PURGE PROJECT AND BILLING INFORMATION

Use this screen to purge the setup, maintenance, processing, report, and history tables of projects that you no longer want to track, bill, or report. This purge process is limited to the projects and billing tables. Before purging, the application checks all activity tables throughout Costpoint to ensure there are no unposted transactions. After the purge process, the project will remain in the Basic Info (Projects » Project Setup » Project Master) and Maintain Project Master (Projects » Project Setup » Project Master) screens with an inactive status and cannot be changed. The project will also be marked as purged in the PROJ table.

You can enter any level of a given project to purge. The system will purge all levels at and below the level entered. Note that purging at a level other than the top level can have an affect on the entire project. For example, if you purge the lower levels of a project that contains transactions and the revenue formula resides at a higher level, the Compute Revenue process (Projects » Cost and Revenue Processing » Revenue Processing) will not have a basis on which to calculate. Also, purging the modifications of the lower levels will have an affect on the top-level modification amounts of the project. In this case, you will need to execute the Update Contract and Funded Values toolkit and the Update Period of Performance toolkit in the Miscellaneous Toolkits screen (Projects » Cost and Revenue Processing » Utilities) to ensure that the project tables are completely updated. Note that you will not be able to purge a project level that is lower than the level at which the billing formula is set up.

This process is not reversible. You should execute this utility only for those projects that you no longer want to track, bill, or report. To prevent the accidental deletion of data, restrict user access to this screen.

Do not use this process until you have reviewed the project information and are certain that this information will no longer be needed. You should archive this information before purging to provide any necessary audit trail.

Enter any projects that you want to purge in this column. Enter one project at a time. The system will purge all levels at and below the project level entered.

This column displays the name of the project.

Click this icon on the toolbar after you have entered the projects that you want to purge.
