DEFAULTS

Use this subtask to set up default accounts that will be used with this vendor. The expense accounts can help define default expense accounts for the data entry clerk.  You can always override the expense accounts during data entry.

Vendor

These fields display the ID, name, and location from the main screen.

Pay Vendor

Enter a different vendor in this field to print the check to a third party for the vouchers for this vendor. Use this field only for third-party payments. For example: You purchased goods from vendor ABC but their receivables are assigned to vendor XYZ.

Accounts Description

A/P

Enter, or use Lookup to select, an A/P account description that corresponds to an A/P account/organization/ref 1/ref 2 combination set up in the A/P Accounts screen in Costpoint Accounts Payable. This will serve as the default A/P account/organization/ref 1/ref 2 for the vouchers entered for this vendor. If you entered a default A/P account description in the Vendor Settings screen, that value will default into this field; however, you can override it.

Cash

Enter, or use Lookup to select, a cash account description that corresponds to a cash account/organization/ref 1/ref 2 combination set up in the Cash Accounts screen in Costpoint Accounts Payable. This will serve as the default cash account/organization/ref 1/ref 2 for the vouchers entered for this vendor. If you entered a default cash account description in the Vendor Settings screen, that value will default into this field; however, you can override it.

Allow Edits to Pay Vendor on Voucher

Select this checkbox to allow the Pay Vendor field to be changed on the voucher. If you do not select this checkbox, the Pay Vendor will default into the voucher and will not be editable.

Allow Auto-Vouchering for POs

Select this checkbox to automatically generate PO vouchers for this vendor. This will serve as a default to the Enter POs screen in Costpoint Purchasing. If you do not select this checkbox, the system will not automatically generate PO vouchers from the Enter POs screen.

Pay When Paid

Select this checkbox to hold voucher payment until cash receipts have been entered for this vendor.

Separate Check

Select this checkbox to have separate checks print for all vouchers for this vendor.  The setting of this checkbox will default to all PO vouchers for this vendor in the Header Information subtask of the Enter PO Vouchers screen in Costpoint Accounts Payable.

Vendor Group

Enter a code to designate a group of vendors.

Memo for Blank Laser Checks Only

Enter a memo to appear in the lower left corner of each check.

Shipping

FOB

Enter the Free on Board (FOB) method you use, e.g., "Destination."

Ship Via

Enter the method you want to use to ship by, e.g., "UPS."

Table Window

Line

This display-only field is incremented automatically by Costpoint. As you insert lines in this table, the line number will be recalculated.

Account

Enter, or use Lookup to select, an account number. As you move to the next field, the system will validate that the account number is not a summary account, not a project account, and that the account is active. You will receive a message if the account fails any of the above validations, and you should correct the account. When you exit the row and save the vendor, additional validation will occur to see if the account is valid for the organization. Enter account information in Costpoint General Ledger.

Organization

Enter, or use Lookup to select, an organization ID. As you move to the next field, the system will validate that the organization is active. Enter organization information in Costpoint General Ledger.

Project

Enter, or use Lookup to select, a project. Establish projects in Costpoint Project Setup.

Allocation

Enter a percentage of up to three digits. This column must total 100%.

Ref 1

Enter, or use Lookup to select, a reference number related to this column header. Maintain reference headings in the G/L Settings screen in Costpoint General Ledger. 

Ref 2

Enter, or use Lookup to select, a reference number related to this column header. Maintain reference headings in the G/L Settings screen in Costpoint General Ledger. 

Account Name

This field displays the account name, based on the Account number selected.

Organization Name

This field displays the organization name, based on the Organization number selected.

Project Name

This field displays the project name, based on the Project number selected.

Ref 1 Name

This field displays the department name, based on the reference number selected.

Ref 2 Name

This field displays the company group name, based on the reference number selected.
