SET UP VALIDATIONS USING POA

Use this toolkit only for those projects that were created in Costpoint versions before 2.0A. If you are working in version 2.0A or later, you do not need to run this toolkit. This toolkit initializes project tables to accommodate Project/Organization/ Account (POA) validation for projects created before Costpoint version 2.0A. This toolkit reviews Maintain Project Master (PROJ_EDIT) and updates the appropriate tables based in accordance with your selections.

For versions earlier than 2.0A, only the valid POA combinations found in the Maintain Valid Project/Account/Orgs screen (PROJ_ORG_ACCT) were eligible for transaction entry for a given project. Beginning with 2.0A, additional options were made available for validating Costpoint transactions. These options are controlled in the Maintain Project Master screen (Projects » Project Setup » Project Master) or the Basic Info screen (Projects » Project Setup » Project Master). You can validate the entire POA combination but, alternatively, you can validate just the project/account combinations and/or the project/organization combinations. For more information on transaction validation, see Project Setup Special Topic PJ-17, "Proj/Acct/Org Validations."

Project Range

Use this group box to select the range of projects that you want to update.

All

Select this option to update all projects.

Range

Select this option to update a range of projects. If you select this option, you can use the Lookup button to select a range of projects in the Select Project group box.

One

Select this option to update one project. If you select this radio button, you can use the Lookup button to select a project in the Select Project group box.

Select Project

Use this group box to select the range of projects you would like to include in the process.

From

If you have selected the All option, this field is unavailable. If you have selected the Range option, enter the beginning project that you want to update. If you have selected the One option, enter the project that you want to update.

To

If you have selected the All or One options, this field is unavailable. If you have selected the Range option, enter the ending project that you want to update.

POA

Use items in this group box to select the POA validation options.

If you select none on the check boxes in this screen, all transaction combinations that exist in the PROJ_ORG_ACCT table will be deleted and no rows will be inserted in the Maintain Project/Account Validation (Projects » Project Setup » Controls) or the Maintain Project/Organization Validation (Projects » Project Setup » Controls) screens. If the transaction has passed all other validations, the account will be allowed if it exists in the Project Account Groups screen (Projects » Project Setup » Controls).

1.  Limit which organizations can charge which accounts by project?

Beginning with Costpoint version 2.0A, the Allow Charging check box in the Maintain Project Master screen (Projects » Project Setup » Project Master) controls whether charging can occur on the selected project. When you convert to version 2.0A, this check box will initially be set to blank for all projects. When you execute this toolkit, this check box will change to selected for any projects in which at least one row is found in the PROJ_ORG_ACCT table. This action will occur regardless of the options selected in this toolkit.

Select this check box to retain your transaction combinations currently residing in PROJ_ORG_ACCT; transactions will continue to be validated by project/organization/account. The toolkit will select the Limit which Orgs can charge specific Accts check box in the Maintain Project Master screen for all projects that have the Allow Charging check box selected. This selection will disable the Limit Accounts and Limit Orgs selections in the Maintain Project Master screen. Selecting this option will also disable questions 2 and 3.

If you  do not select the Limit which organizations can charge which accounts by project? check box, the combinations residing in PROJ_ORG_ACCT will be deleted, either partially or entirely, depending on whether the Reference numbers assigned to accounts? check box is selected. Be sure to select this check box if you want to retain your project/organization/account combinations.

Reference numbers assigned to accounts?

Select this check box to delete the PROJ_ORG_ACCT table for all rows except for those that contain reference numbers. If you do not select this check box, the PROJ_ORG_ACCT table will be deleted in its entirety. This option is available only if you did not select the Limit which organizations can charge which accounts by project? check box.

2.  Limit which accounts from an account group can be charged to a project?

Select this check box to delete the transaction combinations currently residing in PROJ_ORG_ACCT and validate transactions by project/account. This toolkit ensures that the Limit which Orgs can charge specific Accts check box in the Maintain Project Master screen (Projects » Project Setup » Project Master) is blank. It will also select the Limit Accounts check box in the Maintain Project Master screen for all projects in which the Allow Charging check box is selected. The toolkit will also review the Maintain Project/Account Validation screen (Projects » Project Setup » Controls). For any projects having zero rows in that screen, the application will insert a % wildcard row to accept all projects. If any rows are detected in the Maintain Project/Account Validation screen, the toolkit will insert no wildcards, and you must add each project manually. If the Allow Charging check box is not selected, no wildcards are inserted in the Maintain Project/Account Validation screen.

3.  Limit which organizations can charge a project?

Select this check box to delete the transaction combinations that currently exist in the PROJ_ORG_ACCT table. This selection also validates transactions by project/organization combination. The toolkit ensures that the Limit which Orgs can charge specific Accts check box in the Maintain Project Master screen (Projects » Project Setup » Project Master) is blank. It also selects the Limit Orgs check box in Maintain Project Master screen for all projects that have selected the Allow Charging check box. The toolkit also reviews the Maintain Project/Organization Validation screen. For any projects having zero rows in the Maintain Project/Organization Validation screen (Projects » Project Setup » Controls), the toolkit inserts a % wildcard row to accept all projects. If any rows are detected in the Maintain Project/Organization Validation screen, the toolkit will insert no wildcards, and you must add each wildcard manually. Click this button to search for a project in the Select Project group box. This button is available only if you have selected the One option.

Click this button to start the toolkit.
