POST LABOR DISTRIBUTION

Use this screen to print the Labor Distribution Journal and to post the labor to the G/L and subsidiary labor tables. You must print the journal before posting. You can print, review the journal, and then post; or you can elect to start the printing and posting process without any further input.

If the Enable Union Functionality checkbox (in the Labor Settings screen), the Direct Charge Union Fringes/Employer Contrib checkbox, and the Direct Charge Worker's Comp checkbox (both in the Direct Charge Options subtask of the Payroll Settings screen in Costpoint Payroll) have all been selected, this application will print an additional report entitled Allocation of Direct Charge Union Fringes to Project. This report will show, on an employee basis, the timesheet date and the fringe amount for each timesheet line.

When posting the Labor Distribution, you will always select a fiscal year, period, and/or subperiod for which you want to post timesheets; therefore, you can enter and post timesheets in a future accounting period before the current period is closed. Timesheets that have been assigned to the fiscal year, period, and subperiods selected are included in the process, in addition to unposted timesheets for individual timesheet cycles or selected employees.

This application contains functionality that will update the Timesheet History to include the reference sequence number and reversing timesheet flag.

Select

Accounting Period

Choose the fiscal year, period, and subperiod to be posted. To include all open subperiods, leave the Subperiod field blank.

Fiscal Year

Enter, or select from this drop-down box, the open fiscal year to which these timesheets are posted. This is a required field.

Period

Enter, or select from this drop-down box, the open accounting period in the fiscal year to which these timesheets are posted. The period ending date for the period selected displays in the untitled field to the right. This is a required field.

Subperiod

Enter, or select from this drop-down box, the open subperiod in the fiscal year/period to which these timesheets are posted. If all subperiods are open, you can leave this field blank to include all subperiods in this posting. The subperiod ending date for the subperiod selected displays in the untitled field to the right. This is an optional field.

Select Options

Use the fields in this group box to enable timesheets to be posted for a specific number of timesheet cycles or employees.

Timesheet Cycles

Select this radio button to enable the Timesheet Cycles group box.  This is the default selection when you enter a new record.

Employees

Select this radio button to enable the Employees group box.

Timesheet Cycles

Use this group box to include all timesheet cycles, or up to four individual timesheet cycles and Cycle End Dates. This group box is enabled only upon selecting the Timesheet Cycles radio button in the Select Options group box.

All Timesheet Cycles

Select this checkbox to include timesheets from all timesheet cycles that fall within the fiscal year, accounting period, and subperiod (optional) selected.

Individual Timesheet Cycles

TS Cycle

Enter, or use Lookup to select, up to four Timesheet Cycle codes to be printed/posted. Unposted timesheets with a timesheet date earlier than or the same as the timesheet cycle end date that also match the accounting period criteria are selected. If the All Timesheet Cycles checkbox is not selected, you are required to enter at least the first timesheet cycle.

Cycle End Date

Enter, or use Lookup to select, a valid timesheet period end date. The Lookup window will only list those valid timesheet period end dates and start dates for the employee's timesheet cycle.

Employees

Use the fields in this group box to select employees' timesheet cycles to be processed.  This group box is enabled only upon selecting the Employees radio button in the Select Options group box.

Employee

Enter, or use Lookup to select, up to six Employee IDs and their associated timesheet cycle end dates to be printed/posted. Unposted timesheets with the same employee ID that also match the accounting period criteria will be selected.  When you enter a valid employee ID, the employee's timesheet cycle (display only) will default to the right.

Timesheet Cycle

Upon entering a valid employee ID, this non-editable field will default with the employee's timesheet cycle. 

Cycle End Date

Enter, or use Lookup to select, a valid timesheet period end date. The Lookup window will only list those valid timesheet period end dates and start dates for the employee's timesheet cycle.

Journal Status

The "Journal Not Printed" or "Journal Printed" message is displayed here. Costpoint considers the journal printed when you have printed or posted.

Process

Select this button on the toolbar to begin the posting process. The journal must have already been printed (while still in this screen) for this button to be enabled.

Process/Print

Select this button on the toolbar to print the journal, and then continue immediately (without user intervention) into the posting process.

Tables Updated

Timesheet Header - TS_HDR

The Posting Sequence Number is updated for all updated timesheets. The Posting Sequence Number is a system-assigned sequential number within each accounting period and journal.

G/L Posting Summary - GL_POST_SUM

One row is created for each unique combination of account, organization, project, reference number 1, and reference number 2 within accounting period and subperiod for the posting sequence.

GL Detail - GL_DETL

One row is created for each unique combination of account, organization, project, reference number 1, reference number 2, GLC, Employee, and PLC within the posting.

Financial Summary - FS_SUM

For each unique combination of account and organization within the accounting period, the amount and hours are updated.

Reference Summary - REF_SUM

For each unique combination of account and reference number within the accounting period, the amount and hours are updated.

Posting

For each posting, a new sequence number is created, one greater than the last sequence number within accounting period and journal source (labor distribution in this case). In addition to recording the sequence number, the posting date, time, and user ID of the poster are recorded.

Labor History - LAB_HS

For timesheet lines containing projects, one summary record is added or updated for every unique combination of account, organization, project, GLC, PLC, employee or vendor within the accounting period and subperiod.

Timesheet Line History - TS_LN_HS

The complete timesheet is replicated in these history tables.

Timesheet Header - TS_HDR

The posting sequence is updated.

Employee Leave History - EMPL_LV_HIST

Employee Leave Balance - EMPL_LV_BAL

For timesheet lines with charges to leave accounts, leave data is updated.

Open Billing Detail - OPEN_BILLING_DETL

For timesheet lines with projects which have billing formulas other than "none" or "units" a row is created for each timesheet line.
