If you have implemented Costpoint Multicurrency, use this subtask to set up and modify transactional currency default information, by sales order and customer. Use this subtask to establish and monitor the exchange rate info between the assigned transaction currency (e.g., for customer sales orders) and your organization's functional (base) currency for financial reporting. Initially, a transaction currency is defaulted in based on entries in the Multicurrency subtask of the Maintain Customer screen. If you specified the default transaction currency in this subtask, it is used. If you did not specify the default, the transaction currency listed in the first row displays. If no rows exist in this subtask, the default is taken from the Multicurrency Settings screen. You can use the drop-down box to select a transaction currency. If the customer is restricted to certain transaction currencies, select the Limit Transaction Currencies checkbox in the Multicurrency subtask. Only the currency that is allowed for the customer is used. You must have linked the selected transaction currency to the selected Rate Group in the Maintain Exchange Rate Groups screen in Costpoint Multicurrency. You cannot change the transaction currency after the Sales Order has been approved. Changing the transaction currency in this screen will also change it on the main screen.
Other fields in this subtask (Rate Group, Rate Date, Rate, Trans to Func or Trans to Euro, N/A or Euro to Func) are similar to the Exchange Rate subtask found throughout the Accounting folder.
Use this subtask when adding a sales order or customer or when the currency information requires updating. If you have entered the sales order but have not yet submitted it for approval, you can modify the Transaction Currency, Rate Group, Rate Date and Trans to Func (or Trans to Euro and Euro to Func) fields, which will in turn modify the exchange Rate field. If submitted for approval, the exchange rate is "frozen" at the entered rate. You cannot change the rate once the sales order has been approved. You can maintain it only if the sales order status is changed to "Pending" or "Rejected."
These non-editable fields default from the main screen.
Use this drop-down box to select one of the 56 system-defined transactional currencies. If the transaction and functional currencies are the same, the Rate and Trans to Func fields in the Transactional Currency to Functional Currency Exchange Rate Info group box default to "1.0000000" and "0.0000000," respectively. This field will be disabled as long as the sales order status is not "Pending" or "Rejected."
Use this drop-down box to select the rate group code to be used for this customer's transactions. Rate groups identify the source of exchange rate data. The rate group codes are created and maintained in the Maintain Exchange Rate Groups screen in Costpoint Multicurrency. However, this field displays the default rate group from the Multicurrency subtask of the Maintain Customer screen. This field will be disabled as long as the sales order status is not "Pending" nor "Rejected."
Use this group box to set up transactional and functional currency exchange rate information for the sales order that you are entering. The Rate and Trans to Func fields automatically default with the specified exchange rate information assigned to the rate group in the Multicurrency subtask of the Maintain Customer screen. Exchange rates are "frozen" upon submission of the sales order being approved. If you later modify the currency, the exchange rate is again looked up and frozen at the new rate.
Select this pushbutton to automatically calculate the actual (functional) exchange rate between the selected Rate Group and Transaction Currency drop-down boxes. Selecting this pushbutton updates the currency exchange rate in the Rate and Trans to Func fields.
Enter the date or period of the exchange rate being used for this sales order (also refer to the Multicurrency subtask of the Maintain Customer screen). This field defaults to the current date. This field will be disabled if the sales order status is not "Pending" nor "Rejected."
This field displays the actual exchange rate between the selected Rate Group and the selected exchange Rate Date. This field will be disabled if the sales order status is not "Pending" nor "Rejected." For Trans to Func exchange rates, the exchange rate for non-Euro currencies is loaded. However, if you are using Euro currency, the product of Trans to Euro and Euro to Func exchange rates will display. If Euro currency is both the transaction and functional currency, this field will be disabled.
The conversion rate in the Rate field automatically defaults into this field to allow you to modify the transaction currency for this particular sales order. This field will be disabled if the sales order status is "Approved." If you are using Euro currency, this title of this field will be Trans to Euro, and the product of Trans to Euro and Euro to Func exchange rates will display. If Euro currency is both the transaction and functional currency, this field will be disabled.
This field displays blank if the Trans to Func direct conversion is used. However, this field will display as Euro to Func if you are using Euro currency.
