Use this subtask to view detailed information regarding travel advance payments, expense reports, or company-paid expenses.

Vendor

These fields display the vendor ID, vendor name, and location information for the line you selected on the main screen.

Pay Vendor

These fields display the vendor ID, vendor name, and location information of the line you selected on the main screen. The Pay Vendor field will usually default to the Vendor, but in some cases, a third party will be paid and a separate pay vendor may have been entered.

Vchr No

This field displays the A/P voucher number as it was generated by the system or assigned by the user.

Invc Amt

This field displays the amount of the travel advance, expense report, or invoice.

Invc No

This field displays the invoice number of the travel advance, expense report, or invoice.

Disc Amt

This field displays any discounts entered for this invoice. This field is not available if you selected the Advance radio button in the Item Type group box on the main screen.

Invc Date

This field displays the date of the travel advance, expense report, or invoice.

Amt Due

This field displays how much of the travel advance or expense report (the Invc Amt field) is still unpaid. If you are viewing company-paid expenses, this field displays the amount due less any applicable discount.

Due Date

This field displays the travel advance, expense report, or invoice due date as it was assigned by the system, based on vendor criteria, or as assigned by the user.

Amt Paid

This field displays how much of the travel advance, expense report, or invoice has been already paid.

Entry

This group box displays the data regarding the last change of this voucher information in the system.

User

This field displays the ID of the last user to change the voucher before it was posted.

Date

This field displays the system date of the last change to the voucher before it was posted.

Subpd

This group box displays the fiscal year, period, and subperiod to which the advance request, expense report request, or invoice was posted.

Status

This box displays the status of checks and EFTs that have been printed: "N/A" (Not Applicable" "O" (Open), "V" (Void), "C" (Cleared), and "S" (Stop Payment). If this field is blank, no payment has been made.

Table Window

Each row represents a different check/EFT.

Check Number

This column displays the number of the check/EFT.

Check Date

This column displays the date of the check/EFT.

Void Date

This column displays the void date, if any, for the check.

Address Code

This column displays the address code for the voucher.

Status

This column displays the status of checks and EFTs that have been printed: "O" (Open), "V" (Void), and "C" (Cleared). If this field is blank, no payment has been made.

Paid Amount

This column displays the amount paid on the check/EFT.

Discount Taken

This field displays any discounts taken.

Check Fiscal Year

This column displays the fiscal year to which the check/EFT was posted.

Check Period

This column displays the period to which the check/EFT was posted.

Check Subperiod

This column displays the subperiod to which the check/EFT was posted.

Cash Account

This column displays the cash account chosen for this check/EFT.

Cash Org

This column displays the cash organization that was chosen for this check/EFT.

Ref 1

If you have designated a label for this field, it will display as the field heading and the column may be populated with the data entered with the original advance request, expense report, or invoice.

Ref 2

If you have designated a label for this field, it will display as the field heading and the column may be populated with the data entered with the original advance request, expense report, or invoice.

Void Fiscal Year

This column displays the fiscal year in which the check was voided.

Void Period

This column displays the period in which the check was voided.

Void Subperiod

This column displays the subperiod in which the check was voided.
