ACCOUNT DISTRIBUTION

Use this subtask to distribute the purchase order line's charge to a single or multiple Account/Project/ Organization combinations.

If you entered Project, Account, Organization and abbreviation information in the Defaults subtask and elected to have the information default for all PO lines, this information will default into this subtask. 

Use this subtask whenever a purchase order line is added to the purchase order, and maintain it when changes are needed to that purchase order line's account allocation.

PO, Release, Line, Trans Currency

These non-editable fields will default from the main screen.

PO Line Ext Amt

This field defaults from the purchase order line and cannot be changed here.

Line Charge Amt

This non-editable field defaults from the purchase order line. It represents any additional miscellaneous charges against this line item.

Sales/VAT Tax Amt

This non-editable field defaults from the purchase order line. It represents any applicable sales or value added tax against this line item.

PO Line Total Amt

This non-editable field defaults from the purchase order line. It represents the total charge for this line item, including miscellaneous charges and sales tax.

Unallocated Amt

This non-editable field is calculated by the system. It represents any amount of the PO Line Total Amount that has not been allocated to an account in the table below.

Inventory Abbrev

This non-editable field defaults from the purchase order line. It represents the inventory abbreviation for this line item, if one exists.

Table Window

If you entered Project, Account, Organization and abbreviation information in the Defaults subtask and elected to have the information default for all PO lines, this information will default into this table window but can be changed. If this information is not populated in the Defaults subtask, but it exists for the vendor in the Defaults subtask in the Maintain Vendors screen, the vendor's project, account, and organization information will default into this table window for the PO line. The project/account/org combination must exist in the Maintain Valid Project/Account/Orgs screen under the Project Master menu in Project Setup, and the project/account/org information must be assigned to the buyer in the Buyers screen.

Account

If this PO line item has an inventory abbreviation, the associated account will display here; otherwise, the account assigned in the Defaults subtask in the Enter POs screen or the account assigned to the vendor will display here and can be changed, if necessary. To override this account, enter or select using Lookup, a valid account number to receive charges for this line item. The system will validate that the account number selected is active and not a summary account. If the PO line is a miscellaneous line charge and no account, organization or inventory abbreviation exists, the Misc Type code's account will default (from the PO Line Charge Types screen or the Sales Order Line Charge Types screen), depending on whether or not a project exists.

Account Name

This non-editable field displays the account name for the account selected.

Organization

This field contains the organization assigned in the Defaults subtask of the Enter POs screen, and can be changed. To change this organization, enter or use Lookup to select the organization that receives charges for this line item. The system will validate that the organization selected is active, and that the Account/Organization combination allows charging for the fiscal year, period, and subperiod on this purchase order.

Organization Name

This non-editable field displays the organization name for the organization selected.

Project

The project assigned in the Defaults subtask of the Enter POs screen will display here and can be changed. To change this project, enter or select using Lookup, the project that receives charges to this line item. The system will validate that the project selected is active.

Project Name

The project name for the project selected will be displayed.

Allocation

Enter the percentage amount of this line item to be charged to the selected account/organization/project. The default is 100%. This default percentage can be deleted and an amount entered in the Amount column instead.

Amount

If a percentage is not entered, specify the amount of this line item to be charged to the selected Account/Organization/Project. This amount is displayed in the transaction currency for this purchase order.

Org Abbrev

If an organization has been selected, the organization abbreviation assigned will display and can be changed. To change this organization abbreviation, enter, or use Lookup to select, the organization abbreviation to which to charge this line item.

Proj Abbrev

If a project has been selected, the project abbreviation assigned will display and can be changed. To change this project abbreviation, enter or use Lookup to select the project abbreviation that receives charges to this line item.

Project Acct Abbrev

The project account abbreviation assigned will display.

Ref 1

The reference 1 assigned in the Defaults subtask of the Enter POs screen will display and can be changed. To change this reference, enter or use Lookup to select the reference for this line item. If you select Lookup, the Lookup table will display all reference numbers whose Use in Data Entry checkbox is selected in the Maintain Ref Elements screen (in Costpoint General Ledger). The header title for this field defaults from the Reference 1 field in the Data Entry Headings group box in the G/L Settings screen in Costpoint General Ledger.

Ref 2

The reference 2 assigned in the Defaults subtask of the Enter POs screen will display and can be changed. To change this reference, enter or use Lookup to select the reference for this line item. If you select Lookup, the Lookup table will display all reference numbers whose Use in Data Entry checkbox is selected in the Maintain Ref Elements screen (in Costpoint General Ledger). The header title for this field defaults from the Reference 2 field in the Data Entry Headings group box in the G/L Settings screen in Costpoint General Ledger.
