Use this screen to initiate a case, allowing the first activities to be routed to the appropriate users' electronic workflow inboxes (and e-mail if available). You can also initiate a case in the Maintain Case screen.
When you initiate the case, the workflow enters an in-progress state. When a workflow is in progress, activities and messages are routed to users, and users are able to start and complete activities.
You can edit the Workflow and Value fields and the Case Notes group box in this screen. Enter workflow case labels in the Case subtask of the Define Workflow Models screen before initiating a case in this screen.
When you have completed your entries, use the OK pushbutton on the screen to initiate a case. The appropriate records are saved and activities will be routed to users' inboxes (and e-mail, if available).
Enter information into the following screens before using this screen: Define Case Labels, Define Role Filtering, Define Roles, and Define Workflow Models. These functions are located in the Design menu.
Enter up to 30 alphanumeric characters for Workflow, which is a required field. The value entered for the workflow must already have been set up in the Define Workflow Models screen. The Active checkbox in the Define Workflow Models screen must also be checked. You can use the Lookup pushbutton to review the available workflow names.
After you enter a workflow, tab over to the next field to populate the Subsystem field and Label column.
This non-editable field is populated with the value in the Subsystem field from the Define Workflow Models screen. It describes the set of Costpoint functions most commonly used for the workflow activities.
Case is a unique number used to identify an instance of a workflow. This numeric field will be generated upon selecting OK. This field is non-editable.
Enter up to 254 alphanumeric characters of notes in this optional field. Enter any meaningful text to describe to other users the significance or any specifics of this Workflow case.
This non-editable field is populated with values from the Label column in the Case subtask of the Define Workflow Models screen. These are the key identifiers for the workflow case.
Enter up to 30 alphanumeric characters for the value. Depending on your selection in the Valid Values drop-down box in the Define Case Labels screen, only certain entries will be valid:
All - Enter any meaningful value.
User-Defined - Must be a user-defined value set up in the Values subtask of the Define Case Labels screen for label.
System - Must be a value from the system table and column associated with the label.
You can use Lookup if you need to review either the user-defined or system values.
If you selected "All" in the Valid Values drop-down box in the Define Case Labels screen, Lookup is inactive; otherwise, Lookup is active for the Value field.
The Lookup pushbutton launches a dialog box from which you can select valid entries for fields on the screen. Lookup is active for the Workflow field. Lookup may be active or inactive for Value. (See the documentation for the Value field to determine under what scenario Lookup is active or inactive.)
Use this pushbutton to find a document stored on the network, but not in the system database. You can associate a document with a Workflow case.
Select the Open pushbutton to activate the Open Document File dialog box (your cursor must be in the Value field for the label for which you are trying to locate the document), and find the path to the designated document. Double-click on the file name and select the Open pushbutton to open the document. This pushbutton is available only if a case label is defined as "Document" for Valid Values in the Define Case Labels screen, and also identified in the Case subtask of the Define Workflow Models screen.
Select the OK pushbutton to save data to the appropriate files and initiate the case. This pushbutton is always active.
Select the Cancel pushbutton to exit the screen without saving any data or initiating the case. If you have made edits on the screen and you select Cancel, you will be asked if you want to initiate the case. You will have the option to leave the screen, or save and initiate the case.
