OVERVIEW

Note: This documentation outlines the Costpoint® functionality that interfaces with Deltek Time & Expense, Deltek Time Collection, and Deltek Electronic Timesheet. Please be sure to refer to your Deltek Time & Expense, Deltek Time Collection, or Deltek Electronic Timesheet documentation as well so that your data is congruent in and between applications.

Changes to Existing Costpoint Applications for Deltek Time & Expense 7.0

Implementing Deltek Time & Expense 7.0 with Costpoint 5.1 enables useful functionality that was not available in previous Time & Expense/Time Collection/Electronic Timesheet (ET) versions.

The following Costpoint screens will change in your system once you implement Deltek Time & Expense 7.0. These options will be enabled if you are licensed for Time & Expense and if you selected the "Time & Expense 7.x" option in the Corporate Labor Settings subtask of the Labor Settings screen in Costpoint Labor.

Labor Settings/Corporate Labor Settings subtask (Labor Controls menu in Costpoint Labor)

Select "Time & Expense 7.x" in the Deltek Time & Expense group box. You must select this option to successfully export information to Deltek Time & Expense 7.0. Otherwise, use this drop-down box to specify which version of Time Collection (formerly Electronic Timesheet (ET)) your company is using. The system will use this value to determine the Time Collection Interface applications to which you have access. Only those versions to which you currently have access will display.

None - Select this option to disable access to all applications under the Time Collection (ET) Interface menu.

ET Version 2.x - If you are using Electronic Timesheet version 2.x, select this option to enable the Export Data to Deltek ET 2.x application. Use the Export Data to Deltek ET 2.x application to specify export options for employee and personnel data to Electronic Timesheet (ET).

ET Enterprise Version 3.x - If you are using Electronic Timesheet Enterprise version 3.x, select this option to enable the Export Data to Deltek Time Collection 3.x and 4.x application. Use the Export Data to Deltek Time Collection 3.x and 4.x application to specify export options for Costpoint data to Electronic Timesheet (ET) Enterprise.

Time Collection 4 - If you are using Deltek Time Collection 4, select this option to enable the Export Data to Deltek Time Collection 3.x and 4.x application. Use the Export Data to Deltek Time Collection 3.x and 4.x application to specify options for exporting Costpoint data to Deltek Time Collection 4.

Time Collection 5.x - If you are using Deltek Time Collection 5 or Time Collection 5.1, select this option to enable the Export Data to Deltek Time & Expense 5.x+ application. Use the Export Data to Deltek Time & Expense 5.x+ application to specify options for exporting Costpoint data to Deltek Time Collection 5.1. If you select this option, you will have access to the following applications under the Time Collection (ET) Interface menu: Time Collection Account Types, Time Collection Accounts, and Time Collection Projects.

Time & Expense 6.x - If you are using Deltek Time & Expense 6.0, select this option to enable the Export Data to Deltek Time & Expense 5.x+ application. Use the Export Data to Deltek Time & Expense 5.x+ application to specify options for exporting Costpoint data to Deltek Time & Expense 6.0. If you select this option, you will have access to the following applications under the Time Collection (ET) Interface menu: Time Collection Account Types, Time Collection Accounts, and Time Collection Projects.

Time & Expense 7.x - If you are using Deltek Time & Expense 7.0, select this option to enable the Export Data to Deltek Time & Expense 5.x+ application. Use the Export Data to Deltek Time & Expense 5.x+ application to specify options for exporting Costpoint data to Deltek Time & Expense 7.0. If you select this option, you will have access to the following applications under the Time Collection (ET) Interface menu: Time Collection Account Types, Time Collection Accounts, and Time Collection Projects.

Salary Info and History (Basic Employee Setup menu in Costpoint Employee)

The Manager field is enabled even if you are not licensed for the Costpoint Human Resources.

Employee Master - Salary Info and History (Basic Employee Setup menu in Costpoint Employee)

The Manager field is enabled even if you are not licensed for the Costpoint Human Resources.

Miscellaneous Functions (Utilities menu in Costpoint Labor)

New clients can use the Export Used Leave to Deltek Time & Expense toolkit to create an EMPL_LEAVE_YYYYMMDDHHMMSS.CSV file that contains used leave data for a specific leave cycle or all leave cycles.

