Use this screen to complete a workflow activity. This screen will be displayed if you select the Complete pushbutton in the Monitor Status or Activity and Message Inboxes screens. You can also access this screen by selecting the Complete pushbutton (the red checkmark) on the toolbar in any Costpoint function that has been launched through Workflow.
To truly complete the activity, you must select the Complete pushbutton on this screen. The date and time the activity is completed will be audited. The completed activity will be removed from the Activity and Message Inboxes screen. If this activity completes the prerequisites for other activities in the workflow model, those activities will be routed to the Activity and Message Inboxes screen (and e-mail, if available). If you defined roles in the Workflow model to be notified upon completion of this activity, a message will be routed to message inboxes (or e-mail, if available).
Enter information into the following screens before using this screen: Define Case Labels, Define Role Filtering, Define Roles, and Define Workflow Models. These functions are located in the Design menu. Also, you must have initiated a workflow case from either the Initiate Case screen or the Initiate Case subtask of the Monitor Status screen. You will be able to complete an activity through a Costpoint function only if you are working within Workflow. The Complete Activity subtask is active in a Costpoint function if you start a Costpoint function through your Activity and Message Inboxes or Monitor Status screens; otherwise, it is inactive.
This non-editable field displays the workflow that contains the activity that you are completing.
This non-editable field displays the workflow activity that you are completing.
Use this drop-down box to select which option you wish to view for an activity. It is active if the activity has options; otherwise, it is inactive. If you select a specific option in the Monitor Status screen, only that option will display in the drop-down box.
This non-editable field displays a unique number used to identify an instance of a workflow.
Use this field to enter any notes regarding special occurrences while completing the activity. Enter up to 254 alphanumeric characters.
This non-editable column displays the unique labels whose corresponding value helps identify the workflow case.
Enter up to 30 alphanumeric characters. This list of values helps identify the workflow case. Valid values are limited by your selection in the Valid Values drop-down box in the Define Case Labels screen. The following are valid entries:
All - Enter any meaningful value.
User-Defined - Must be a user-defined value set up in the Values subtask of the Define Case Labels screen for label.
System - Must be a value from the System table and a column associated with the label.
You can use Lookup if you need to review either the user-defined or system values.
If you selected "All" from the Valid Values drop-down box in the Define Case Labels screen, the Lookup pushbutton is inactive; otherwise, Lookup is active.
Use the Lookup pushbutton to launch a dialog box from which you can select valid entries for fields on the screen. Lookup may be active or inactive for the Value field (see the documentation for the Value field to determine under what scenario Lookup is active or inactive).
Select the Complete pushbutton to complete the activity and save data. This pushbutton is always active.
If the activity is the only incomplete activity of the workflow, the workflow as a whole will be considered complete. The workflow status will be changed from in progress to complete and the date/time it was completed will be stored. If there are other incomplete activities for the workflow case and these activities are not required, you will be prompted to mark the workflow case complete. If you complete the workflow case, no other activities can be routed, started, or completed.
Select the Cancel pushbutton to exit the screen without saving any data or without completing the activity. If you have made edits on the screen and you select Cancel, you will be asked if you want to complete the activity. You will have the option to leave the screen, or save and complete the activity.
