Use this screen to calculate indirect rates and allocation amounts for a pool or a sequence of pools within a given allocation group. For pools that are not service centers, indirect rates are calculated and stored in the Compute & Print Pool Rates screen (Projects » Cost and Revenue Processing » Cost Pool Processing & Reporting), allocation amounts are updated in the Maintain Allocation Journal screen (Projects » Cost and Revenue Processing » Cost Pool Processing & Reporting), and a Statement of Indirect Expenses is created. For service center pools, allocation amounts are updated on the Maintain Allocation Journal screen. A Service Center Cost report is available as a print option on the Maintain Allocation Journal screen.
The system will calculate indirect rates for non-service center pools for pools within any allocation group; however, the Pool Rates screen will be updated with rates for allocation group 1 only. Additionally, the system will post journals and update project burden cost for allocation group 1 only. For all other allocation groups, the system will perform rate calculations and create a Statement of Indirect Expenses, but no other processing will be performed.
Use this screen whenever actual indirect rates are calculated or whenever service center cost allocations are required. You can print Statement of Indirect Expense reports for both the currently calculated pools and previously calculated pools. You should select the Rebuild of Rate Application Table Required check box in the Allocation Groups screen (Projects » Cost and Revenue Processing » Cost Pool Processing and Reporting) before running this process. If you need to rebuild the rate application table, you should run that process before computing rates in this screen. You should run the Compute & Print Pool Rates screen (Projects » Cost and Revenue Processing » Cost Pool Processing & Reporting) only after posting all costs for the period. You can run this process as many times as needed.
Use this group box to select the allocation group number for which you would like to compute.
Select an allocation group number. This drop-down list displays all allocation group numbers that have been set up in the Allocation Groups screen. Group 1 is the primary allocation group because all the pools in that group will allocate to projects. However, you can select any valid allocation group. This is a required field.
This non-editable field displays the description of the allocation group.
Use this group box to select the period through which you would like to compute pools. All incurred costs up to and including the one you enter here will be included in the pool calculation.
Use this drop-down list to select fiscal years that have been set up in the Fiscal Years screen (Accounting » General Ledger » Controls). You can select any fiscal year that has a Status of O (Open). This is a required field.
Use this drop-down list to select periods that have been set up in the Accounting Periods screen (Accounting » General Ledger » Controls). The drop-down list contains all periods that have a Status of O (Open). You can select any period. This is a required field.
This drop-down list will automatically display the lowest-numbered open subperiod from Costpoint General Ledger. However, you can select another subperiod. This is a required field.
Use this group box to limit the range of pools that will be included in the calculation.
Use this drop-down list to select a range of sequence numbers and pools. Valid options are:
All
One
Range
From Beginning
To End
Use these fields to select the starting range for pool rate calculations. Service center pools can be included in the range. Example: From Seq 1 Pool 1 to Seq 4 Pool 10, or From Seq 3 Pool 5 To Seq 3 Pool 5. Pool ranges are often used when using intermediate pools for financial statement reclassification. These are required fields.
Use these fields to select the ending range for pool rate calculations.
After entering the criteria for this process, click this button to populate the table window with information about your selections. Be sure to review the pools in this table before calculating the indirect rates.
Use this group box to select various report options.
Select this check box to present the Statement of Indirect Expenses in thousands. The default value is blank.
Select this check box to present the Statement of Indirect Expenses with account numbers or account numbers and names for the base account section of the report. If names are included, they will be printed above the account numbers. The default value is selected (print account names).
Enter the level of the account that you would like to print on the Statement of Indirect Expenses. If you enter 0, all accounts will be displayed at the level of the charging occurred. This is the most detailed report. Enter "1" to view all costs summarized to level 1. Enter 2 to view all costs summarized to level 2. If you enter 2, any costs at level 1 will be included on the report. Remember that, for the Statement of Indirect Expenses report to calculate the rate correctly, all costs are included even if they are at higher levels.
Enter the level of the organization that you would like to print on the Statement of Indirect Expenses. If you enter 0, all organizations will be displayed at the level of the charging occurred. This is the most detailed report. Enter 1 to view all costs summarized to level 1. Enter 2 to view all costs summarized to level 2. If you enter 2, any costs at level 1 will be included on the report. Remember that for the Statement of Indirect Expenses report to calculate the rate correctly, all costs are included even if they are at higher levels.
This non-editable column displays a user-specified number that corresponds to the sequence in which a given pool will be allocated. You can set up pool sequence numbers in either the Cost Pools screen or the Set Pool Processing Sequence screen (Projects » Cost and Revenue Processing » Cost Pool Setup).
This non-editable column displays all of the pool numbers that belong to the allocation group specified.
This non-editable column displays the name of each cost pool.
This non-editable column displays the default value, from the Set Pool Processing Sequence screen (Projects » Cost and Revenue Processing » Cost Pool Setup), that applies to the calculation of a pool base. If a Y (Yes) is displayed, the pool base amounts will be taken from the ledger for each base account/organization combination specified for the pool. If an N (No) is displayed, the pool base is taken only from the Allocation Journal. For manual service centers, this column will always be N.
Click this button to purge data from the POOL_SIE_SUPPORT table. This table stores the data required for reprinting old Statement of Indirect Expenses (SIE). If you click this button, the Check Row Count and Purge Old Data subtask will display. Click the Display Row Count button to display the pools, fiscal years, and number of rows existing in the POOL_SIE_SUPPORT table. You can then use this information to purge all or selected information.
Click this icon on the toolbar to print actual rate and allocation amount information after computing. You can use this icon to reprint the Statement of Indirect Expenses any time after the rates have been computed. The system will store the most recently computed rate calculations.
Click the Compute icon on the toolbar to compute actual rates and allocation amounts for the pools in the range selected. For service center pools, the allocation amounts and amount to post will be calculated and updated on the Maintain Allocation Journal screen (Projects » Cost and Revenue Processing » Cost Pool Processing & Reporting). For non-service center pools, indirect rates will be calculated and updated in the Pool Rates screen and allocation amounts and amount to post will be updated in the Maintain Allocation Journal screen. Also, a Statement of Indirect Expenses will be available for printing through the Reprint Old SIE button.
Click this icon on the toolbar to compute rates and amounts and to automatically print the Statement of Indirect Expenses after the computation is made.
Changes to this screen update the POOL_SIE_SUPPORT table.
