Use this screen to view the amounts that will be posted to the General Ledger for pools and service center pools for a given fiscal year, period, and subperiod. Both current period and year-to-date calculations are stored for the calculation period. The amount that is posted (current or YTD) is determined by which option you select in the Apply Burdening based on group box in the Corporate Settings subtask of the Project Settings screen (Projects » Project Setup » Controls).
For service center pools only (and specifically service center pools with a Manual Calculation of Base method as selected in the Service Center subtask of the Cost Pools screen (Projects » Cost and Revenue Processing » Cost Pool Setup)), you can edit the Cur No of Units, Cur %, Cur Alloc Amt, and Cur Amt to Post columns.
Also, for manual service center pools only, you can import the allocation rows based on the Allocation Journal History. You can thus populate the table window based on the historical allocations for this pool.
You can edit this screen only for service center pools whose Calculation of Base method is Manual (in the Service Center subtask of the Cost Pools screen), and you should maintain it whenever service center allocations are required (usually monthly), or whenever adjustments to a service center allocation are necessary. After you have executed the Compute & Print Pool Rates screen (Projects » Cost and Revenue Processing » Cost Pool Processing & Reporting), this screen will be populated by non-service center pools.
Enter, or use to select, the allocation group number for the pools specified in the journal. The group number can include groups that are not group 1; however, only amounts for group 1 will be posted to the General Ledger. This is a required field.
Enter, or use to select, the pool number being allocated. This is a required field. The adjacent field displays the name of the selected pool number.
This non-editable field displays the basis description from the Cost Pools screen (Projects » Cost and Revenue Processing » Cost Pool Setup) for the pool number identified.
Use the fields in this group box to review or select the period through
which costs are included in the pool. If the Compute Pools process
inserted this record, the period information shown here should be the
same as that entered in the Compute & Print Pool Rates screen (Projects » Cost and Revenue Processing » Cost
Pool Processing & Reporting). If you are manually entering
service center information, you can select the period to which you would
like to
post.
Use this drop-down list to select a fiscal year. You can select any fiscal year, but for open fiscal years, your choice should correspond to the fiscal year for which the pool is open. This is a required field.
Use this drop-down list to select an accounting period. This is a required field.
Use this drop-down list to select an accounting subperiod. This is a required field.
This non-editable column displays the line number that identifies each transaction separately.
Enter, or use to select, the account to receive the allocation of costs contained in the Allocation Journal from the Pool displayed. This is a required field.
Enter, or use to select, the organization that, in combination with the selected allocation accounts, will receive the allocation of costs contained in the Allocation Journal for the Pool displayed. This is a required field.
Enter, or use to select, the project that will receive the allocation of costs contained in the Allocation Journal for the Pool displayed. This column is optional.
Enter, or use to select, the abbreviation of the Organization entered. If you enter the abbreviation here, the organization number will be displayed in the Organization column.
Enter, or use to select, the project abbreviation of the Project number entered. If you enter the abbreviation here, the project number will be displayed in the Project column.
Enter the number of units that form the basis of the Pool displayed, for the Account/Organization/Project combination entered. The number of units can include head count, number of pages, square footage, percents, etc.
This non-editable column displays the system-calculated percentage of total current units that are represented by the number of units entered into each row.
This column displays the system-calculated allocation amount derived by multiplying the Cur % by the total cost in the pool, or by multiplying a standard rate by the current units. The system calculates this amount "on the fly" during the Compute & Print Pool Rates process (Projects » Cost and Revenue Processing » Cost Pool Processing & Reporting). However, you can edit the Cur Alloc Amt to make adjustments.
This column displays the amount to post derived by subtracting from the Cur Alloc Amt or YTD Alloc Amt any amounts that have already been posted to the account/organization/project combination. You can edit this amount to make adjustments.
Enter the number of YTD units that form the basis of the Pool displayed, for the Account/Organization/Project combination entered. The number of units can include head count, number of pages, square footage, percents, etc.
This non-editable column displays the system-calculated percentage of total YTD units that is represented by the number of YTD units entered in each row.
This column displays the system-calculated allocation amount derived by multiplying the YTD % by the total cost in the pool or by multiplying a standard rate by the YTD units. The system calculates this amount "on the fly" during the Compute & Print Pool Rates process (Projects » Cost and Revenue Processing » Cost Pool Processing & Reporting). However, you can edit the allocation amount in order to make adjustments.