Export Data to Deltek Time & Expense 5.x+ (Time Collection (ET) Interface menu in Costpoint Labor)

The following functionality was added:

¨      Ability to export project managers and tax codes. 

¨      Ability for non-Human Resources users to export employee groups by manager. 

¨      Ability to specify the method for building the UDT02 (Project) description.

¨      Ability to specify the level of owning organization for charge tree creation. 

Menu

The following menu names were changed:

¨      "Download to Time Collection" has been changed to "Export Data to Deltek Time & Expense 5.x+." 

¨      "Download to Time Collection (ET)" has been changed to "Export Data to Deltek Time Collection 3.x and 4.x." 

¨      "Download to ET Version 2.x" has been changed to "Export Data to Deltek ET 2.x."

Changes to Existing Costpoint Applications for Deltek Time & Expense 6.0

Implementing Deltek Time & Expense 6.0 with Costpoint 5.1 enables useful functionality that was not available in past Time Collection/Electronic Timesheet (ET) versions.

The following Costpoint screens will change in your system once you implement Deltek Time & Expense 6.0. These options will be enabled if you are licensed for Time Collection and if you selected the "Time & Expense 6.x" option in the Corporate Labor Settings subtask of the Labor Settings screen in Costpoint Labor.

Select "Time & Expense 6.x" in the Deltek Time & Expense group box. You must select this option to successfully export information to Deltek Time & Expense 6.0. Otherwise, use this drop-down box to specify which version of Time Collection (formerly Electronic Timesheet (ET)) your company is using. The system will use this value to determine the Time Collection Interface applications to which you will have access. Only those versions to which you currently have access will display.

None - Select this option to disable access to all applications under the Time Collection (ET) Interface menu.

ET Enterprise Version 3.x - If you are using Electronic Timesheet Enterprise version 3.x, select this option to enable the Export Data to Deltek Time Collection 3.x and 4.x application. Use the Export Data to Deltek Time Collection 3.x and 4.x application to specify export options for Costpoint data to Electronic Timesheet (ET) Enterprise.

Time Collection 4 - If you are using Deltek Time Collection 4, select this option to enable the Export Data to Deltek Time Collection 3.x and 4.x application. Use the Export Data to Deltek Time Collection 3.x and 4.x application to specify options for exporting Costpoint data to Deltek Time Collection 4.

Time Collection 5.x - If you are using Deltek Time Collection 5 or Time Collection 5.1, select this option to enable the Export Data to Deltek Time & Expense 5.x+ application. Use the Export Data to Deltek Time & Expense 5.x+ application to specify options for exporting Costpoint data to Deltek Time Collection 5.1. If you select this option, you will have access to the following applications under the Time Collection (ET) Interface menu: Time Collection Account Types, Time Collection Accounts, and Time Collection Projects.

Time & Expense 6.x - If you are using Deltek Time & Expense 6.0, select this option to enable the Export Data to Deltek Time & Expense 5.x+ application. Use the Export Data to Deltek Time & Expense 5.x+ application to specify options for exporting Costpoint data to Deltek Time & Expense 6.0. If you select this option, you will have access to the following applications under the Time Collection (ET) Interface menu: Time Collection Account Types, Time Collection Accounts, and Time Collection Projects.

Maintain Vendors (Vendor Info menu in Costpoint Accounts Payable)

Enter the Time Collection Expense Class. This field is optional and will be available if you are using Deltek Time & Expense 6.0. If you populate this field and execute the Export Data to Deltek Time & Expense 5.x+ application, the vendor and expense class will be exported to the EMPL_HISTORY file.

Export Data to Deltek Time & Expense 5.x+ (Time Collection (ET) Interface menu in Costpoint Labor)

The following was changed:

¨      Added the ability to export leave type, company, and expense payment data to Deltek Time & Expense 6.0. 

¨      Added new fields to existing files for export to Time & Expense 6.0. 

¨      Updated the following files: EMPL, EMPL_HIST, EMPL_LEAVE, EMPL_GROUP, UDT01, UDT02, UDT03, UDT04, UDT05, UDT06, UDT07, UDT08, UDT09, UDT10, CHARGE, LINK12, LINK19, LINK27, and LINK29.

