the closing procedures that produce the financial statements. Costpoint will look for unposted cash disbursements when running the test/close period process.
You can post them as they are printed or at the end of the month. However, in order to reconcile the Open A/P Report to the General Ledger, you must post all cash disbursements.
How do I eliminate vouchers on the Open A/P Report where the net amount due for a vendor is zero?
Select the vouchers for a check run. The system will assign a check number based on the "zero balance" check range you set in the Maintain Company Bank Accounts screen. No check will print, but the vouchers will no longer be on the Open A/P Report.
Use the fields in this block to create a new parameter ID or to retrieve a previously-saved parameter ID. A parameter ID represents a set of screen selection parameters. Once you have saved a parameter ID and its related parameters, you can retrieve them using Query.
You can use the retrieved parameters to produce reports and run processes more efficiently and with greater consistency. Many users save a unique set of parameters for each different way they run a report or process. If you select a previously-saved parameter ID or parameter description, the associated saved screen selection parameters will automatically display as selection defaults. You can change any of the associated selection defaults as necessary.
Enter, or use Query to select, a parameter ID of up to 15 alphanumeric characters. You should choose characters for your parameter ID that help identify the type of selections you made in the screen.
When you save your record, all the selections you made in the screen are stored with the parameter ID. Later, you can retrieve the parameter using Query.
You can use the parameter to produce reports and run processes more efficiently because you can select the parameter ID with its previously-defined screen selections. Once the default selections display in the screen, you can override the defaults as necessary.
Enter, or use Query to select, a parameter description of up to 30 alphanumeric characters.
Use the fields in this row to specify the fiscal year and period to which you want to post. Use the Period to Post row when printing checks. Only those checks that you printed in the selected Period to Post fiscal year/period/subperiod will post.
These fields are used as selection criteria to identify those payments that should be included in the posting.
Use this drop-down box to select the range of subperiods to post.
Fiscal Year (Start) *

Only those checks printed within this fiscal year will be considered for posting.
Period (Start) *
Enter, or use Lookup to select, the period of the payments to post.
Only those checks printed within this period will be considered for posting.
Subperiod (Start)
Enter, or use Lookup to select, the starting subperiod of the payments to post.
The unnamed field to the right displays the starting date for the subperiod selected.
Only those checks printed within this subperiod will be considered for posting.
Subperiod (End)
Enter, or use Lookup to select, the ending subperiod of the payments to post.
The unnamed field to the right displays the ending date for the subperiod selected.
Use the fields in this row to specify the range of cash organizations to include in the posting. Only those checks that were assigned to the cash organizations specified in this row will be included in the posting. You assigned the cash organization to the voucher from the vendor when you posted the voucher. Once you have posted a voucher, you cannot change this cash organization.
Use this drop-down box to select the range of cash organizations to be included.
Valid options are "All," "One," "Range," "From Beginning," and "To End."
The default for this field is "All."

Use the fields in this row to specify the range of cash accounts to include in the posting. You assigned the cash account to the voucher from the vendor when you posted the voucher. You can change the cash account description before posting the voucher. Once you have posted a voucher, you cannot change this cash account.
Only those checks that were assigned to the cash accounts specified in this group box will be included in the posting.
Use this drop-down box to select the range of cash accounts to be included.
Valid options are "All," "One," "Range," "From Beginning," and "To End."
The default for this field is "All."

Use the fields in this row to select the range of pay currencies to be included in the posting. Only those checks that have the selected pay currency code in the check history tables will be included in the posting.

The accepted currency codes are those that you saved in the Currencies screen (Administration\Maintain\Multicurrency).

If you select "All," "One," or "To End" in the Option field, this field will be inactive.

Select this button on the toolbar when you have specified the selection criteria in the screen and after you have posted the Cash Disbursement Journal. The post routine will execute only if you have printed the Cash Disbursements journal.
If you have not printed the journal but are ready to post, you can select the Print/Post Cash Disbursements button instead, and the journal will print first before the posting routine executes.

Changes in this screen update the VCHR_HDR_HS (Voucher Header History), OPEN_AP (Open AP), VEND_CHK (Vendor Check), CASH_DISB_HDR (Cash Disbursement Header), and the CASH_DISB_LN (Cash Disbursement Line) tables.
