MAINTAIN PHYSICAL COUNT LIST

Use this screen to view a count created by the Set Up Physical Count screen and add additional parts to the count. You can also create a new count in this screen. Use it whenever you need to maintain a physical count list or create a new count.

Count ID

If you entered "Y" in the Auto-Assign field in the Transaction IDs subtask of the Warehouses screen and selected "Physical Counts," leave this field blank and the system will automatically assign the next count ID. If Auto-Assign is "Y" and you manually assign a count ID in this field, the system will not update the Last Inv Trans ID field in the Transaction IDs subtask of the Warehouses screen. If you entered "N" in the Auto-Assign field, you can manually enter a count ID containing up to 10 alphanumeric characters. This is a required field.

Warehouse

Enter, or use Lookup to select, the warehouse ID where the count will take place. This is a required field.

Count Date

This field displays the system date as the default count date, but you can enter a new date.

Control ID

This field displays the prefix to be attached to all control numbers for a physical/cycle count. The prefix is entered in the Set Up Physical Count screen.

Active

This checkbox will be selected, indicating that the status is active, until the physical count has been completed.

Count Sheet/Tags Printed

This checkbox will be selected if the count sheet/tags have been printed. If this checkbox is not selected, it indicates that the count sheet/tags have not been printed.

Table Window

Control No

The control number is automatically generated from the Starting Cntl No in the Set Up Physical Count screen, but you can change it when adding a new line.

Part

Enter, or use Lookup to select, the part ID of the item to be counted.

Rev

This field automatically displays the last revision assigned to the part ID; however, you can enter, or use Lookup to select, another revision that exists for this part ID.

Description

The description of the part selected will automatically display and cannot be edited.

U/M

The inventory unit of measure of the part selected will automatically display and cannot be edited.

ABC

The ABC code of the part selected will automatically display and cannot be edited.

Location

Enter, or use Lookup to select, the location ID to be counted.

Inv Abbrev

Enter, or use Lookup to select, the inventory abbreviation to be counted.

Pre-Count Qty

This field displays the pre-count quantity for this part.

Counted

This field will display "N" (No) if an actual count has not been entered for this count line. A "Y" (Yes) will be displayed if an actual count has been entered for this count line.

Actual Count Qty

This field displays the actual count quantity for this count line.

Variance Qty

This field displays the variance quantity for this count line. The variance quantity is the Pre-Count Qty less the Actual Count Qty.

Tolerance

This field displays the count tolerance percentage for this part.

Reconciled

A "Y" (Yes) will be displayed if this count line has been reconciled. An "N" (No) will be displayed if this count line has not been reconciled.

Last Count Date

This field will display the last count date for this part.

Active

This field will display a "Y" (Yes) until the physical count has been completed and adjustments created. An "N" (No) will be displayed if the physical count has not been completed.

Serial/Lot Info

Select this pushbutton to view serial and lot information for the selected transaction line.

Table Information

Changes to this screen update the PHYS_COUNT and PHYS_COUNT_DETL tables. This screen also relies on the settings in the INVT_SETTINGS table. Information for maintaining physical count lists is also stored in and/or pulled from the following tables: INVT_WHSE_LOC, ITEM, PART, WHSE_LAST_TRANS, WHSE_LOC.
