MATCHED ITEMS

Use this subtask to view more detailed information about the expense report item or the expense report travel item to which the company-paid item was matched. You cannot edit the information in this subtask.

Vendor

The vendor ID, name, and location are displayed in these fields.

Travel Vendor

The travel vendor ID and name are displayed in these fields.

Trip No

The trip number is displayed in this field.

Exp Type

The expense type is displayed in this field.

Number

The invoice number is displayed in this field.

Date

The expense report date is displayed in this field.

Subperiod Matched

The fiscal year, period, and subperiod during which the match occurred are displayed in these fields.

Subperiod Incurred

The fiscal year, period, and subperiod to which these expenses were posted are displayed in these fields.

Table Window

Record Type

This field will display an "E" (Expense Report) if you are viewing an expense report travel item or a "C" (Company Paid) if you are viewing a company-paid item.

Note:  The Exp Report No and Exp Report Date fields will not be available on your screen unless you are viewing a company-paid item.

Exp Report No

This column displays the expense report number as it was generated by the system or assigned by the user.

Exp Report Date

This column displays the date of the expense report.

Note:  The Voucher No and Invoice Date fields will not be available on your screen unless you are viewing an expense report travel item.

Voucher No

This column displays the A/P voucher number as it was generated by the system or assigned by the user.

Invoice Date

This column displays the date of the original expense report.

Trip Start Date

This column displays the trip start date that was entered with the expense report item.

Trip End Date

This column displays the trip end date that was entered with the expense report item.

Units

This column displays the number of items that was multiplied by the amount in the Rate column.

Rate

This column displays the rate that is associated with certain types of expenses and is multiplied by the Units column.

Amount

This column displays the expense amount. If the Units and Rate columns are used, this will be the product of those two columns. If the Units and Rate columns are not used, this is the amount that was entered for the expense report item or travel expense.

Project

This column displays the project, if any, to which the item was charged.

Organization

This column displays the organization to which the item was charged.

Account

This column displays the account to which the item was charged.

Destination Description

This column displays the destination that was entered with the expense report or company-paid item.

Transp Code

This column displays the transportation code for tracking travel expenses.

Ticket No

This column displays the ticket or unique item number, if applicable.

Trip No

This column displays the unique identifying number for the trip.

Transaction Description

The description, if any, for this transaction is displayed in this column.

Ref 1

If you have designated a label for this field, it will display as the field heading and the column will be populated with the data entered with the expense report item.

Ref 2

If you have designated a label for this field, it will display as the field heading and the column will be populated with the data entered with the expense report item.

Project Abbrev

This column displays the abbreviation, if any, of the project that is listed in the Project column.

Org Abbrev

This column displays the abbreviation of the organization that is listed in the Organization column.

Source

This column displays the source of the travel item listed in this row. Items entered into Costpoint through standard entry will be marked "S." Items that you entered into Costpoint in the Enter Unmatched Expenses screen (for initialization purposes) will be marked "U."

History