Changes to Existing Costpoint Applications for Deltek Time Collection 5.1

Implementing Deltek Time Collection 5.1 with Costpoint 5.1 enables useful functionality that was not available in previous Time Collection/Electronic Timesheet (ET) versions.

The following Costpoint screens will change in your system once you implement Deltek Time Collection 5.1. These options will be enabled if you are licensed for Time Collection and if you selected the "Time Collection 5.x" option in the Corporate Labor Settings subtask of the Labor Settings screen in Costpoint Labor.

Added the ability to export invoice timesheet data to Time Collection 5.1.

Implementing Deltek Time Collection 5.0 with Costpoint 5.1 enables useful functionality that was not available in previous Time Collection/Electronic Timesheet (ET) versions.

The following Costpoint screens will change in your system once you implement Deltek Time Collection 5.0. These options will be enabled if you are licensed for Time Collection and if you selected the "Time Collection 5.x" option in the Corporate Labor Settings subtask of the Labor Settings screen in Costpoint Labor.

Select "Time Collection 5.x" in the Deltek Time & Expense group box. You must select this option to successfully export information to Deltek Time Collection 5.0.

Maintain Accounts (Accounts menu in Costpoint General Ledger)

Enter, or use Lookup to select, the Time Collection Account Type. This field is optional and will be available only if you are using Deltek Time Collection 5 or 5.1. You must have already set up your time collection account types in the Time Collection Account Types screen in the Time Collection (ET) Interface menu of Costpoint Labor. If you populate this field and execute the Export Data to Deltek Time & Expense 5.x+ application, the account(s) will be exported to the UDT01 file.

Print Account Listing (Accounts menu in Costpoint General Ledger)

If you are using Deltek Time Collection 5 or 5.1, use this screen to print accounts that are associated with a Time Collection account type. (Establish Time Collection account types in the Time Collection (ET) Interface menu in Costpoint Labor.)

Salary Info and History/Timesheet Defaults subtask (Basic Employee Setup menu in Costpoint Employee)

Enter the TC Timesheet Schedule that will be exported to Time Collection 5.1 after you execute the Export Data to Deltek Time & Expense 5.x+ application. Timesheet schedules provide the starting and ending dates for timesheets and the scope of a specific period. This field will be available only if you are using Deltek Time Collection 5.1 or 5.0, Time Collection 4, or ET Enterprise Version 3.x.

Enter the TC Work Schedule value that will be exported to Time Collection 5.1 after you execute the Export Data to Deltek Time & Expense 5.x+ application. Work and timesheet schedules are established in Deltek Time Collection. Use work schedules to define workdays, non-workdays, off days, and holidays. This field will be available only if you are using Deltek Time Collection 5 or 5.1.

Maintain Project Master, Basic Info (Project Master menu in Costpoint Project Setup)

Select an Export Project value in either the Maintain Project Master or Basic Info screen in Costpoint Project Setup to flag a project as a "Time Collection Project," an "Expense Project," or a "Time & Expense Project."  Any one of these values signifies that the project's information will be included in the export process when you execute the Export Data to Deltek Time & Expense 5.x+ application. Select "None" if you do not want the project included in the export process when you execute the Export Data to Deltek Time & Expense 5.x+ application.

This drop-down box will be available only if you are using Deltek Time Collection 5, Time Collection 5.1, or Time & Expense 6.

Upload Project Information (Project Master menu in Costpoint Project Setup)

If you use the Upload Project Information application, please refer to the "Input File Layout" section (and "Error Messages" section, if applicable) regarding Time Collection project(s) in the Upload Project Information documentation in the Costpoint Project Setup manual.

Mass Add Project Info (Project Master menu in Costpoint Project Setup)

If you execute the Mass Add Project Info screen and insert a row into the Project table, the system will populate the Export Project value with the project's Export Project value from either the Maintain Project Master or Basic Info screen in Costpoint Project Setup.

Print Project Setup Report (Initialization Reports menu in Costpoint Inquiry and Reporting)

The project's Export Project value from either the Maintain Project Master or Basic Info screen in Costpoint Project Setup is printed on this report.
